5 Safety Information Introduction We provide important safety information and warnings to assist you in understanding and avoiding potential harm to yourself, and possible damage to equipment, during the installation and use of the 3M Smart Check System. Although this manual describes potential hazards you may encounter during the operation of this product, we cannot predict all of the possible hazards and this list should not be a substitute for your judgment and experience. Before you use this equipment, please read and observe all safety information and instructions in this manual. If you are unsure about any of the potential hazards discussed, please contact your supervisor immediately. Read, understand, and follow all safety information contained in these instructions prior to using the 3M Smart Check System and 3M Smart Sorter. Retain these instructions for future reference. Intended Use Statement The 3M Smart Check System and 3M Smart Sorter make up an ATM-style self-return system intended for use by library customers when returning library materials, and by library staff when receiving returned materials. The system is designed for use in an indoor library environment and has not been evaluated for other locations or uses. 1

6 Safety Message Format Safety messages are designed to alert you to potential hazards that can cause personal injury to you or others Each safety message box contains: a safety alert symbol ( ); one of two signal words: WARNING or CAUTION; a safety label symbol ( ); and a safety message. In addition to the symbols and words, each safety message: Identifies the hazard. Describes what you can and should do to avoid the risk of exposure to the hazard. Conveys the probable consequences of not avoiding the hazard. The signal words, safety label symbols, and their meanings are shown below: DANGER Indicates a potentially hazardous situation, which, if not avoided, will result in death or serious injury. IMPORTANT NOTE The Code of Federal Regulations (CFR) 21CFR requires the following statement for products containing lasers: Caution use of controls or adjustments or performance of procedures other than those specified herein may result in hazardous laser light exposure. 5

10 Regulatory Compliance USA FCC Radio Frequency Rules and Regulations This equipment has been tested and found to comply with the limits for a Class A device, pursuant to Part 15 of the FCC Rules. These limits are designed to provide reasonable protection against harmful interference when the equipment is operated in a commercial environment. This equipment generates, uses, and can emit radiated radio frequency energy and, if not installed and used in accordance with the instruction manual, may cause harmful interference to radio communications. Operation of this equipment in a residential area is likely to cause harmful interference in which case the user will be required to correct the interference at his own expense. 21 Introduction System Overview Please take the time to read this guide to help you understand how your Smart Check system works. Keep this guide accessible to staff when the system is in use. The 3M Smart Check system allows library customers to check in books on their own. The system emulates the check-in procedures performed by a librarian. Preparing your Library for the Smart Check System A number of requirements must be met for the installation and operation of the Smart Check system. These requirements include adequate space and environmental conditions, electrical power connection, connection to the circulation system, and staff training. Staff Preparation and Training The introduction of customer self-service will fundamentally change how your library circulates items. Because the new system will affect the nature of their work, the entire library staff should be involved in the preparation for installation. A key element of introducing any new processes or systems into your library is a successful staff-training program. Your Smart Check system will be much more effective with the active cooperation and participation of your entire library staff. We recommend that you use the guides provided with the system as texts for periodic training. Preparing Library Customers for the Smart Check System To prepare library customers for using the Smart Check system, thoroughly review the Smart Check system documentation. Then, consider scheduling customer-orientation sessions to demonstrate the process for checking in items from your library using the Smart Check system. A librarian may need to monitor the new machine to assist customers who are unfamiliar with the system. 17

22 Components Smart Check Components Receipt Printer The receipt printer prints customer receipts and dispenses them through the receipt printer slot. Touchscreen The touchscreen acts as the customer interface for the Smart Check system, and can also be used to access the administrative functions. Security Light The security light illuminates the cove area. Receipt Printer Slot Touch screen Barcode Scanner Cove Light Security Door Front Conveyor Security Door The security door separates the public accessible cove area from the inside the Smart Check cabinet. The security door automatically opens when the system detects a valid library item and closes once the item is secured inside the system. Front Conveyor System The front conveyor system transports library items from the cove area to the tunnel belt. It includes the front conveyor belt and LED sensors. Keep hands away from the entry cove sliding door. Barcode Scanners The barcode scanner reads barcode labels on library items and communicate the barcode numbers to the Smart Check computer. The Smart Check system s barcode scanner can read up to seven different barcode formats. RFID System The Smart Check system s RFID system detects RFID tags installed in library items and communicates the tag information to the Smart Check computer. The RFID system consists of two RFID antennas, one positioned under the front conveyor belt, one at the front, and one at the back (not shown in picture). SMC_SC_006 18

