1 GOV: HOW TO COMPLETE A TIMECARD FOR AN HOURLY EMPLOYEE (NON EXEMPT) Summary In this module you will learn how to enter hours worked and leave into your timecard. Steps 1. Welcome to the training module on How to Complete a Timecard for an Hourly Employee (Non Exempt)! 2. We're starting at the Home page. First, select GOV Employee Self Service. 1

2 3. Now, select Time Entry. 4. Then, select Create Timecard. 2

3 5. You've arrived at the Time Entry page. Let's now select the Period drop down menu. 6. Select the pay period for which you need to enter your time. 3

4 7. Select the Hours Type drop down menu. 8. Select the type of hours. In this case, we'll select Regular Time Entry. 4

5 9. Select the Position drop down menu. Most employees will see only one position. 10. Employees holding multiple positions with the county will see all of their positions. In this example, let s select Administrative Assistant II. 5

6 11. Navigate to the right of the page so that we can enter the hours. 12. Enter the number of hours worked into the correct workday s field. 13. In this case, we'll type 7.5 into the field and then press the Tab key. 6

7 14. Each employee must enter the hours for each day of time worked or leave used during the pay period. 15. Notice that the rest of the time entries are now on the timecard, but without any totals. Let's now navigate back to the left of the page to enter sick leave taken. 7

8 16. Select the Hours Type drop down menu. 17. Now select the type of hours. In this instance, we ll select Sick Leave Pay. 8

9 18. Select the Position drop down menu. 19. Now, select the position. 9

10 20. Navigate to the right of the page. 21. Enter the sick leave hours taken and then press the Tab key. 10

11 22. Navigate to the left of the page. 23. Now that you've created all of your time entries for the pay period, you can select Recalculate to total your hours. For employees with multiple positions, you must complete the steps above for each position and each Hours Type. 11

12 24. Navigate to the right of the page to see the recalculated totals. 25. Notice that the system totals now display. Select Continue. 12

13 26. Notice that the Review page appears so that you can perform a final review before submitting the timecard. If you're uncertain of your time entries, you can either select Cancel to abort the process or select Back. As a final step and when you're certain of your time entries select Submit. 27. The Confirmation page displays, showing that your timecard has been submitted to your supervisor for approval. Let's now select Recent Timecards. 13

14 28. Notice that you've been returned to the Recent Timecards page. In this case, and because the timecard has yet to be approved, you can still edit your timecard. Now that we re done, select the Home icon. 29. Notice that you've returned to the Home page. Once your supervisor has approved your timecard, you'll see a notification on your Worklist. You have completed the training module on How to Complete a Timecard for an Hourly Employee (Non Exempt). 14
