1 JA City Volunteer Guide Welcome to Junior Achievement City! Its volunteers like you who have made JA City such a success. We could not do it without you. Your role as a volunteer will be to help from three to eight students with their jobs in a specific storefront. Throughout the day, you will see these fifth grade students transform into adults and leaders, as they learn teamwork, decision-making, responsibility, leadership, entrepreneurship and financial literacy. Don t worry about knowing the details of the students jobs. They each have a job book that explains in detail their assigned job and tasks for the day. Your job is to direct the staff meetings and be a resource to your assigned students. You should also look for teaching moments throughout the day and for group discussion opportunities as situations arise within your business. Below is a brief summary of the day s activities. The following pages go into more detail with an explanation of the tasks that the students need to accomplish during each part of the day. 2 Orientation (10 Minutes) When the students arrive, they will come up the giant elevator and sit on the grass in Morgan Stanley Town Square. During the orientation, a JA staff member will show the students where the restrooms and emergency exits are located. An emergency exit plan is found on page 13. There are a few laws in JA City. Please help us enforce these rules; All food and drink must be kept in the Maverik area. No running in JA City. No gum. ~ 2 ~

3 Staff Meeting and Business Preparation Time (35 Minutes) Now the fun begins! This staff meeting is the most important part of the day. During this meeting you will help your students get ready to open for business and prepare for their first break. Below we have listed eight things that need to happen during this staff meeting. Your students will be working on these tasks simultaneously, so get ready and have fun! 1. Meet the students. (5 min) a. Ask each student s name and job title. b. Hand out student nametags (found in packet from school). c. Get to know each student. d. Ask questions like, How are you going to run a successful business today? or How is your business going to make money? 2. Have students read their manuals. (5-10 min) a. Each student should have a manual with his or her job title on the front cover. Allow 5 to 10 minutes for them to become familiar with their jobs and corresponding tasks. b. The first page in the student manual is a colored sheet of paper that shows what break each student should take. Note that students in your group will have different breaks Red, Yellow or Blue. This ensures that your business will have someone working at all times during the day. c. Only two students should leave the business during the first staff meeting. The CEO needs to visit the bank to get a loan and a student will go to US Synthetic to get business supplies. No other student should leave the business to perform their job tasks until after the opening town meeting. ~ 3 ~

4 3. Get a loan from the bank. a. Just like in real life, your business will need money to get started. All businesses, except the banks, will need a loan from the bank. b. The CFO should enter the loan amount into the CFO Computer. The loan amount is found on the Business Cost Sheet. This sheet has been filled out at school and is found in the Biz Prep Packet, which will be given to the students upon arrival at JA City. c. Next, your CEO should take the Loan Application and the Promissory Note to the Bank CEO to apply for the loan. These sheets were also completed in school and are found in the Biz Prep Packet. d. You can find out which bank your students will be using by looking at the Banking Assignment List in the back of this manual. 4. The CFO cuts a payroll check for each employee. Note: The CFO is by far the busiest employee. He/she is in charge of employee payroll checks, paying bills, and making business deposits. All of these tasks will be done on the CFO computer. You can think of the CFO computer as the business checkbook or the business account. On the right side of the CFO computer screen you will see buttons that will allow your CFO to navigate between these different tasks. a. The CFO will enter each student s name, account number, and job title under the employee section on the CFO computer. b. Next, the CFO will print a payroll check for each employee. This is done under the Payroll Button on the CFO computer. ~ 4 ~

5 5. Get supplies from US Synthetic. a. The CFO prints a $5.00 check to US Synthetic for supplies. b. One of the employees is instructed in her/his manual to take the check to US Synthetic and pick up the supplies. Comprehension Check How will your business make money today? What service or product is your business offering? What things will your staff do to make your business successful? 6. Set sales price for retail items (retail stores only). a. Retail stores make money by selling products. One of today s goals is to pay back the loan borrowed from the bank. The items for sale should be priced high enough so that if each item were sold your business could pay back the loan amount. No item should be priced under a dollar. b. Divide the inventory into three groups. Only sell one group per break so the students on the 2 nd and 3 rd break will have a chance to buy your product. c. Some items can be reordered once during the day. Please refer to the red Sales and Marketing binder for instructions on reordering and pricing. ~ 5 ~

