1 SSG Performance Recognition Review NEO Guidelines for SSG Managers Section 1 Introduction 2 View information 3 Allocate Recommendations 4 Review and Submit Recommendations 5 Manage and Approve Recommendations 1 Introduction These Guidelines should be read in conjunction with The SSG Performance and Remuneration Review Principles and Procedures ENQUIRIES: HR Partners, HR Client Services or Remuneration & Benefits Manager System Requirements PC: Explorer or safari interface Mac Users: Mozilla or Safari browser interface Log into Neo: UTS Manager Self Service. Security: log out of Manage Remuneration and NEO after each session. To Complete Review Requirements This guideline will help you to complete the review requirements: 1. Rate your SSG staff, 2. Provide a justification (text) 3. Attach signed workplan review (PDF) 4. Review your subordinate managers ratings 5. Approve and Submit to your manager.
2 UTS HRMS Manage Remuneration - Manage Remuneration 2 View Remuneration Information Review staff reporting to manager. To review position and salary information for staff; click Go To Task. Information available to review on; Current Salary; Previous Performance Pay %, Current Allowances$, Pro-rata Time in SSG, Time on Leave. Choose Direct Employees or All Employees. To select an individual staff member; enter name Find Name click Go. New SSG employees will show as Pro-rata Time in SSG. 6 months = 0.50, 12 months = Choose Employee Details to see NEO information. 3 Please advise your HR Partner if you think any details are incorrect or staff missing. 3 Allocate Ratings From Manage Remuneration Home click Go To Task on Allocate Remuneration line. Step 1: Allocate Rating Choose a rating from the list of values Enter your rating; Quick select click Save. Step 2: Allocate Remuneration - IPA If you have staff with an Individual Performance Arrangement (IPA); enter your recommended amount in IPA Confirmed $. 4 Step 3: Justification Enter a short statement (up to 1500 characters or a few paragraphs) for each staff member to support your rating selection. This can be typed in or copied and pasted in from a word document. Click on paperclip icon Justification column. Title Justification staff member. Then Add Add Attachment Attachment Summary Information Cancel Add Another Apply Title Description Category Miscellaneous Define Attachment Type File URL Text Select Text, type or cut and paste. 5 After each entry, click Save. Attach signed SSG Performance and Development Plan Review (pdf ). Select Add Another and Apply. Add additional documents in the same way. Remember to Save after adding each document. When complete Save or Finish - top or bottom right hand corner of the page. You can return to this page later to enter further recommendations or to submit to your manager. Important Note: If you submit your recommendations, any recommendations made by your subordinate managers will also be submitted. You must review ratings submitted by your subordinate managers via Manage Approvals before you Allocate and Submit your own recommendations. 6 4 Review and Submit Recommendations Important Note: When you submit your recommendations, all other recommendations from your subordinates will also be submitted to your manager. No further changes can be made. Review all your subordinate managers recommendations first. Then enter your own recommendations and submit all recommendations together in Review and Submit. Manage Remuneration Home page Step 1: Review and Submit. Click: Go to task. View statistical information about your recommendations. Review and Submit page Step 2: Review Click View Details to review all ratings. You can still make changes. When your review is complete: Submit for Approval. Are you sure you want to submit to the next level? Your subordinates recommendations will also be submitted. Step 3: Submit Click Yes to send your recommendations to your manager. 8 6 Manage and Approve Recommendations Deans, Directors and other Senior SSG managers must review and approve ratings and justifications from SSG staff that report to them, before submitting any ratings to the next level. Step 1: Go to Manage Approvals to review and approve recommendations submitted by your direct reports. Click Go to task. On the Approvals Overview page view all your direct reports. Submit Status indicates whether recommendations have been submitted by your managers. Step 2: Click Review for statistical information about submitted recommendations. Click view details to see information and recommendations submitted by your managers including IPA $ recommended. 9 Click to View attachments. The screen below will appear: Review, change, save and/or return. You can reject a recommendation if you do not agree. Discuss any changes you make with your subordinate managers. Step 3: Approve or Cancel to return to the home page. Once you Approve your subordinates will not be able to make any further changes. Agree Yes or No. On your home page your status will update to Approved. Access will be Read only. No further changes can be submitted but you can review information. Security: log out of Manage Remuneration and NEO. Note: For staff to receive increases on time, please ensure your recommendations are submitted in the timeframe. 10 Appendix: Definitions The table below gives descriptions of the information available in each column in this NEO screen: Column Heading Status Assignment Category Current Class FTE SSG Salary (at run date) Description Standard assignment, Reversionary, Relief, Temp change of Hours or Secondment. Full-time, Part-time Continuing or Non-Continuing. Grade Classification and level Full-time Equivalent. The current base SSG salary. Current Allowances $ Current Allowances % Previous Performance Pay % Rating Pro-rata time in SSG Time on leave > 3 Months Eligible for bonus IPA- Max $ The dollar or percentage value of any allowance currently being paid. The performance pay percentage awarded for the last review. Managers rating The percentage of time used to calculate bonus paid for new and acting SSG. Employee has had leave in excess of three months. Y or N dependant on rating The maximum target amount that may be awarded as IPA. Amount awarded.
