THE POST OF FINANCE OFFICER Here at Greenpeace, we are looking for a proactive, meticulous and highly organised Finance Officer to play an integral part in the daily function of our tight-knit finance unit, who manage all of Greenpeace s UK finances. Greenpeace is an international non-profit global campaigning organisation. Our independence and global reach enables us to stand for positive change through action in order to defend nature and promote peace. We investigate and expose global environmental problems, confront those in positions of power and present alternative solutions. About this exciting opportunity Reporting to the Head of Finance, you will undertake a vital role within our small finance team. Your responsibilities will include ensuring that all invoices received daily are checked, logged, circulated for authorisation and approved, and that all related payments are correctly approved, effectively controlled and reconciled to the purchase records. You will select items for payment and initiate payment runs, reconcile supplier statements immediately upon receipt, plus deal with enquiries from suppliers and staff about payments. 4

Managing expense claims and payments, advances, petty cash and company credit cards are key elements of the role, as is preparing weekly banking and collecting money from the bank. You will also be expected to assist in the general running of our Finance Unit, including payroll administration matters, when required. To secure this role: You must be a highly efficient, reliable and numeric individual, whose impressive attention to detail will ensure our accounting records are maintained to a high standard. A strong team player and communicator, you must also boast excellent prioritisation and IT skills, particularly Excel, as well as demonstrable purchase ledger experience and the ability to continually maintain and improve on existing administrative systems. A background of using Sun accounting system and/or similar computerised accounting system, and an accountancy qualification or part-qualification, would be an advantage. Plus, a strong belief in, and commitment to, Greenpeace UK s mission, vision and values is essential. You will find full requirements for the role listed in the Person Specification below. 5

JOB DESCRIPTION POST: UNIT: RESPONSIBLE TO: Temporary Finance Officer Finance Head of Finance OVERALL PURPOSE OF JOB: To maintain Greenpeace s accounting records, administer payments to suppliers, staff expenses and petty cash, and to assist in the general running of Greenpeace s Finance Unit. MAIN AREAS OF RESPONSIBILITY The list below is designed to give an indication of areas of work that the post holder could be assigned to work on at any one time. Sole responsibility will not be assumed of all these duties, but they will be shared within the finance team as delegated by the Head of Finance. 1 Payments to Suppliers a) Ensure that invoices received are checked, logged and circulated for authorisation on a daily basis, via Proactis. Check authorisation and coding of invoices, including appropriate VAT reclaim, before posting to the finance database. b) Ensure that all invoices are approved in accordance with Greenpeace policy and that all related payments are correctly approved, effectively controlled and reconciled to the purchase records. c) Select items for payment, and initiate payment runs. Produce the necessary BACS and remittance advice files for approval/transmission, and cheques for signature/approval and despatch to suppliers. File invoices/ associated paperwork. d) Reconcile supplier statements to computer records immediately upon receipt, and deal with enquiries from suppliers and staff about payments. 2 Expenses and Cash a) Administer Greenpeace's Expense Claim, Advances and Petty Cash systems in accordance with our policy, ensuring adequate control over all related payments. b) Expenses: In Proactis check staff expense claims to receipts, and where applicable authorisations from other Greenpeace offices. Match claims to advances if necessary. Select items for payment to include in weekly payment run. 6

c) Staff VISA card returns: ensure timely return of monthly VISA returns and prepare journals to post the expenses to the ledgers. Assist with general queries raised by cardholders regarding their card. d) Oversee all petty cash boxes. Check control sheets for each petty cash box and reconcile to cash in the box; process cheque for cash top-ups; post transactions to accounts and file records. e) Prepare weekly banking, take banking s to, and collect cash from the bank. f) To organise cash floats for staff, at short notice, if necessary. g) Check the balance of all bank accounts and monitor the income every morning. h) Assist volunteers with expense claims. 3 General Running of the Greenpeace Finance Unit a) Assist with miscellaneous finance duties, including payroll administration matters, to ensure the smooth running of the Finance Unit. b) Reconcile payments recorded on the accounts package with bank statements to maintain the integrity of our accounts records and to check that banking s are made correctly. Liaise with other finance staff to ensure that income and payments under their control are correctly recorded and processed. Undertake bank reconciliations twice a month. c) Assist other members of the finance team as appropriate. d) Keep up to date with all Greenpeace activities, both to ensure that the accounts department gives high quality support to all areas of Greenpeace and to participate in wider Greenpeace activities as appropriate. e) Undertake any other duties appropriate to the post. 7

