I enjoyed meeting with you a few weeks ago, and I have heard only great things about you, your experience, and your education at Saint Leo University from our selection committee. The entire committee and I believe you will be a great fit for our catholic tradition and a strong supporter of our Central Tenets of. I hope you will find that our C & M family is supportive and that C & M is a great place to work. I know you will have many questions as you begin your work with our school and our faculty and staff in particular. 2 Simulation Introduction and Instructions Student, congratulations on your new position as the Assistant Director of HR at the College of Cyril & Methodius, a small college in Nohweare, Florida! Situated in the small college town of Nohweare, C & M is a private, not-for-profit college with approximately 3000 students. Your primary responsibilities involve all faculty and staff, student workers and volunteers: Creating Recruiting and Selection processes for all job titles Determining Compensation Plans for all job titles Planning, Implementing and Evaluating training programs for all job titles Creating Performance Evaluations for all job titles Direct involvement with College legal Counsel related to Employee Relations and Risk Management issues for all job titles You report to the Director of Human Resources, who reports to the VP of Business Affairs, who reports to the President of the College. You should create a presentation to address the following problems as you would present to your supervisors. Contact your instructor to confirm how many simulations are due for this course. You should expect your presentation(s) to take about 10 minutes each, and you must do your best to address all the issues in the situation(s) in the time allotted. The choice of visual aid is up to you and the discretion of your professor. You will be graded on: Addressing all the issues in the simulation: did you propose a reasonable solution for the problem(s)? Critical thinking: did you approach the issues from a Strategic HR perspective? Presentation Quality: did you create and deliver a professional presentation? 3 I Recruitment & Selection Your Supervisors came to you with 2 separate projects related to Recruitment and Selection. See the below: From: hr@cyrilandmethodius.edu Cc: businessaffairs@cyrilandmethodius.edu Subject: Staffing Assignments Student, we have a couple of priority projects that we need you to get started on right away. First, create a proposal to Recruit, Select and Onboard a lawyer to act as our Collegiate Legal Counsel. Your considerations should include: How to recruit candidates How to select the final candidate How to make the offer A realistic timeline for getting this done Second, create a proposal to Recruit, Select and Onboard a new group of student workers to work at the college library. Your considerations should include: How to recruit candidates Determining how many will be needed based on a typical volume of help needed at the library How to select the final candidates A realistic timeline for getting this done A couple of things to know: Our previous legal counsel left suddenly and the contract negotiation for several groups of staff is coming up in 6 months, so this needs to be done relatively quickly, but carefully. Students who are qualified for Federal Work Study must be given first priority on jobs. There are a lot of commuter-students here so it might be tougher to find workers willing to work nights and weekends, but the library is open 7 days a week from 7am 12 midnight.
4 II Compensation The president of the college came to you with a project related to Compensation. See the below: From: manny.vashteg@cyrilandmethodius.edu Cc: hr@cyrilandmethodius.edu; business affairs@cyrilandmethodius.edu Subject: Compensation Concerns Colleagues, As you are aware, there has been quite a bit of turnover for our faculty in the past few years. I d like you to look at whether C & M is offering our instructors and professors pay and benefits that are in line with what other competitor schools offer. My office needs to see an overview of how C & M stacks up to ~2 other competing schools so that we can present some info to the Board of Trustees during the Semester Meeting next week. If there are areas of compensation where C & M is falling short (or over-competing), discuss IF and HOW compensation can be brought in line with our competitor schools, whether that means possibly increasing pay/benefits, decreasing them, or figuring out how to leverage them to provide advantage to C & M over other schools. A couple of things to know: You may use Saint Leo and its own competitor schools, or other private schools of similar size. Based on which schools you pick for comparison, you will need to consider labor market, cost of living and other external influences on compensation Don t forget to consider Non-Financial Compensation at C & M, including our recent Great Place to Work in Florida award and our Central Tenets Ultimately the college is a business even though it is not for profit. However, you also want to be careful about pay compression issues or taking benefits away that people are used to maybe current employees should be grandfathered? Yours, Manny
5 III Training & Development You ve got two training assignments to take care of, and need to pick one: From: Cc: Subject: Training Needs Student, need you to pick one of the assignments below re: training issues. The other can be handled by your assistant. We ll need you to present a training plan by next Wednesday. 1- Professors and Students have been complaining that Student Athletes are allowed to miss and make up work without facing the same penalties that normal students receive. I want to make sure everyone understands the policy on missing classes, and this time a simple is not going to work. That means all coaching staff and student athletes need to be retrained on the academic policy for athletic absences. You ll need to train 600 Student Athletes and 30 coaches. The training needs to be ready to go next month. 2- New student workers need an orientation to our Student Center. This should include things like what their responsibilities will be as well as answering visitors and students questions, how to do shift bids for when and where they are able to work, and how to open up and close up at the beginning and end of the day. You ll need to train our 20 new student workers. The new workers will be starting next month. In your presentation, be sure to discuss: Why you prioritized the training you picked How you will plan, develop and design the training How you will implement the training (time, methods, location, etc.) How you will evaluate the training to demonstrate that it had strategic value to the college
6 It s never a good day when you get this IV Employee Relations / Risk Management From: hr@cyrilandmethodius.edu Cc: legal@cyrilandmethodius.edu; manny.vashteg@cyrilandmethodius.edu Subject: CONFIDENTIAL EMLOYMENT ISSUE Student, we may have a serious problem with the women s soccer coach. Two of the players have accused him of inappropriate touching and hanging around the locker room a little too much after games. I m not precisely clear on what s going on, but we need to get to the bottom of this before it blows up. I need you to give me a detailed overview of what we should be thinking about in terms of legality and our employee discipline procedure. As you know, we try to use progressive discipline when possible, but we do have a zero tolerance policy for sexual harassment. I want you to direct this process. Partner with legal, and give me a run-down of what steps we need to take to conduct an investigation and get this resolved in a way that is fair to everyone and will not be a black mark for the school. A couple of things to know: The coach has been with us for about 4 years, and 3 winning seasons last year, we went to the Conference Semi-Finals. Progressive discipline policy is: 1 st time offense written warning, 2 nd time same offense 1 week suspension without pay, 3 rd time same offense termination. This is the first complaint we ve gotten about the coach, so not sure how that plays into the situation. If we have proof it is an issue of sexual harassment, we might need to go right to the termination. Our assistant coach left abruptly a few weeks ago right at the start of the season, and we re still looking at filling her position, so if the coach is disciplined, it will be very difficult for the team s schedule. Obviously, our first consideration is the students, but we need to be very careful to respond to this quickly but fairly.
