1.0 GENERAL INFORMATION The organizers VNU Exhibitions Europe BV have appointed Hudig & Veder Forwarding BV as international freight, customs and on-site forwarders for VIV Europe 2018. We have therefore the honors to offer you our successfully proven all-in transportation, customs clearance and on-site handling services. Hudig & Veder Expo Logistics, in cooperation with our worldwide professional network of international exhibition logistics agents, offer you an all-in-one exhibition logistics solution for VIV Europe 2018 Utrecht. The following transport- and customs instructions have been prepared to assist you in the preparation, transportation, customs clearance and on-site handling of your exhibits. 2.4 COURIER-SHIPMENTS Courier or Express Companies such as UPS, TNT, FedEx or DHL-Express usually offer a door-to door-service but do not deliver goods to the stand inside the exhibitions hall. If you send customs cleared courier shipments ( basis DDP ), please be sure that you consign your shipment to Hudig & Veder Expo Logistics, as stated in 2.1.2. ROADFREIGHT ADVANCE RECEIVING WAREHOUSE. We can only accept and handle courier shipments if you send us a clear written order IN ADVANCE together with a copy of the transport document mentioning the shipment references, exhibitor name, hall- + stand number. Shipments that are not consigned and pre-adviced to us will not be accepted by us! 3.0 DOCUMENTATION PLEASE ENSURE THAT ALL DATA (CONSIGNEE-ADDRESS, WEIGHTS, VALUES ETC.) IN THE VARIOUS DOCUMENTATIONS ARE ABSOLUTELY IDENTICAL! 3.1 DOCUMENTATION REQUIREMENTS 3.1.1. 3.2 COMMERCIAL-INVOICES Please preferably use our Hudig & Veder template invoice forms. We will provide you with excel-data files. PREFERABLY SEPARATE INVOICES SHOULD BE ISSUED FOR TEMPORARY AND FINAL IMPORT GOODS EACH 5 ORIGINALLY STAMPED AND SIGNED COMMERCIAL INVOICES MUST BE ATTACHED TO THE TRANSPORT DOCUMENTS 4.0 CASE MARKING AND PACKING We cannot put too much emphasis on the importance of all packing being of the highest standards. All cases and packages should be constructed to withstand extensive handling and where required repacking. We would advise against the use of cardboard cartons and strongly recommend that bolted returnable type cases are used. While initially they may be more expensive we know from experience that short cuts can prove to be false economy. If your cases are locked, please make sure that one set of keys resp. the lock-code is handed over to us with the documents during the collection of your shipment. Please also make sure that your own on-site representatives will also have another set of keys resp. the lock-code with them. ALL CASES MUST BE CLEARLY MARKED ON AT LEAST TWO SIDES: NAME OF EXHIBITION : VIV EUROPE 2018 UTRECHT HALL NO./STAND NO. : EXHIBITOR/CO s NAME : CASE NO. : (e.g.: 1/6; 2/6; 3/6; etc.) MEASUREMENTS : GROSS & NET WEIGHT : HEAVY AND OVERSIZED CASES MUST BE MARKED WITH LIFTING POINTS AND CENTRE OF GRAVITY. - 6 -
5.0 HANDLING OF EMPTIES We offer you to handle and store your empty packaging during the exhibition. Please make sure that empty packing material that needs to be stored during the exhibition has our empties labels stuck on it. Only upon your written order and request, labels will be provided by our on-site delegation office. Empties without labels are considered to be garbage and might be removed by the cleaning companies. In your own interest do not keep any tools, unused material, valuables etc. inside your empties. Hudig & Veder Forwarding B.V. will not take any responsibility for loss or damages for items left inside your empties. In case you require safe storage of your valuable material during the exhibition, please contact our on-site office. ATTENTION! : Empties will be returned to the stands as quickly as possible after the closing of the exhibition. After the exhibition has officially ended, first the carpets need to be removed from the aisles, this is estimated to take about 1 2 hours. Only once this is done, the security services open the doors for moving in of empties. No specific time can be confirmed for return delivery! 6.0 DURING THE EXHIBITION / ON SITE REPRESENTATION Hudig & Veder staff and possibly representatives of our on-site agents will be present on the exhibition site. Please make sure, that you do not leave the exhibition site after the exhibition has ended without giving us written forwarding/disposal instructions for outbound handling and/or return-transport. 7.0 END OF EXHIBITION / RETURN TRANSPORT / LABELLING It is the exhibitor s responsibility, even if we provide labour + equipment for the re-packing, to ensure that all items are duly re-packed, preferably into the same cases as on the inbound movement and where applicable according to customs specifications. It is advisable that exhibitors carry a copy of the commercial invoice + packing list with them. Exhibitors leaving the exhibition-site before the closing of the show, leaving their exhibits behind, do this at their own risk. Hudig & Veder Forwarding B.V. will not accept any responsibility or liability for subsequent damages or losses to the shipment. Upon written order by the exhibitor we can arrange for security storage after the exhibition until re-loading. All cargo must be clearly marked with our return-labels in order to enable us to identify your cargo. Labels will be provided by our on-site delegation office. Please consider this information when you make your own arrangements for return-transport. Please arrange for return-trailers only in co-ordination with Hudig & Veder in order to avoid unnecessary demurrage of the vehicle. - 7 -
8.0 ON-SITE HANDLING CHARGES On-site handling charges will be calculated as per our relevant on-site handling-tariff. Please note, that Hudig & Veder Forwarding B.V. is not liable for any waiting times and/or delays of truck departures due to pending customs formalities on the exhibition site or traffic congestions. Hudig & Veder Forwarding B.V. reserves the right to demand an advance-payment for transportation and on-site services including Dutch customs duties and VAT and freight-charges. Furthermore Hudig & Veder Forwarding B.V. reserves the right to demand a deposit as a bond in order to avoid violation of the relevant Dutch customs regulations. After the exhibition, both amounts will be balanced towards the final invoice, including possible unforeseen expenses and fines. Excess amounts will be refunded. 9.0 INSURANCE AND LIABILITY Our forwarder s liability ends with the delivery of the consignment to the exhibitor s stand or as close as possible even if the exhibitor or his representative is not present. For the return transport the liability begins with the collection from the stand even if the transport documents were handed over to the forwarder before. All services are undertaken by us at owner s risk. Any exhibitor should make certain that all shipments are covered by a fully comprehensive marine insurance policy from the time of dispatch from their works until the return to their works after the exhibition or until delivery to a buyer or another destination. We do not cover this insurance automatically. If you want us to arrange for this insurance, we require a written order prior to shipping. Rates and premiums are available on request. In case of any damages or losses the exhibitor must immediately specify his claim in writing to our on-site office or main office in The Netherlands. We operate exclusively in subject to the Dutch Forwarding Conditions, in latest version deposited by FENEX. In addition, the exhibition transport regulations and tariffs apply for our services. For security reasons during build-up and dismantling period, we urge you to give us a written storage instruction for small packages and /or high valued cargo. Hudig & Veder Forwarding B.V. is not responsible for security of your goods inside the exhibition halls during build-up-, exhibition- and dismantling periods. It is understood that you agree to the conditions herein and that you accept and agree to all relevant charges contained in the official on site handling tariff. - 8 -
