WHAT IS THE 724ACCESS DOWNTIME VIEWER? 724Access Downtime Viewer is the application used to access and view Cerner patient records during a planned or unplanned downtime. 724Access Downtime Viewer is a view only snapshot of patient data at the point up until downtime. Typically you will be able to retrieve data as far back as 7 days if you are on an inpatient unit and 30 days if you are in an outpatient clinic. NOTE 724Access Downtime Viewer replaces the PCLA Downtime Viewer. WHAT TO DO WHEN A COMPUTER DOWNTIME IS INDICATED PLANNED DOWNTIMES are scheduled in advance and are posted on the Weekly Downtime Schedule, located below the System Status lights on the LHSC and St. Joseph's homepage. During a planned downtime, please call the 724Access Downtime Viewer Password Hotline (x 37252) to obtain the current downtime password. UNPLANNED DOWNTIMES occur if the system becomes unavailable or unstable without notice. While infrequent, if you suspect that PowerChart is not available you can check the system status on the LHSC Homepage, the St. Joseph's home page, or by calling the System Status line (x 34455) for further details and instructions should the downtime system be activated. WHAT COMPUTER DO I USE TO LOG IN TO 724ACCESS DOWNTIME VIEWER DURING A DOWNTIME? 724Access Downtime Viewer is installed on designated computers in clinical areas. Designated computers will be labelled 724Access Downtime PC. NEVER power off the 724Access Downtime Viewer Computer A designated 724Access Downtime PC updates PowerChart information every two minutes and should NEVER be powered off; otherwise, it will not be able to collect the important patient information needed during a downtime. Should you walk into an area and notice that that 724Access Downtime PC has been shut down, please restart that computer immediately. NOTE You may reboot the 724Access Downtime Viewer computer if needed (freezes or requires a restart); however, never completely power off. Version: 7 Date: 2014/04/01 Page 1
LOG IN TO 724ACCESS DOWNTIME VIEWER DURING A DOWNTIME 1. On the PC Desktop of the designated 724Access Downtime PC, doubleclick the 724Access Downtime Viewer icon. 2. You MAY be prompted to log into Windows (a Citrix server). If so, please enter your Windows login and password. 3. If you the above screen does appear, there may be a delay of 30-60 seconds before you see the next screen. 4. The Cerner 724Access Downtime Viewer log-in window opens. 5. In the User Name field, type 724user. 6. In the Password field, type the unique password given to you by the 724Access Downtime Viewer Password Hotline. IMPORTANT The 724Access Downtime Viewer password changes after every downtime event. OPEN A PATIENT S CHART 1. After logging in you will only see tab(s) for your patient unit(s) or the Patient Search screen. Version: 7 Date: 2014/04/01 Page 2
2. If you only see tab(s) for your patient unit(s), double-click the appropriate patient row to open the patient s chart. IMPORTANT If the patient was on your unit prior to the downtime, the patient will be listed on your unit s tab. If the patient was not in your unit prior to the downtime, the patient will not on your unit s tab. You cannot search for a patient that is not on your unit. 3. If you see the Patient Search screen, select your unit from the Location drop-down menu and then click the Search button. 4. When you open the first patient chart in a viewing session, the Audit Information! dialog box opens. 5. In the Username field, type your own PowerChart username (not the downtime username). 6. In the Reason for viewing the patient s chart field, click the dropdown arrow and choose Downtime. 7. Click OK. 8. The patient s chart opens. NAVIGATE THE PATIENT S CHART Similar to PowerChart, 724Access Downtime Viewer provides a Demographics Bar where patient's name, date of birth, age, gender, location, medical record number, encounter status and allergy indicator are displayed. This information displays wherever you are in a patient chart. Version: 7 Date: 2014/04/01 Page 3
IMPORTANT No infection control warnings or anonymous flags are listed in the Demographics Bar of the 724Access Downtime Viewer. Table of Contents Menu You can view sections of the patient s chart by clicking a menu item on the left side of the 724Access Downtime Viewer window to open the corresponding tab. Once you open a tab, it remains available even after you click other menu items. Patient Information By default, the Patient Information tab is the first tab that displays when you open a patient s chart, with the Demographics subtab displayed. INFO NOTE There are additional subtabs of Allergies, Problems and Diagnosis. The current encounter is the default (checked). If there is more than one encounter, each encounter displays separately. Lab Results 724Access Downtime Viewer is designed to display data for a 24-hour period based on the current date with the ability to modify the date range to view more results (up to 3 days worth of clinical data will be stored). Microbiology results can be viewed on the Microbiology Viewer tab. NOTE Pay attention to the date range. To change the date range, click on the calendar buttons and choose the date (up to 3 days back). Click the down arrow beside the Lab Results Filter: to view specific results. Patient Care Results If your area currently records this information electronically, then it will appear in this section. Medication Orders Current medications are listed here. However, always refer to the paper MAR during a downtime. See the Medication Orders and Medication Administration Records (MARS) section of the Downtime Manual. Version: 7 Date: 2014/04/01 Page 6
Orders The Orders tab displays active orders and their details. NOTE Orders in the Future (on hold) status display. Click the down arrow beside Clinical Category: to filter the orders by type. Version: 7 Date: 2014/04/01 Page 7
Scroll to the right to view the Child Orders column. If there are Child Orders, click Yes to open the Child Orders window. Click OK to close the Child Orders window and continue viewing the Orders tab. Vital Signs If your clinical area currently records this information in the electronic patient record then it will appear in this tab. Version: 7 Date: 2014/04/01 Page 8
Documents By default, the last 48 hours of documents are displayed. You can change the date range and filter the documents to locate documents you are looking for (up to 3 days). To view documents, complete the following steps: 1. Select the document type to be viewed. 2. Double-click a document to view it in the window. NOTE The following types are documents are not supported: Anatomic Pathology, SurgiNet, PowerForms, and CPDI scanned documents. Version: 7 Date: 2014/04/01 Page 9
Microbiology Viewer 1. The Microbiology Viewer tab displays information about microbiology tests and results. 2. To see more information, double-click the row that you wish to review. 3. To return to the Microbiology Viewer main tab, click the X. Version: 7 Date: 2014/04/01 Page 10
Medication Profile The Medication Profile tab is similar to the Medication List in PowerChart. It shows a comprehensive view of all medications: pending, current, and past. Past medications include all medications that are not in the active statuses of Ordered. RETURN TO THE PATIENT LIST Click the Patient List button to return to the Patient List. EXIT THE 724ACCESS DOWNTIME VIEWER Cerner 724Access Downtime Viewer 1. Users must exit the 724Access Downtime Viewer when they leave the computer. 2. Users must exit the 724Access Downtime Viewer once the downtime is over. 3. Click the File menu. 4.