6 7. Prepare student checkbooks for the first break. a. The CFO or CEO should sign and issue the first payroll check to each employee. b. Have students open their personal checkbook to the deposit ticket. Below is an example of what the completed deposit ticket should look like. Note: Employees will visit the bank on their break to deposit the payroll check. You can help in this process by making sure the deposit ticket, savings account check and checkbook record have been prepared correctly in class. You can review the checkbooks as a group or, if time is short, on an individual basis. This amount should match the student s payroll check. July 27, Each student can receive up to $2.00 of the payroll check amount in cash. The net deposit is the total amount that actually enters the checking account. Since Mike is receiving $2.00 of his check in cash, he will deposit $6.82 in his account. ~ 6 ~

7 c. After students deposit their payroll check on their first break, they will visit the savings officer to open a savings account. Each student should have a check written for $1.50 pay to the order of the student s name. This transfers $1.50 from the checking account to a savings account. Students won t be able to use money from savings account. It is a onetime transaction. Mike Brown July 27, 10 Mike Brown One Dollar and 50/ Mike has written a $1.50 check to himself to open a savings account at the bank. This check will transfer $1.50 from Mike s checking account into his savings account. OPEN SAVINGS ACCOUNT Mike Brown 234 The memo should say Open Savings Account. Students won t be able to withdraw or use the money in the savings account. d. Now, have your students turn to the checkbook register at the front of the checkbook. Throughout the day, help them record transactions (i.e. deposits and expenses). The checkbook register should look like the example below. 7/28 DEPOSIT /28 OPEN SAVINGS The first line should say Deposit and the second Open Savings. If the student carries the deposit or credit amount over to the Balance Column, it becomes an addition or subtraction problem. This makes it easier to figure the balance. ~ 7 ~

8 Comprehension Check What does it mean to deposit a check? How do you buy something with money that is in a checking account? How do you know how much money is in your checking account? Many students don t understand that they can spend money in their checking account by writing a check or using a debit card. Please encourage your students to go shopping during their breaks. 8. Help the CEO prepare a creative and fun speech for the Opening Town Meeting. a. Each CEO should have a sample speech in the front of the CEO binder. Most CEOs speak in the opening town meeting. The CEOs that don t speak in the opening town meeting will speak at the closing town meeting. You can tell when your CEO will speak by looking at the title on the sample speech it will say either Opening Town Speech or Closing Town Speech. b. It is much more exciting if the CEO writes the speech in his or her own words. The speech is like a commercial. Your CEO can invite his/ her staff up to sing a jingle or do a skit. Have fun with it! ~ 8 ~

9 Opening Town Meeting After the staff meeting, students and volunteers meet in Town Square for the Opening Town Meeting. We sing the Star Spangled Banner. The Mayor is sworn into office and the Mayor and most CEOs speak. It is an exciting part of the day! Breaks and Business After the Opening Town Meeting, all stores open for business and the red break starts. Make sure students go on their assigned break (Red, Yellow, or Blue). The JA Staff will announce the changes in breaks. On break students eat lunch, deposit their payroll check, and go shopping. Note: After students deposit their payroll check, they are free to go shopping. Each retail store accepts one of the three methods of payment: cash, check, or debit card. Help the students understand the difference between the three. Only three locations accept cash; Maverik, DJ (for song requests) and United Way (for charitable donations). All other retail stores accept either check or debit card only. Comprehension Check Did you know that another name for debit card is check card? When you use a debit card, money is taken from your checking account. Debit cards and credit cards are not the same thing. When you use a credit card you are borrowing money you don t actually have. Make sure to keep track of all your purchases so you don t spend more money than you have! All students who are not on break should be working in their assigned jobs. Though each student has specific tasks, students should work together as a team to accomplish business needs and goals. Each business is offering a service or a product to make money and pay back the loan. What service or product is your business offering? How is your business collecting money for your service or product? For answers to these questions and for help that is specific to your business, see Helpful Hints on the back cover of this manual. ~ 9 ~

