Inventory: Adding a Free-Form Drug Drugs or products that cannot be found in the Drug File can be added into PharmaClik Rx as a free-form drug. 1. From the Workbench, press or click the Drug button. 2. Type the DIN/PIN, Trade Name or Generic Name in the appropriate columns in the Drug Search window. 3. Press or click the Search button. If a drug does display, verify to see if it is the same one being added Since a new drug is being added, nothing will display in the window 4. Remove the Active Only flag and press or click the Search button. Verifies that the drug is not listed as inactive in the Drug file 5. Press or click the New button. 2

Enter or select the following information: Generic Name Trade Name Ther Class = select from drop-down list If not sure leave as (MISCELLANEOUS) Schedule Drug Form (optional) Colour (optional) Prov $ (only for provincially covered drugs) Strgth (optional) Mfr. (optional) 7. Enter or select any other drug information for optional fields. See @ A Glance for details For example, if this was a narcotic drug you would select both Narcotic and NMS (Ontario) 8. Press or click the Inventory tab. 3
In order to save the drug, a pack size must be entered for pricing and inventory purposes. 9. Press or click the Add button. 10. Enter or select the required Product information. Pack Size = the package size of drug/product Price Code = How the product is being sold (Units = C/X or Pack = P) Description = more information on product (optional) Main UPC = UPC on Drug/Product (optional) Do either Step 11 or Step 12: 11. Deselect the Monitor checkbox if the drug or product is not a part of perpetual inventory. OR 12. Select the Monitor checkbox if the drug or product is part of perpetual inventory and enter the following: On Hand = current inventory Re-Order Point = minimum required stock (this value should be based on the pack size and price code entered) Re-Order # Packs = amount of packs to be re-ordered when stock falls below minimum 13. Enter or select the required information in Primary Supplier. Supplier = select supplier stock is being ordered from Item # = supplier order number Supplier Price (pk): = $ amount of product (unit cost) - Auto-populates Supplier Price (ut) field Acq Cost (pk): = $ amount of product (unit cost) - Auto-populates Acq Cost (ut) field 14. Press or click the OK button. 4
15. Press or click the Save button. Saves the drug/product to the Drug file with a Negative PIN 16. Press or click the Alternatives tab. 17. Press or click the TP Rules button. 5
Since a negative DIN/PIN is not a real DIN, it will not be accepted when submitted to a third party for payment An alternative DIN can be assigned to a specific third party or all third parties in the Alternative tab This DIN will then be submitted to the selected third party for payment 18. Press or click the Add button. Opens a row to add any third party rules required 19. Enter or select the required information: Third Party From the drop-down list choose *All* to apply this to all third parties or add individual third parties to enter PIN numbers specific to each plan TP Plan Select from the drop-down list Pack Size Select from the drop-down list PIN Pseudo DIN/PIN that third party requires to be submitted 20. Press or click the OK button. 6
Adding auxiliary labels to a product or drug is optional Most labels allow for a maximum of five auxiliary labels 21. Press or click the Auxiliary tab. 22. Press or click the Filter button to search for specific auxiliary label text. 23. Press or click the OK button. 24. Highlight the appropriate/required auxiliary label from the Choose From: section. 25. Press or click the Add button. 26. Press or click the Save button. Repeats steps 21-25 to Add additional auxiliary labels. Press the Ctrl button on the keyboard and hold down while highlighting items to select multiple rows 7
Free-Form Drug Folder @ a Glance Generic Name field Generic or chemical name of the drug or product Trade Name field The trade or brand name of the drug or product assigned by the manufacturer TaLL MaN field Used to differentiate drug names of similar sounding medications on MAR reports Referred to as Look a Like names and is maintained by PTS, editable at store level Ther Class field Identifies the therapeutic class the drug or product belongs to Schedule field Identifies if a drug requires a prescription or can be sold over the counter (I, II, III, IV) Drug Form field Identifies what form the drug is in (optional) Colour field A description of the drug s appearance can be entered here (optional) Prints on compliance packaging reports Default SIG field Automatically assigns this SIG to every prescription filled with this drug or product (optional) Prov $ field Dollar amount covered by a provincial plan (optional) Strgth field Strength of product (optional) Mfr. field The three letter code for the manufacturer of the drug or product (optional) 8

Losec = innovator) Narcotic checkbox Indicates that this drug contains a narcotic ingredient Reportable checkbox Indicates that this drug contains a reportable narcotic ingredient Shrink Label checkbox Two vial copies will print One standard size text One small size text (usually used for eye drops or inhalers) Mixture checkbox Indicates that this drug or product is part of a mixture High Alert checkbox Indicates this is a high risk drug Creates a watermark (High Alert) to print on the MAR report Used for LTC functionality OTC checkbox Identifies this drug or product is an over the counter drug OFI checkbox Indicates this is an Off Formulary Interchangeable drug HST/GST checkbox(s) Identifies that this drug or product is harmonized/government sales taxable This does not add the tax(s) to the prescription NMS box Indicates that this drug is a monitored narcotic or controlled drug (Ontario) 9
