Microsoft Office SharePoint Server (MOSS) 2007 Create a Customer List K2 blackpoint Create a SharePoint Integrated K2 blackpoint Workflow; manual start Approve/Decline Customer Creation Request Provision the new Legal Matter Management Site Create a Process Portal Test It No-code LOGGING IN TO YOUR VIRTUAL MACHINE User: Administrator Password: k2pass CREATING THE CUSTOMER LIST We could use InfoPath 2007 and Form Services to deliver this form; we are going to use a simple list for demonstration purposes. Navigate to Matter Management Center. On the top-level site, click on the View All Site Content link. From the All Site Content page, click the Create link. From the Create page, in the Custom Lists section, click on the Custom List link. 4

5 CREATING THE CUSTOMER LIST - CONTINUED From the New page, in the Name and Description section, for the Name type Customers. For the Description type List of customers. Your page should look similar to the figure below. When you are ready, click the Create button. CREATING THE CUSTOMER LIST - CONTINUED From the Customers list page, click the Settings -> List Settings list menu option. Scroll down to the Columns section, click the Create column link. From the Create Column: Customers page, for the Column Name type Customer Name. Leave the Data Type as Single line of text. Scroll to the bottom of the page and click the OK button. CREATING THE CUSTOMER LIST - CONTINUED While still on the Customize Customers page, in the Columns section, click the Add from existing site columns link. From the Add Columns from Site Columns: Customers page, select the Core Contact and Calendar Columns option from the group drop down. In the Available site columns list, scroll down and locate the Customer ID Number item. Select the Customer ID Number item with a single left mouse click. Click the Add button. When ready, click the OK button. 5

6 CREATING THE CUSTOMER LIST - CONTINUED While still on the Customize Customers page, in the Columns section, click the Create column link. From the Create Column: Customers page, for the Column Name type Primary Attorney. For the Data Type, select the Person or Group option. When ready, click the OK button. CREATING THE CUSTOMER LIST - CONTINUED While still on the Customize Customers page, in the Columns section, click the Create column link. From the Create Column: Customers page, for the Column Name type Practice Area. For the Data Type, select the Choice (menu to choose from) option. In the list box titled Type each choice on a separate line, type Bankruptcy, Business, Consumer and Criminal. Note, we are limiting the practice areas for the purposes of this demonstration. When ready, click the OK button. CREATING THE CUSTOMER LIST - COMPLETE Your Customer List should look similar to the following figure. 6

7 CREATING THE K2 BLACKPOINT WORKFLOW Minimize your browser. Double-click the K2 Studio icon on the desktop. On the ribbon bar, click the Home link. On the Home ribbon bar, click the New link. On the New dialog, in the Templates section, click the K2 Process link. On the New dialog, in the Blank and Templates section, click the SharePoint link. For the New Item Name, type Customer On-boarding. Click the Create button. On the Save As dialog, double-click the K2 Projects directory. Name the new project CustomerOn-boarding. Click the Save button. Our K2 blackpoint workflow project has now been created. 7

8 In the left tool bar, click the Process Wizards item. Click, drag-n-drop the SharePoint Workflow Integration item on to the workflow process canvas. Connection Settings 8

9 SharePoint Workflow Configuration. Metadata Mapping and Folio. From the Finished page, click the Would you like to run a client event now check box. 9

12 Destination Users. Our SharePoint Workflow Integration and Client Event is now complete. From the Event Wizards toolbox, drag-n-drop a Mail Event on to the workflow canvas. 12

13 Decline Settings. Send the Decline back to the originator. Decline Message Body. You can include any process data! Decline complete. 13

19 CREATE AND CONFIGURE A PROCESS PORTAL Process Portal and Configuration is done through SharePoint Central Administration. In your Production Environment you may wish to create a separate Site Collection for all K2 blackpoint Process Portals. 19

CREATE AND CONFIGURE A PROCESS PORTAL - CONTINUED You can also give the users access to the Process Portal Site. This is accomplished using standard SharePoint permissions. TESTING OUR NEW WORKFLOW Log in to SharePoint as BPUser. Add a New Customer. 20

21 USING THE K2 WORKLIST NEW MATTER MANAGEMENT SITE PROVISIONED WHAT ELSE CAN WE DO? Set site security; SharePoint User Management Event Wizard. Automatically add content; i.e. Lists and Libraries. Send an to the requestor with the new site URL. 21