PERSON SPECIFICATION POST: Temporary Finance Officer UNIT: Finance GRADE: 2 Listed below are the requirements needed to undertake this job. Selection of candidates will be based on the extent to which these requirements are met. Skills & Abilities Good numeracy, accuracy, and attention to detail, in order to maintain our accounting records to a high standard. Ability to organise the flow of work through the department, and maintain effective systems. Excellent organisational skills. Ability to prioritise and work to deadlines, often under pressure, under own initiative. Good working knowledge of Excel. The ability to work productively and flexibly as part of a team. Strong interpersonal and communication skills, sufficient to liaise effectively with a range of contacts verbally and in writing. Experience An accountancy qualification or part-qualification would be an advantage, but is not essential. Experience of using SunSystems or similar computerised accounting system. Experience of using Proactis, or similar online authorisation system. Experience of bank reconciliations. Purchase ledger experience. Experience of cash handling and banking. Experience of maintaining and developing administrative systems. Personal qualities Ability to communicate, negotiate and persuade. Strong customer focus and drive to deliver a quality service. Self-motivation and ability to work on own initiative. A high level of discretion and the ability to practically apply the principles of confidentiality. SUMMARY OF TERMS, CONDITIONS AND BENEFITS SALARY This post has a full time salary range of 31,044-36,132 per annum. We normally offer a starting salary at the first spinal point of the grade. WORKING HOURS The hours of work for this post are 37.5 hours per week. PROBATIONARY PERIOD All new employees are appointed subject to successful completion of a six-month probationary period. ANNUAL LEAVE Annual leave entitlement for full time staff is 25 days per year, plus one additional day for every full year of employment up to a maximum of 7 additional days. Leave is calculated on a pro-rata basis for part time staff. In addition, our offices are closed between Christmas and New Year, reopening on the first working day after New Year s Day. Staff are not required to take annual leave during this period. PENSION SCHEME In line with government requirements all staff are automatically enrolled into our workplace pension scheme. Greenpeace runs a contributory pension scheme held with Aviva, with optional Salary Sacrifice. Greenpeace contributes 8.5% of basic salary, provided the employee contributes at least 3%. POLITICAL REPRESENTATION Greenpeace is a non-party political organisation and it is important for its future that this should remain the case. It is, therefore, a condition of employment that employees shall not normally stand for any official position within a political party. RELOCATION EXPENSES Greenpeace offers assistance towards relocation expenses in certain cases. In particular the shortlisting panel will be looking for evidence that demonstrate your skills and experience in the following key areas: Good numeracy, accuracy, and attention to detail, in order to maintain our accounting records to a high standard. Excellent organisational skills, with the ability to use initiative to prioritise and work to tight deadlines under pressure. Good working knowledge of excel. Previous experience of managing a finance accounting system (such as SunSystems) Demonstrable purchase ledger experience. You should use examples to help demonstrate how you meet the requirements for the role. For example, a statement showing how you meet the criterion Good written communication skills might look like this: I have developed my written communication skills through experience of writing for a variety of audiences. Earlier in my career, as a Complaints Officer I was required to compose carefully worded letters to resolve matters for unhappy customers. Later, as part of a communications team I was responsible for writing and editing the organisation s staff newsletter. In my current job I regularly write management reports summarising a range of detailed information which must be concise and easily understood by Board members. I also contribute to new funding proposals and project updates for existing funders. Outside work, I also write a blog for my local cycling club. 11