23 Tunnel Belt System The tunnel belt system transports library items from the front conveyor belt to the Smart Sorter (if connected) and sensitizes security strips installed in library items. The tunnel belt system includes the tunnel conveyor belt and belt motor, a tunnel sensitizer, and LED sensors (not shown in picture). Smart Check System Computer The Smart Check computer controls the functions of the Smart Check system and communicates library item information to the library s Integrated Library System (ILS). Staff Printer The staff printer prints receipts for items on hold. These receipts are printed when an item is returned that has been reserved by another customer. The staff printer also prints exceptions from the Smart Check system. SMC_SG_007 19

The length of the sort belt varies with the number of bins on the Smart Sorter. Sweep Belt The sweep belt pushes library items off the sort belt and into the bins. It is controlled by the Smart Check computer, which can reverse the direction of the sweep belt to push library items into two different bins. There may be multiple sweep belts depending on the number of bins on the Smart Sorter. Sort Belt Sweep Belt SMC_SG_001 Status Display The status display is an LED display located on top of the Smart Sorter cabinet. It displays messages about the status of the Smart Sorter. Emergency Stop Buttons Pressing an Emergency Stop button immediately stops the operation of the entire Smart Sorter. The Emergency Stop buttons are located on both sides of each Smart Sorter cabinet. Status Display SMC_SG_002 Power Switch and Power Indicator Light The power switch is located on the back corner of the Smart Sorter. The power indicator light, directly above the power switch, illuminates when the power switch is ON. Emergency Stop Button Reset Button The Reset button is located on the back corner of the Smart Sorter cabinet. Press the Reset button after an Emergency Stop button has been pressed and reset. This allows the Smart Sorter to resume normal operation. Power Switch Reset Button SMC_SG_003 20

Sort Bins During the sort operation, sweep belts push library items into the appropriate sort bins. The sort bins include wheels that allow staff members to transport library materials from the Smart Sorter to other parts of the library. Bin Sensors Each bin station has a bin-present sensor near the bottom of the bin station, and a bin-full LED sensor mounted on the side of the Smart Sorter just below the sort belt. Bin-present sensors detect the presence of sort bins in the bin stations. If no sort bin is present, then the sweep belt will not push library items off the sort belt into that location (unless overridden by the setup of your software). Bin-full LED sensors detect when a sort bin is full. This prevents the sweep belt from pushing library items off the sort belt into that location. 26 Communication This system sends and receives information from the library s information library system (ILS). The information is exchanged using 3M s Standard Interface Protocol: SIP-2.0, SIP-2.0 w/extensions, or NCIP (NISO Circulation Interchange Protocol). Communications supported Interface Protocol Telnet Sockets HTTP SIP 2.0 Yes Yes No NCIP No Yes Yes Customer Interface This system also communicates with customers by leading them through the process of checking in materials via on-screen graphics and text and optional sounds. The Smart Check System displays correction instructions to help the customer solve problems. If this fails, the system instructs the customer to ask for help. Barcodes Bad or Unreadable Barcodes When the scanner tries to read a barcode that is not configured on the system, or if the barcode is unreadable (damaged or incomplete), an error screen appears and the customer is instructed to seek help at the front desk. Barcode Formats The Smart Check system identifies library materials by reading barcodes on the items. The Smart Check system is pre-programmed to read your library s barcode types. 27 Using the Smart Check System Starting the Smart Check System 1 Turn ON the power switch on the Smart Sorter (if attached). Sorter Power Switch SMC_SG_008 2 Turn ON the power switch (located on the back panel of the Smart Check system). The computer should start and Smart Check software will start. Smart Check Power Switch SMC_SG_008 3 The touch screen should be ON, the Smart Check program should be running, and the Smart Check startup screen should be displayed. Note: your startup screen may look different from the one shown here (based on your configuration). 23

