Responsible to: The Bursar Lewes Old Grammar School is seeking an experienced and dynamic individual to join our Operations Team as the Estates Manager. You will be ambitious for our school and will be a strong communicator with extensive experience in leading a best in class customer facing team of both directly employed and contracted staff. Adept change management and business transformation experience in a similar collaborative environment is essential. This post will suit professionals who enjoy taking full day to day operational responsibility in addition to fully participating in long-term planning. A NEBOSH General Certificate is highly desirable but not essential for candidates with proven experience. The school has made significant investment in the renovation and improvement of its facilities and in its Estates Team. We are seeking an individual who can establish best working practices, adhere to all compliance regulations and support the Bursar and Headteacher to maximise the potential of the school site. Hours of work: Salary & benefits: 8:30am to 5:30pm Monday Friday during term time with other duties required through the year for events and functions as required. Holiday hours are 8am 5.30pm and are covered by the whole estates team. 40,000-45,000 dependent on experience Access to the Company Pension Scheme and a 50% discount on school fees Introduction: Lewes Old Grammar School is an independent co-educational day school located in the historic county town of Lewes, educating children from 4 to 18 years old. The School encompasses traditional values combined with a forward approach to the education of young people, and it is proud of the family ethos and community it engenders. First established in 1512, Lewes Old Grammar School combines high educational standards and small classes in a caring, well- mannered environment together with economic fee levels. We have an ambitious development plan for the school s facilities over the next five years. The Senior School occupies four architecturally historic buildings in the High Street of the ancient town of Lewes. The school acquired two further buildings in 2016 as well as extensive office space in 2017. The Junior School is located in a residential area of Lewes in a converted Victorian building. The school will complete a new
classroom block in 2018 as well as a complete refurbishment of the Sixth Form areas and the Operations Team office spaces. Purpose of Job/Key objectives Within policy directed by the Bursar, the Estates Manager s overall responsibility is to provide effective and efficient management of the estate and facilities of the School so as to provide pupils, staff and visitors with facilities and services of the highest standards possible within the budgetary constraints. The Estates Manager works closely with a range of school staff. In particular, the post holder has close working relationships with the Bursar, the Senior Management Team and the Health and Safety Adviser. Principal Duties/Tasks and responsibilities Compliance Maintenance to ensure that planned maintenance is completed on schedule and within budget to keep the School operational, safe and comfortable; Health & Safety to ensure compliance with all relevant health and safety standards including risk assessments, safe methods of working, and regular testing and maintenance. To respond to reports of health and safety concerns; Systems and record keeping to ensure all registers and records are adequately maintained in the form required; Positive and pro-active in maintaining the site, working around the school timetable and ensuring events are managed with minimum disruption to the operations of the school. Health and Safety Attend all appropriate meetings e.g. Site & buildings or Health & Safety Committee, as instructed by the Bursar Advising on and taking appropriate security measures with the School, both physical and for staff and pupils, including CCTV, access control, burglar alarms Management of the Health and Safety of Contractors on Site To assist the Bursar with effective management of Health and Safety throughout the school to ensure compliance with the Health and Safety at Work Act and the School s Health and Safety Policies
Maintenance: The preparation and supervision of routine and preventative maintenance schedules and the keeping of records whether works are carried out by own staff or contractors; To be responsible for the operation of a preventative planned maintenance programme and for inspections of the buildings, fixtures, fittings, furniture, premises to ASSESS for minor work or repairs; Maintain a working and up to date knowledge of the principles and practice in relation to: - o Electrical and gas installations o Metering and supply o Central heating and hot water supply o Protection of personnel and buildings from fire o Domestic sanitation, sanitary fittings and water treatment plant/sewerage disposal o Energy management and conservation o The care and maintenance of buildings, grounds and gardens. Ensure that all furniture, fixtures and fittings are maintained in a good condition and arrange repair, when necessary, in the most cost-effective manner. All specifications relating to the fixtures and fittings are to be approved by the Bursar Ensure that all areas of the School are cleaned and maintained to the Continuous Advancement Programme (CAP) standard. Advise on matters relating to energy control: keep a log of meter readings Contribute to planning, development and organisation of systems, procedures and policies. Property Management (Management of Caretakers) Ensure that the following tasks are undertaken by the facilities team as required: Supervise maintenance contractors and undertake regular site inspections including o Fixed Electrical testing o PAT Testing o Serving Boilers o Servicing air conditioning units o Servicing kitchen equipment
o Servicing equipment in Curriculum Departments e.g science, DT and HE Identify Defects and record repair and maintenance requirements: This requires a proactive approach Identify problems and deal with them, sometimes things may crop up that are not in your direct job description, but if you can help, then this is the approach the school is looking for. Undertake appropriate repairs Ensure general upkeep and maintenance of the premises is satisfactory to the school s standard minor decoration projects, as and when requested by the Bursar Organise and carry out any minor improvement work Keep Records (logs) of repairs and maintenance Collect and assemble waste for collection Undertake cleaning duties (for instance: graffiti removal) Coordinate deliveries to school site Promote & ensure the health & safety of pupils, staff & visitors at all times Portering duties e.g. moving furniture and equipment Ensure compliance by self & others with all health & safety policies & procedures Establish constructive relationships and communication with contractors and other agencies and professionals Cleaning To make sure the that Site Manager responsible for the cleaning regime fulfils their responsibility for the following: o o Organise work programmes, rosters, overtime and holidays including deep cleaning programmes and lettings; Review costs related to cleaning and building effective relationships with suppliers;
Grounds Upkeep of the grounds, gardens, roadways and paths on all school owned or leased premises Managing the school s sporting facilities and ensuring sports grounds and buildings are fit for purpose in conjunction with the Bursar and Head of PE Holiday Works Programme Agree with the Bursar the works to be carried out during holiday periods in line with the school development programme including any specification Co-ordinate and obtain quotations for the agreed works Agree with the Bursar the programme of works and the quotations from the contractors to carry out the works in line with agreed budgets Supervision of the contractors during the works programme Obtain all compliance certificates of any mechanical or electrical installations Lettings Liaise with the Bursar regarding lettings of school facilities for outside organisations and be the point of contact in regard to issues that may arise during the letting period. Events To make sure that the Site Manager responsible for events, fulfils their responsibility for the following General o Liaise with the Headmaster and Bursar regarding school events such as examinations, School Plays, Carol Services, Awards Ceremonies and other events either in school or on other premises in respect of the logistics required so that the school is able to deliver its expectations. Any other duties that may be deemed appropriate to this role as set out above; A certain level of flexibility is required during certain times of the year for evenings and weekend related to admissions, open days and parents evenings and other school events.
Skills, knowledge and abilities: NEBOSH General Certificate is highly desirable Strong understanding of compliance, health and safety, environmental and fire safety regulations Ability to interpret financial information including departmental and project budgets Competent in Microsoft Office and confident with other systems Able to communicate effectively at all levels Good understanding of customer service requirements and able to deliver an effective customer-focussed service at all times Effective time management and prioritisation skills with ability to work to deadlines Able to quickly establish professional credibility with staff, Governors and external consultants, contractors etc Experience: Previous staff management experience within a building or facilities setting Buildings project management and maintenance experience Experience of managing contractors Experience of dealing with architects, surveyors and other professionals Experience of a school or similar environment is desirable Qualifications in health and safety, membership of a professional body etc desirable Clean driving licence Attitude: Flexible approach to hours Commitment to excellence Willingness to attend further training as required Willing to get involved in school life Able to interact with students, teachers and support staff Can do attitude Willing to explore new ideas and innovative solutions