10 Second Staff Meeting The second staff meeting is very short. Just like in the first staff meeting, you will need to help the students prepare for the second set of breaks. During the second staff meeting students should: a. Receive their second payroll check. b. Fill out a second deposit ticket. c. Update their checkbook register. Like on the first deposit, students can get up to $2.00 of the check in cash. Since most items in JA City are purchased with the check and debit card, students should consider whether they would like $2.00 in cash or more money in their checking account. Second Set of Breaks During their second break, students should deposit their payroll check at the bank, go shopping and finish eating their lunch. Ensure that students go on their assigned break. This is the last chance for students to go shopping! They will want to spend their hard-earned money. ~ 10 ~

11 Final Staff Meeting/Clean Up After the last break, all businesses are closed for the day. Since the final staff meeting is short, all students must return quickly to their businesses. All transactions and sales should stop. Congratulate students on their hard work. Comprehension Check What was the most important lesson you learned from JA City? Would you like to have your job when you grow up? If not, what would you like to be? What was the hardest part of being an adult? All JA City cash and coin should be left on a desk inside of the business. Students should clean their workstations. Student checkbooks and important papers (i.e. awards, ads, and check samples) can be inserted in the envelope and given to a teacher. Any other papers can be thrown in the recycle bin. Students should take all personal items with them. Closing Town Meeting The Mayor will close the day with a speech. The CEOs who didn t speak at the Opening Town Meeting and a few other students will be invited to speak. Please help these students prepare their speeches. ~ 11 ~

12 Emergency Exit Plan Junior Achievement City is located on the fourth floor of Discovery Gateway. In the event of a need to evacuate the premises for any emergency, the following measures should be employed: At the first meeting of students in Junior Achievement City, a JA staff member will instruct students and volunteers where the four emergency exits are located on the fourth floor. A JA staff member will announce for everyone to meet in Town Square. A JA staff member will escort everyone down the stairs from one of the four exits. A JA staff Member will ensure that no one is left in JA City. If possible, a JA City staff member will lead everyone across the street to 500 West under the awning just south of J. Crew. Students will be out of danger and be reassured of their safety. Teachers and volunteers should account for their students once again. Once the building has been declared a safe place to return, a JA City staff member will escort everyone to the elevator and up to the fourth floor. Everyone will meet in Town Square. Teachers and Volunteers should account for their students one final time. A JA City staff member will dismiss everyone to go back into their businesses to continue the rest of day as normal. If, for some reason, the building is declared an unsafe place and we are unable to return, Teachers may need to make arrangements for students to be escorted to their busses or begin to contact parents. All of the volunteers and JA staff will assist teachers as needed until all students are accounted for and arrangements for their safety and departure have been met. ~ 12 ~

13 Volunteer at a Glance Before Opening Town Meeting: 1. Meet the students. 2. Students read their manuals. 3. CFO and CEO get a loan from the bank. 4. CFO enters employee information and prints employee payroll checks. 5. CFO prints $5.00 check to US Synthetic for supplies. 6. Students set product prices (retail stores only). 7. Make sure student checkbooks are filled out correctly. 8. CEO prepares opening or closing town meeting speech. After Opening Town Meeting: Make sure students go on their assigned breaks: Red, Yellow or Blue. Students should eat lunch on their first break. Students should deposit payroll checks on break. Ensure business deposits are being made throughout the day. Second Staff Meeting: Help students prepare for next set of breaks. Pass out second set of payroll checks. Help students fill out second deposit ticket. Closing Staff Meeting: Recap employee and business accomplishments. Help students clean up. Put checkbooks and paperwork in the envelope.
