Web Time Entry for Non-Exempt Staff To access Web Time Entry (WTE), go to the One Bellarmine at (one.bellarmine.edu) and login through One Login located on the upper right side of the screen. Use your Bellarmine Username and Password to log in. Version 20151216 Page 2

Under the WEBADVISOR FOR EMPLOYEES located on the left navigation bar, select Time Entry and Approval and then click on Time Entry. On the right side of the screen will be a list of valid pay periods for you. Check the box of the period for which you would like to enter time and click the Submit button at the bottom of the page. Note, your selection should always be the current time reporting period. Please pay special attention to the pay period start and end dates to make sure you are selecting the correct period. You will then be given a screen to enter your Time In and Time Out for each of the days in the time reporting period you selected on the previous screen. Notice that all of your previous punches will appear when this screen loads. Version 20151216 Page 4

Bellarmine s policy is that you are to enter your Time In as your first action when arriving at your office and you are expected to enter Time Out as the final step in concluding that work segment. For instance, you need to enter Time Out when you go to lunch or go on a break. When you return to work you should enter your Time In on a new line for the same date and then your Time Out when you conclude the day. This system (Web Time Entry) should be considered as a time punch system and accordingly used in real-time. Time punches should be completed from your computer unless cleared by your supervisor and done when you are ready to begin working. The time presented on your computer in the lower right-hand corner of the screen is the exact time you need to enter for your punch as this is the time that is captured in the system logs and will be used to reconcile time entries if this becomes necessary. The following image shows the time in the lower right corner of a screen. Once you have entered either your Time In or Time Out simply hit Submit at the bottom of the page to electronically save your card. There can be as many Time In's and Time Out's as needed for a given day and in the event you need more rows simply check the box on the right side that is labeled "Insert Line" and then click Submit at the bottom of the page. The page will be refreshed with a row inserted below. Note that you may check multiple boxes before hitting Submit. The following images show the result of this functionality. Important notes about time entry For time entries, please include AM or PM with your time and use no spaces (e.g. 8:30AM, 4:30PM, 5:00PM) You are entering the actual time worked and NOT rounding time Your supervisor may review your time entry at any point during the pay period Remember to enter your Time In and Time Out for lunch and other breaks If you did not work, please leave the field blank for the corresponding date You can only use leave time if you have accrued it and it is available Leave time and balances are indicated on your time entry form and on confirmation screens Version 20151216 Page 5

You will enter Sick Hours, Annual Leave Hours, and Other Time Hours as a number of hours per day for that pay period. If you enter Other Time Hours you will need to select the type of time, the approved list is in the drop down and is shown below. When you have completed your time entry for the time period you will need to submit your time sheet to your supervisor for their approval. The process to do this is called electronically signing your card and is done by checking the box at the lower right hand side of the screen, shown below, and clicking Submit. Once you sign your card you cannot edit the information, so do not electronically sign your timecard unless you have entered all time for the pay period. You may also type any necessary comments to your supervisor regarding your time for the pay period in the Supervisor Comments area and they will be emailed to your supervisor. After clicking Submit you will see the following Confirmation screen that will inform you of your time for the submitted period. Click OK at the bottom of the page. You have now successfully submitted your time sheet for the pay period. Version 20151216 Page 6
