Title: Reports to: Liaison: College Admissions Officer Head of Marketing and Admissions Curriculum and Support Teams; Students, Parents, Guardians and Carers; External partners / Specific College partnerships / Contractors; Visitors Purpose/Scope: The postholder will primarily provide initial information and guidance on the full range of courses, which are offered by the College, across both of its campuses to prospective students, parents, guardians, carers and employers. The postholder will provide accurate and up to date information and refer clients to the website as is appropriate. It is expected that the request for information from clients / current / prospective students will arrive at the College by telephone, letter, e-mail and from social media sites into the College Admissions Office. The postholder will deal with the full enquiry: booking a student on to a short course and taking payment; arranging the interview; providing further information by post / electronically. The role will involve a range of communication and administration duties, including: admissions, enrolment, enquiries and, activities to market the College and recruit students. Duties and Responsibilities The main duties are: To provide a highly efficient, customer focussed information guidance service, dealing with enquiries from all media To process all enquiries, using the appropriate technology, through to interview and subsequent confirmation of whether the applicant has a place on the appropriate course. To create targeted mail shots to groups of clients / students To liaise with Directors and Curriculum Managers to schedule student interviews To liaise with Finance to deal with course costings and to take card payments for courses. Distribution of course literature and mailings Liaison with Student Registry to ensure student / client information is correct, timely and up-to-date The maintenance and development of contact databases To carry out administrative duties as appropriate, including word processing, filing, photocopying, receiving telephone calls To follow up on any students that Do Not Turn Up (DNTU) To follow customer focused procedures appropriate to the caller and develop individually and as a team a high quality service response Page 2 of 6
Support and develop, alongside Student Services and Marketing the means by which the College can maximise recruitment activity internally and externally through annual activities Working with colleagues to achieve targets (for areas such as student recruitment) and achieve the College KPIs relating to student application and interview To maintain accurate records for the College Actively commit to safeguarding and promoting the welfare of all learners Promote equal opportunities across all College operations Compliance with all quality processes, policies and procedures Any other reasonable duties as required by the Principal The duties listed above are not intended to be static or all-embracing and the successful applicant will be expected to adapt to changing circumstances. Salary and Conditions of Service Conditions of Service will be in accordance with the Easton and Otley College Support contract Salary will be 20,000 per annum, pro-rata for part time employees. Hours of duty will be 22.5 per week. The postholder will be expected to have a flexible approach to working hours. Fixed term contract up to the 30 TH March 2018. The person appointed has the right to take up the option of joining the Local Government Pension Scheme. The College will assume that this is the case unless an opt-out form is completed within the time limit allowed. Annual leave entitlement for full time staff is 33 days rising to 38 days after five full years of employment, inclusive of all bank holidays, and up to five days which the College may pre-determine. New entrants to the service are entitled to annual leave proportionate to the completed months of service in a leave year which runs from September to August. Pro-rata for part time employees. The person appointed will be subject to a period of probation of 9 months. During this time regular reviews will be undertaken and discussed with the employee.
