Brief Document Description Overview eperformance has been created to streamline the performance review business process and make it more efficient and intuitive. This User Guide explains how an Employee can complete their component of an eperformance review using Finance Template. About this Business Process This eperformance process has been developed to replace the previous paper based forms for annual performance review. Preparing for an annual performance review Consider what you have achieved throughout the previous year. Consider your goals and objectives for the forthcoming year. Consider development and training you would like to undertake in the forthcoming year. Meet with your manager/supervisor to discuss your annual performance review. Guidelines for using eperformance The following guidelines have been developed for employees when their annual performance review has been initiated by their manager/supervisor. Logging into eperformance Log in via the Staff Portal>My Staff Page. Navigating through eperformance My Staff Page will open on the Time and Absence page. Click on the down arrow and select Performance. Follow the steps provided in this User Guide. Session Timeouts Your session will time out after 240 minutes of inactivity. Signing out of eperformance To sign out, click on the Assistance in using eperformance on the top right hand corner of your screen and select Sign Out. The Finance Template Workflow HR eperformance Systems Administrator initiates online performance reviews for Finance area Open created Finance Performance Document Manager/Supervisor reviews the auto populated Position Description in 'Section 10 Attachments' (consults with HR Adviser if Position Description needs to be updated? Manager/Supervisor nominates 'Peers' to take part in the staff member's review (if applicable) Employee completes and save self-evaluation Manager/Supervisor reviews any performance notes that may need to be included in the 'Manager Evaluation' Manager completes a draft 'Manager Evaluation' and 'Saves' Meets face-to-face with employee to discuss performance review including the Employee's "Self-Evaluation", saved "Manager Evaluation" and "Peer Review Comments" (if applicable) Manager will go back and make any necessary changes to the evaluation that may have arisen from the face-to-face discussion Manager will "Share" the completed "Manager Evaluation" with the employee Employee selects "Acknowledge" on the Performance Review Employee confirms Acknowledgement Action Employee inserts final Acknolwedgement comments Employee selects "Save" Employee "Signs out" The review is now complete and is accessible via Historical Documents for the Manager/Supervisor and Employee 3 P age
Steps Step 1 Step 2 Step 3 Step 4 Log in to the My Staff Page via the Staff Portal Provide employee comments for your online performance review Face-to-face meeting with Manager/Supervisor Acknowledge and submit your comments Step 1 Login to the My Staff Page via the Staff Portal Open the Griffith Home Page. Click on Staff Portal in the top right hand corner of the screen. Log into the Staff Portal using your Griffith ID and Password. 4 P age
The Staff Portal Page displays. My Staff Page can be accessed in two locations within the Staff Portal. The first location is by clicking on My Staff Page under Key Services. Alternatively you can select Employment from the left hand side navigation menu, and click My Staff Page under Human Resource Management. 5 P age
After logging into My Staff Page, the Home Screen will appear. You will then need to select the Performance tile. The layout of the Performance dashboard page has changed. The new page is divided into two sections. Left hand menu - lists all the menu items under each main heading. The right hand screen - provides functionalities of the menu item chosen on the left hand screen. Under the My Performance menu, select My Performance Review. Select your current review - General Staff Performance from the My Performance Review pane on the right side of the screen. 6 P age
Step 2 Providing comments for your online performance review On the left hand side pane select Update and Complete. This is found under Complete Self Evaluation as highlighted in the example below. Select Expand all. The Expand All function opens each of the document s sections and allows the entry of your comments against each of the sections provided Employee Comments box. As the employee, you can now provide comments for the following sections: Section 1 Position Description review: As part of this review you are able to review your current position description. Your Supervisor/Manager should have attached this when the performance documentation was raised. To view this, scroll to the bottom of the screen and select the document from the Attachments section. If your Position description is not attached, please contact your Supervisor/Manager, requesting them to attach a copy for you to review. 7 P age
Section 2 Past 12 months; Key Accountabilities; Goals and Objectives; Challenges and Limitations; and Achievements and Organisational Impact. Section 3 Supervisors only: Only complete this section if you also supervise staff. Section 4 Forthcoming 12 Months: Planning; Training and Development; and Career Development. Section 5 Code of Conduct and Online Training: Here you will be asked to identify that you have completed training in the following listed modules. Code of Conduct to confirm that you have read, understood and abide by the University Code of Conduct; Online Training confirm that you have completed the Annual Fire Safety training and any other Health and Safety training required within your work area. Once this training has been done, you can then select Yes for the relevant module and then Complete to finalise this self-evaluation section once all have been completed. You will now confirm that you have completed your evaluation (Top right of screen button labelled Complete. This will share the document with your supervisor and you will no longer be able to edit unless your supervisor reopens the self-evaluation. You can select Save if you wished to exit and return at a later stage to complete. 8 P age
On selecting Complete the following message will appear asking for confirmation that you have completed your self-evaluation. Click Confirm to send to your manager for review. The below message prompt will appear as acknowledgement that you have completed the Self- Evaluation stage of the process. Step 3 Face-to-face meeting with Manager/Supervisor For this performance review stage, you will need to attend a face-to-face meeting with your Manager/Supervisor. This meeting will be to discuss each section of your self-evaluation including any peer review comments (if applicable) and any feedback your Manager/Supervisor would like to include regarding your performance over that period. This feedback will be submitted as part of their Manager/Supervisor evaluation. After the meeting your Manager/Supervisor will Complete or Add to the Manager Evaluation and share the online performance review with you so that you can see the comments discussed in your face-to-face meeting. You will be able to see and review these comments by returning to your Performance Review document See Step 1 above on how to open My Performance Review. Your Manager s/supervisor s comments will be found within each sections Manager Comments box. Once you have review you are now ready to move to Step 4 and perform your acknowledgement. 9 P age
Step 4 Acknowledge and submit your comments On completion of your performance review meeting and subsequent review of your manager/supervisor comments on-line you are now ready to perform the final step of this process and Acknowledge this evaluation. Repeat Step 1 above to access your performance review. To Acknowledge your self-evaluation on the left pane under Review Manager Evaluation you will see Acknowledge. Select by clicking the Acknowledge link as shown below. The following screen will open where you will Click Acknowledge found on the top right hand side of the screen. A Confirm Review Action message prompt will now open where you can confirm that you have met with your supervisor and discussed your performance review document. Click Confirm if you are ready to add your final comments. 10 P age
Once the Confirmation Employee Acknowledgement screen opens you can add your final comments (if you wish) and click save. Once saved your Manager\Supervisor will receive a message advising them of this acknowledgement and the record will be placed within Historical Documents for later historical access. Should you wish to log off at this stage then select Sign Out from the in the drop-down menu. This can be found in the top right hand corner of the screen, by selecting the icon of 3 horizontal bars as shown in the below image.
