Keep in mind Housing allowance plans are not included in the annual merit process. Any changes to housing allowance plans should be entered via the Request Compensation Change business process either before the merit process initiates or after the merit process closes. Employees with in-progress Change Job or Request Compensation Change business processes are not eligible for merit, and will not appear in the Propose Merit task. If an employee is on unpaid leave, they may appear on the Propose Merit task, but they will not be able to receive a merit increase. Information Needed Propose Merit task in inbox (This process cannot be completed on an ad hoc basis.) Annual increases for any affected faculty members Steps: 1. Open the Propose Merit task in your inbox. If you have multiple orgs with eligible employees, you can select Propose All to propose merit increases for all of your orgs at once; otherwise, select the Propose option next to the org you would like to complete. The fields under the Salaries section will update automatically as you fill out the merit tasks for your organizations. Please note that these fields will only take base pay into account, and any allowance plans or changes to allowance plans will not be included. 1
2. When you have selected the desired organization, you will see the following page. This is called the merit grid, and allows you to see all merit data entered for a specific organization. The Employees Affected by Parallel Events value will display employees in the selected organization undergoing a Change Job or Request Compensation Change process that may conflict with the merit process. Click on the number next to Employees Affected by Parallel Events to view the employee and the parallel event in question. Any changes you enter for these employees during the merit process may be overwritten by other events. It is not recommended to enter merit increases for any employee affected by a parallel event. If you would like to have these employees removed from the process, contact workday-solutionsgroup@uchicago.edu. If this field does not appear for a particular organization, there are no employees affected by parallel events in that organization. Autofill functionality is not currently enabled for BSD faculty employees. Selecting this option will overwrite any values you have entered with a 0% increase. 2
An employee with only a salary plan (and no eligible allowance plans) will appear on the merit grid as follows. Note that only the New Pay Amount has an editable field, and the Allowance Increase % is blank. An employee with a salary plan and an eligible allowance plan will appear as follows. Note that both the New Pay Amount and the Allowance Increase % are editable. An employee with a salary plan and multiple eligible allowance plans will appear as follows. Each eligible allowance plan will have its own row on the merit grid. The example below has two allowance plans in addition to a salary. An employee with no salary and no eligible allowance plans will appear as follows. This will include employees on unpaid leaves. The merit grid will display an employee s compensation as of July 1 st, 2018. All changes you make to an employee s compensation will be effective July 1 st, 2018. 3
3. In order to enter a merit increase for an employee, click on the appropriate editable field. This will open up a new screen where you can enter the new monthly amount and any appropriate notes. Once you enter the New Pay Amount, the Merit Increase % and Merit Amount fields will adjust accordingly. This screen will also display the name of the salary or allowance plan you are currently editing. When you have finished entering information on this screen, click Done to return to the merit grid. When editing an allowance plan, the Merit Amount field will not display. 4
4. When you have entered merit increases for all employees who will be receiving them, click to view a summary of your changes. 5. Click Propose to go back and edit your entries. Click Submit to view a complete record of your changes. If you are responsible for multiple organizations, you can submit individual organizations one at a time, or use the Submit All button to submit all organizations at once. 6. Review the changes you have entered and verify that they are accurate. When you are ready, click Submit. 7. The process will route to the BSD OAA for review.
