1 Document 906 Project Monitoring Indicators Instructions for Indicator Selection Please go to the EWB-USA website to make sure that you are using the most current version of this document. The 906 Project Monitoring Indicators must be selected and used to measure changes as a result of the project work over time. The project monitoring data is submitted in the template of the post-trip reports: 522, 526, 531 and 527. The review cycle follows monthly submittal deadlines that are listed on our website (Member Pages Project Process Submittal Deadlines). Introduction Part of your project management responsibility is to be able to track and record how well your planned activities are being implemented. In order to do this, you will need to select a set of indicators that will be used to collect and analyze the information you need. Indicators should be measurable and observable. They should reflect back to the goals of the specific project and allow your team to assess whether or not you are on target to meet those goals through the activities that you are undertaking. They will also allow EWB-USA HQ staff to assess how well we are doing organizationally in meeting our partners goals and to help identify areas where we can improve on our delivery model. Because we design and implement a multitude of projects through seven different project types (water, sanitation, structures, civil works, energy, agriculture and information systems), chapters are instructed to select three indicators from the lists that relate to their designated project type for each of three different metrics. Although the specific indicators will be unique to the project, the indicators are grouped into three different categories which represent common metrics that apply to all of our project types. These metrics are: How well the project is functioning as it was designed to function: These indicators will document what has been implemented and if it is still in operation. This metric relates to outputs. If there has been a demonstration of maintenance being performed: These indicators will document that the community members had the knowledge, financial capacity and interest to keep the system operational in the short term. This is a key objective for all EWB-USA programs. This metric relates to outcomes. If there has been a demonstration of the community s capacity to sustain the project: These indicators will document that the community can sustain the project into the future without outside assistance. This is a key objective for all EWB-USA programs. This metric relates to outcomes. In your project development, please use as many indicators as you feel are appropriate to give your team an understanding of the project s progress. However, for consistency of organizational analysis of impact across all of our programs and projects, it is important that you select THREE indicators from EACH COLUMN in these lists to include in the report. If you have additional indicators that you would like to use for your project reporting, please discuss 2014 Engineers Without Borders USA. All Rights Reserved

2 this with your project s assigned EWB-USA HQ Project Engineer. We will have the ability to add additional indicators to these lists annually. Selecting Your Project Indicators Many EWB-USA projects involve multiple disciplines (e.g. a solar-powered pump for a water distribution system). Your project has been assigned its primary Project Type by EWB-USA HQ. That is the type you should use for your project reporting. EWB-USA Project Types (bold list headings) and Project Disciplines (lists below the types): Water Supply Source Development Water Storage Water Distribution Water Treatment Water Pump Sanitation Latrine Gray Water System Black Water System Structures Bridge Building Civil Works Roads Drainage Dams Energy Fuel Electricity Agriculture Irrigation Pump Irrigation Line Water Storage Soil Improvement Fish Farm Crop Processing Equipment Information Systems Computer Service Refer to the specific page of indicators for your Project Type (each list of indicators has a heading at the top to indicate the subject Project Type). Chapters select THREE indicators from EACH column for their project, so NINE total. Once selected, you will use these indicators for the life of the project. Data will be collected on each trip that will inform an update on the status of the indicator. These indicators are what your team will enter in the post-trip reports, Completed Project Monitoring sections. Please see those report templates for a complete understanding of where these indicators will be used. Additionally, these indicators should help you complete the 905 Program Logical Framework. References in the column titles below to outputs and outcomes are to assist your team in identifying which cell in column 2 of the 905 you should be using to list each group of indicators. 3 WATER SUPPLY INDICATORS Rate of flow at water point Quality of the water at water point Distance to water collection point (usually measured as round trip from house back to water point and back to house) Quantity of water available to each household during dry and wet seasons Time to collect water (usually measured as round trip from house back to water point and back to house) Percentage of houses with connection (or within certain distance of access point) Water pressure in the system Existence of broken components, i.e. valves, pump lever Quantity of water available to each household during dry and wet seasons Level of cleanliness of gutters feeding a rainwater catchment system Level of cleanliness of water storage tanks Existence of broken components, i.e. valves, pump lever system accurately Observed method of community members handling and transportation of water Observed method of community members storage of water Cost of water to user 2014 Engineers Without Borders USA.
