1 ANNOUNCEMENT SmartLinx is pleased to announce the availability of SmartLinx Version update on Friday, May 9, This is a suite-wide update with enhancements and bug fixes for Schedule Optimizer, Time & Attendance, HR Management, CPCS, ESS, Directory, and Reports. The changes included in this release are covered under the Release Notes attached to this notice. There was no downtime required. RELEASE INSTRUCTIONS In order to be able to experience all of the new functionality that has been added to your environment, you may need to clear your browser cache. Please follow the instructions listed below to clear your browser cache and then re-start your browser. It may not be necessary for you to do this if you have automatically downloaded the latest version. You can quickly check this by looking at the version number at the bottom left corner of your login screen (Figure 1). If it is 5.5.0, then you do not need to follow these next steps. Figure 1: Login Screen If you do need to clear your cache, In internet Explorer 9 and 10 Go to File --> Internet Options, then click on Settings under Browser History (Figure 2).

3 Click on View Files, you will see another window with all the temporary files. You can select all files in this folder and click on Delete on your keyboard, to delete all the files. Close all the Internet Explorer windows that were open by clicking on the OK button. Now close all the instances of Internet Explorer you have open on your computer. Restart Internet Explorer and go to your SmartLinx URL. The updated version of the application should now load. Optional Step: To ensure you always get the latest release moving forward set the radio button option to Every time I visit the webpage on the Website Data Settings screen (Figure 3). The application will take longer to load initially, as it will need to store all new files into the cache. If you performed the optional step, the application will typically take longer to load. RELEASE NOTES MAJOR FEATURES ADDED Ability to manage PARs based on census changes vs. just based on fixed PARs. Allows scheduling to be more dynamic. You can now access the PDF of release notes by clicking on the Release Number hyperlink. The releases are going to be numbered differently going forward, in the following format: o Where 5.x.x is the major version, x.5.x is the minor release, and x.x.0 is the patch/hot-fix release. ALL APPLICATIONS OT # The Release Notes will now store the PDF files that are being sent out via to the clients, so the process is more consistent. Page 3 of 13

4 HR MANAGEMENT OT# User now has the ability to delete an incorrect benefit record entered, on an employee record, if they have proper permissions to do so. (HR > Employees > Select Employee > Benefits tab) OT# Allow the setup of employee transfers with a date in the future. (HR > Employees > Select Employee > Transfer) Page 4 of 13

5 Defects Addressed OT# Fixed an issue with SMS feature not always sending (vendor issue). OT# 525 Fixed an issue with incorrect number of hours showing under accruals on the Attendance Screen within the employee record. TIME AND ATTENDANCE Defects Addressed OT# 525 Fixed an issue with incorrect number of hours showing under accruals on the Attendance Screen within the employee record. Page 5 of 13

6 SCHEDULE OPTIMIZER OT# Added an ability to access Time & Attendance employee punch data within the Schedule Optimizer application. This ensures the continuity of workflow from a user point of view, instead of interrupting them to go for this information to a different application. (SO > Employee Schedule Detail screen) OT# Ability to restore rotations that were deleted or changed by mistake (SO > Employees > Employee Record > Rotations > Rotation History; HR > Positions > Slotted Positions > View > Rotation History). 7 OT# Include a new field on the Master Schedule to display discrepancies between budgeted and scheduled hours. If an employee is over-scheduled, can remove them from the Budgeted Position Detail screen. If a budgeted position is under-scheduled, can add an employee to the schedule from the Add Employee to Schedule screen. (SO > Master Schedule) OT# Added new way to display total values on the master schedule, so you no longer have to scroll all the way down to see them. (SO > View > Show Totals for Selected Day). 9 OT# Added an option to manage PARs based on daily census changes. You now have an option to either choose Fixed Pars or Census Based Pars. Once the daily limits are configured, the PAR values will automatically adjust to accommodate. (SO > View > Configuration > Manage Configuration > Budgets) Page 9 of 13

10 OT# Updated how the Actual Hours on the total row of the Master Schedule are reflected when the shift/unit filter is applied. Now, when the filter is applied, the actual hours are reflecting the applied shift/unit. (SO > Master Schedule). Before filter: Page 10 of 13

11 After filter: OT# On the Master Schedule, if View Budgeted Pars option is turned off, the Discrepancies field will display Scheduled vs. Par Levels values. Depending on the overall setting, the PAR value will be based on either Fixed PARs or Census Based PARs. (SO > Master Schedule) Defects Addressed OT# 384 Fixed an issue with shifts being assigned to a terminated employee. OT# Fixed an issue with the incorrect shift listed on the Daily Unit Assignment screen. OT# 459 Fixed an issue with duplicate shifts showing on the Position Management rotations set up screen. OT# 478 Fixed an issue with the vertical scroll bar on the Staffing Model Shifts screen. Page 11 of 13

12 CPCS OT# Ability for the user to specify which Key Indicators they wish to see on their dashboard in CPCS. Allows further configuration for ease of use. (CPCS > File > Setup Key Indicators) ESS OT# Added punch in/out to lunch buttons in ESS to accommodate California labor laws and clients that wish to have this option. (ESS > WebPunch) PAYROLL Defects Addressed Page 12 of 13

13 OT# 455 Fixed an issue with filters not working correctly on the General Ledger within Payroll Reports. INSERVICE Defects Addressed OT# 340 Fixed an issue with employees being marked as attended as soon as they are scheduled for an in-service.
