Important Notes: The National Notary Association (NNA) will not be supplying your notary stamp/seal. Instructions for ordering your notary stamp/seal is listed on the Wells Fargo Colorado Notary Information web page. There are two (2) sections. Complete the steps only in the section that s applicable to your status. NEW NOTARY APPLICANTS Section Only Note: Renewing notary applicants skip to the separate RENEWING NOTARY APPLICANTS section starting on page 3 of these instructions. 1. State Required Training and Exam: You should have already received an email from the National Notary Association (NNA) containing information for completing an Online Training Course. If you have not received the information, contact the NNA Employer Services Support at 1-877-876-0827. The online training course conducted by the NNA satisfies the state training requirements. Upon completion of the online course, you ll receive a Certificate of Completion. Save the certificate which will be used for the application process. To prepare for the online training course you will take from the National Notary Association (NNA): a. Access the Colorado Secretary of State website at: http://www.sos.state.co.us/pubs/notary/notaryhome.html and download, read, and print the following: Notary Public Law located under the Laws and Rules heading. Notary Handbook located under the Help & Resources section. Important: Disregard the Notary Public Training information on the website since you will be completing the training through the NNA. b. Exit the Colorado Secretary of State website. c. Using the instructions provided by the NNA, complete the NNA online training course. After you ve completed the online training course and received your Certificate of Completion, you will need to take the Colorado Notary Public Test. The exam is administered online from an organization called TRAIN, which is affiliated with the Colorado Department of Health and Environment; however, due to Wells Fargo system restrictions, not all team members may be able to access the website. 1. Access the following website to register and complete the exam: http://cosos.learnercommunity.com/. Once you ve completed the training and examination, access the Colorado Secretary of State website at http://www.sos.state.co.us/pubs/notary/notaryhome.html and complete the following: Notes: 1. Select the No, become a notary link under the New & Renewing Notaries section. 2. Read the information under the Become a Notary section. 3. Complete and print the Affirmation, however, do not sign the Affirmation at this time. 4. Take your Affirmation to a Colorado Notary for proper notarization. Sign the Affirmation in front of the Notary the same way you will enter your name when completing the online application. You will need a credit or debit card to pay for the application fee. You can ask your manager to request reimbursement from the bank for the application cost. You will also need to have the required documents scanned in order to attach to the online application. 5. Once you receive an email notifying you that your application has been approved, log in to print your Notary Commission Certificate. Make a copy of your Commission Certificate. Access the Wells Fargo Colorado Notary Information web page via: Store Portal > Service tab > Notary Process section > Notary Information > select your applicable state from the -Change State View- dropdown menu. My Business Banking Portal > Resources tab > Administration section > Notary Information > select your applicable state from the -Change State View- dropdown menu. Select the Order Notary Stamp/Seal link and complete the required information. Note: There will be instructions to fax a copy of your Commission/Certificate in order to obtain your notary stamp. 6. Review the Notary Handbook you printed from the Colorado Secretary of State website under step 1. 7. Complete all applicable notary education training listed on the enclosed Wells Fargo Notary Education Checklist. Sign and date the checklist and file it in your local personnel file. 8. If you re obtaining a new notary commission and you ll be acting as a notary for a retail store, you must complete the Wells Fargo Regional Banking Notary Training prior to performing notarizations. Access the training via the Wells Fargo Colorado Notary Information web page using the following path. Note: Business Banking team members do not need to take this training. Store Portal > Service tab > Notary Process section > Notary Information > select your applicable state from the -Change State View- dropdown menu. This training is in addition to the state required training and any notary education the notary must complete that is listed on the Notary Education Checklist. 9. Sign the attached Wells Fargo Notary Public Agreement and file the agreement in your local personnel file. 10. IMPORTANT: When you receive your notary commission from the state, ask your manager to update the Notary Certification section of your Banker Profile with your commission information, including your commission number. The commission number should be located on the commission document you received from the Secretary of State or State Licensing Agency. Team member Notary Public Agreement - Colorado This agreement is made between the Notary Public (hereinafter called team member ) and Wells Fargo Bank, NA, a national banking association (hereinafter called bank ). Recitals: A. The team member is employed by the bank; B. The team member is currently a commissioned Notary Public of the State of Colorado (hereinafter Notary Public); and C. The bank desires the team member to provide notarial services on behalf of the bank, and the team member desires to provide said services. In consideration of the mutual promises as set forth below, the adequacy of which the parties hereby acknowledge, the parties agree as follows: 1. The bank agrees to pay for the team member s benefit, the premiums on any bond and the cost of any stamps, seals, or other supplies required in connection with the appointment, commission, and performance of the duties of the team member as a Notary Public. 2. The team member hereby agrees to perform notarial services in accordance with procedures prescribed by the bank, from time to time, and the laws of the State of Colorado governing notary publics. 3. The bank and the team member acknowledge that the proper and legal performance of notarial services in accordance with all applicable laws is the sole responsibility of the team member. Team members shall be responsible for any continuing education necessary to monitor, review, and understand applicable laws and amendments governing the performance of notarial services in Colorado. Certain costs associated with said continuing education may be reimbursed by the bank in accordance with the policies set forth in the Team Member Handbook. 4. Team members shall not receive any compensation for the performance of notarial services over and above the team member s normal compensation from the bank. The team member acknowledges that the decision to collect any notary fee or fees for the performance of notarial services is solely the decision of the bank and that all such notary fees collected or obtained by the team member shall be remitted to the bank. 5. The team member agrees to indemnify, protect, and hold harmless the bank, its successors and assigns, from and against any and all claims, demands, liability, losses, actions, charges, and expenses of every nature and character, including reasonable attorneys fees, incurred by reason of the team member using her/his notarial powers in a manner other than expressly provided for in the Agreement. 6. The bank will indemnify and hold harmless the team member from any and all claims, losses, actions, causes of action, liabilities, damages, fines, penalties, costs and expenses (collectively Losses and Liabilities ) suffered or incurred by, or imposed upon, the team member as a result of any act or omission by the team member while performing notarial services in accordance with this Agreement. 7. This Agreement may be terminated at any time by either party by providing written notice of termination to the other party. This Agreement shall automatically terminate if, for any reason, the team member s employment with the bank is terminated, or if the team member s appointment and commission as a Notary Public is revoked, suspended, denied, expires, or otherwise terminated. 8. This Agreement shall not be deemed an employment contract of any type or nature, nor shall it in any way ensure the continued employment of the team member by the bank. 9.
