2 Garbage In, Garbage Out: The importance of correcting antiquated or incorrect asset information We ve all heard the phrase Garbage in, garbage out before, right? Now that fleet management systems collect so much data, it s important to think about how that data affects your organization. If you input ineffective or incorrect data into your fleet management system (AKA: garbage in ), the data you pull from the system for analysis will seem incorrect or ineffective as well (AKA: garbage out). Entering the correct information into your asset management software means you have an easier time locating your assets when you use the search functions in the software. 2. Keep up with maintenance You ll know without a doubt when a particular asset is due for a PM or other scheduled maintenance when the asset has the correct information entered. 3. Know the location of your assets Easily track the location of your asset when the correct location information is entered in your asset management software. 4. Know the age and condition of your assets If you have the right year and condition information, you ll know how new (or old) your asset is. 5. Know when to replace the assets With the correct information of your assets in the system, you ll have an easier time determining if an asset needs to be replaced or not depending on the maintenance/wear and tear on the asset.

Keep up-to-date maintenance information on the asset to quickly diagnose common issues. 7. Avoid duplicate asset entries Don t duplicate an asset entry! Ensure the description and other pertinent information is correct for your asset so that when you go looking for an entry, you know it s there and won t end up entering a second record. 8. Prevent one massive data correction Save time and hassle by keeping your asset data up-to-date and accurate so that you don t end up with a big mess to fix in the future when you realize how much information is incorrect. 9. Accurate inventory reporting Report on your assets and inventory with confidence, knowing that the information in the report will be correct and will show exactly what you have available.

5 10. Accurate depreciation calculations It s important to know what your assets are worth at all times so you know the replacement value in the event of an accident or other catastrophe.
