2 WAYS TO PARTICIPATE Online Selling October 1-22* Girls create their own online store to sell magazines, photo keepsakes, nuts, candy, and other fun items. Invite customers to shop through and social media.** What s awesome about online selling? Ordering products online helps girls reach friends and family who live far away. Online orders are shipped directly to the customer and magazines arrive at the subscriber s home faster than those ordered on paper. Customers order online and pay directly via credit card. There are no overhead costs or need to handle product. The online nut store provides additional product from Ashdon Farms beyond what is available on the order card. *Orders received after October 22, 2017, will be processed but cannot be counted toward a girl s total sales, recognitions, or troop proceeds. **Girls 13 and over can share links on social media so friends and family can easily make purchases. Girls under 13 can use an adult parent/ guardian s social media to share links as well. In-Person Magazine Sales October 6 22 Girls work with customers to share a product catalog and help customers complete order forms and collect payment. What s awesome about magazine sales? Girls can collect order forms and payment all at the same time. Magazines are mailed directly to the subscriber s home. There are no overhead costs or need to handle product. Important things to remember about selling magazines in-person: Order forms must have correct and complete name, address, and zip code. There is a maximum of three separate magazine orders with same address per Magazine Order Form. Customers retain the pink copy of order form as receipt. The customer service number is found on the back of the pink copy as well, so it is very beneficial for customers to have this copy. Girls must ask customers to write phone and driver s license number on all payments made by check. In-Person Nut and Candy Sales October 6 22 Girls share a product card with customers, help them complete their order, deliver product, and collect payment. What s awesome about nut and candy sales? Girls collect payment at the time of delivery. Product will arrive November and is distributed to girls to deliver accordingly. Troops only order what is needed to fill orders. Customers have the option of purchasing nut and candy items, as well as magazine vouchers, to be donated to regional military, food banks and children s hospitals through our Care to Share program. If a customer is only ordering for Care to Share, they may pay upon time of sale as there is no product to deliver later. The council will take care of delivery. Important to remember about selling nuts and candy in-person: Girls must ask customers to write phone and driver s license number on all payments made by check.

3 MATERIALS AND RESOURCES Troop envelope contains: Troop Guide Permission slips (1 per girl) Money envelopes (1 per girl) 1 packet per girl: magazine catalog, magazine order forms, and nut and candy order forms GirlScoutsToday.org has links to our Fall Product Sale vendor s websites with program materials, clip art, and information as well as: Family Guide to the Fall Sale Program Problem Collection Form Returned Check Reimbursement Form Family Training Meeting outline Care to Share Care to Share is a service project within the Fall Product Sale Program. With Care to Share, customers have the option of making purchases to be donated to regional military, food banks, and children s hospitals. Simply enter orders in the Care to Share columns on the order card and collect the money. The council will take care of delivery! NEW for Nostalgic Girl Scout Tin Customizable shirt reward Salt & Pepper Cashews Dill Pickle Peanuts Tumblers and Water bottles *Online only Organic veggie seed kits *Online only STEPS TO SUCCESS Ensure that every girl is a registered member of Girl Scouts and that a current ACH form is on file with the council. Schedule a training meeting for the girls and families in September to explain the program and collect permission slips. A sample training meeting can be found on the council website, GirlScoutsToday.org. Have each girl and her family make a list of potential in-town and out-of-town friends and family to contact about sales. Have the girls discuss which activities they want to participate in with Girl Scouts this year and have them set goals to achieve these activities. Show your troop the rewards and explain the numbers needed to earn them. Decide on a troop goal and determine what the troop needs to do in order to carry out the goal. Provide girls and families sales materials right before the program begins. This reduces the chance of early sales. Promote the Care to Share program to boost troop sales while providing a service to regional military, food banks, and children s hospitals.

4 DATES TO REMEMBER September Service Unit Project Manager (SUPM) conducts Troop Product Manager (TPM)/Troop Leader training. TPMs conduct training in troop meetings. TPMs collect signed permission slips. October October 1: Girls may begin selling online. Remind girls to begin online sales right away to receive maximum benefit of the program. October 6: Girls may begin selling in-person. Money should be collected for magazine orders only at this time. October 22: All sales end. October 23: Girls turn in payment for magazine orders and all order forms (white AND yellow copies) to TPM/ Troop Leader. Girls turn in nut and candy orders. Each girl receives 2 cards. Be sure to collect both cards so no orders are missed. October 25: Enter troop orders on NutE website by 11:00 p.m. and deposit all magazine money into troop account. October 26: TPM meets with SUPM to turn in magazine order forms (white AND yellow copies). November November 13 15: Pick up nut and candy orders from SUPM and distribute items to girls for delivery. November 27: Girls turn in payment for nut and candy orders. December Pick up and distribute recognitions to girls. December 1: Problem Collection Forms due to council. December 4: Fall Sale ACH for full amount due to the council.

5 END OF ORDERING WRAP-UP Girls Return completed order forms. Remember, each girl has two nut cards and should turn them both in to you so no orders are missed. Make sure they circled their rewards choices. Return payment for all magazine orders (checks should be made payable to your troop or to Girl Scouts). Make sure checks contain the phone number and driver s license number of customer. Troop Provides a receipt filled out and signed by both the TPM and responsible adult every time products are picked up or money is turned in. You can print a receipt from NutE or use a general receipt book. Troop Product Manager (TPM) Deposits all cash and checks into your troop bank account. Do not give money to your SUPM or send it to QSP. Checks magazine orders for 1) Code number and name of selection. 2) Number of issues and new/renewal box checked. 3) Complete name and address on each order form (NO addresses outside of the US). 4) Selections added and totaled on order form with the correct dollar amount. 5) First name, last name, and troop number of girl selling. 6) GSEIWI as the organization. Please make sure that pink order copies have been given to customers as a receipt. NUT AND CANDY DISTRIBUTION SUPM appoints pick up location and time. Sign a T-2 printout acknowledging the receipt of your nut and candy order. Please count each variety and total carefully. (Remember, Care to Share purchases are taken care of by council. You won t physically receive these.) Once you get home, separate the girl orders before any parents come to pick them up. If you find any damaged items, contact your SUPM immediately. Print TWO copies of the G-2 report from the website for each girl in the troop. Have an adult (not the girl, a sibling or a babysitter) sign the G-2 forms before giving the nuts and candy to them. Give the adult a copy of the signed receipt and keep a copy for troop records.

6 RESPONSIBILITIES Troop Product Manager (TPM) Enters all orders on NutE (AshdonFarmsNutE.com) by 11:00 p.m. on October 25, Log in using the login name and password provided. The system should take you to the troop s home page. Login: eiwixxxx (XXXX is your troop number) Password: eiwixxxx (XXXX is your troop number) Click the Troops icon to enter/update your Troop Leader and TPM information. Click the Girl Orders icon and follow Steps 1-4 in the Troop Order box. Meets with SUPM and submits all magazine order forms (white and yellow copies) by October 26. Do not submit the order until you have added all girl orders. If you have submitted your troop order and you need to make changes prior to October 25 at 11:00 p.m., please contact your SUPM as they can change your troop back to open status so you can make edits. Edits to girl orders, by the TPM, will be allowed until 11:00 p.m. on October 25, At this time, the website will close for troop ordering. SUPMs will be able to make edits/additions until October 29 at 11:00 p.m. Service Unit Product Manager (SUPM) Reviews orders online by October 29. Makes any late adjustments by October 29 at 11:00 p.m. Council Commits all orders by noon on October 30. REWARDS Girl Recognitions Girls can receive rewards for different parts of the sale. All rewards are cumulative. The full rewards list can be found on the back of the nut and candy order card. Program Credits earned through the Fall Product Sale Program will be added to girl accounts AFTER the 2018 Cookie Sale Program in order to minimize the account numbers parents need to keep track of and to maximize the amount of time a girl has to spend her program credits. Troop Proceeds All troops receive 25% of their total sales as troop proceeds. Cadette, Senior, and Ambassador Troops can decide to take an additional 3% troop proceeds (28% total) on their total sales and receive only the patches instead of all of the other rewards. FINANCES All magazine payments must be received when orders are taken. Online orders will be paid directly by the customer via credit card. All nut and candy payments must be received when orders are delivered. Orders placed through the Online Nut Store will be paid online directly by the customer. Deposit all money into your troop bank account as it is collected. The amount the troop owes will be taken from the troop bank account through ACH on December 4, If you have a returned customer check, fill out the returned check reimbursement form found on GirlScoutsToday.org. If you have a girl who doesn t pay, fill out a Problem Collection Form found on GirlScoutsToday.org. Send a hard copy of the PCF to Finance no later than December 1, THEFT In the event that funds are stolen, a complete police report must be filed and your insurance company contacted. It is the responsibility of the individual to obtain a written copy of the police report and insurance company report. Send copies of the police report and insurance report by registered mail directly to: Girl Scouts of Eastern Iowa and Western Illinois Attention: Finance 940 Golden Valley Drive Bettendorf, IA This does not remove any person from the responsibility of payment. The family who incurred the theft should check with the appropriate insurer of the property to see if coverage will provide compensation. Product and/or money receipts will also be helpful to prove possession and value of property. Questions?