28 Shutting down the Smart Check system 1 Hold the Smart Check Shutdown Card on the front conveyor belt of the Smart Check system so that one of the sensors is blocked. You can also press ALT + S on the keyboard to shut down the computer SMC_SG_012 2 The System is shutting down message appears on the touch screen. Smart Check software and Microsoft Windows will shut down. 3 Turn OFF the power switch on the back panel of the Smart Check system. 29 Checking in books Checking in books using a barcode system 1 Position the item (one at a time) so that the scan line reads the barcode. The security door opens. The belt moves the item through the security door and into the Smart Sorter. If the item is accepted, the security door closes. If the item is not accepted, the belt reverses and the item is returned to the customer. Repeat the above process to check in more items. 4 When all items have been returned, press the Print Receipt button. The Print Receipt button is only displayed for 10 seconds. If the item is not accepted, the belt reverses and the item is returned to the customer. 31 Resetting the Smart Check System The Smart Check system can only be reset when an error-code screen is displayed. The reset command resets the Smart Check software 1 Hold the Smart Check Reset Card on the front conveyor belt of the Smart Check system so that one of the sensors is blocked. You can also press ALT + R on the keyboard to reset Smart Check software SMC_SG_010 2 The Smart Check program is reset. The System is resetting message appears while the software is resetting. 5 After a successful reset, the main customer screen should appear on the touch screen and the system should be ready to use. 27

32 Emergency stop recovery procedures Pressing an Emergency Stop button immediately stops all the belts in the Smart Sorter. Warning: In the event of an emergency, press an Emergency Stop button immediately. To stop the operation of the Smart Sorter Press one of the Emergency Stop buttons on any of the Smart Sorter modules. 1 2 Use the number on the Status Display to determine which Emergency Stop pushbutton was pressed. For example: 2 = sorter module two. Turn the Emergency Stop Button clockwise to reset the button. Status: Stopped ESTART - 2 The Sorter Status display shows a stopped message and indicates which Emergency stop button was pressed. The touch screen displays Error 10. To reset the system after an Emergency Stop 1 Use the number on the status display to determine what Emergency Stop pushbutton was pressed. Number one (1) is the Sorter Module closest to the Smart Check system, number two (2) is the next Sorter Module, etc. 2 Turn the Emergency Stop button clockwise to reset the button. 3 Note that this will not reset the system. 3 Press and hold the Reset button for five seconds. Press and hold the Reset button for five seconds to reset the Smart Check system. The Reset button is located on the back of the Smart Sorter. It displays messages about the status of the Smart Sorter. Normal operating condition -Close the sorter module cover, and the sorter module should reset. Bin Status M = bin missing F = bin full Bin numbering (looking at the front of the Smart Check) Odd numbered bins left side of sorter Even numbered bins right side of sorter Normal operating condition - The device shown (1,2, 248) is in the process of resetting. Error condition communications error, you will have to reset the entire system (see Resetting the Smart Check System on page 27.) Error condition 1 Open the door on the end of the Smart Sorter and look for any items on the belts. 2 Remove any jammed items and close the Smart Sorter covers. Opening and closing the door resets the system (sorter?). Error condition 1 One of the emergency stop buttons has been pressed. (The device ID indicates which sorter module had the emergency stop pressed. 2 Determine the cause of the emergency stop. 3 After fixing the problem, reset the emergency stop button and the following message is displayed: Status: Stopped ESTART - DeviceID Status: Stopped ESTART - DeviceID Perfom the Emergency stop recovery procedures on page 28 29

34 Performing general maintenance Replacing the receipt printer paper roll Use the following steps to replace a roll of printer paper on the Smart Check System. Note that the printer paper can be replaced when the system is running. The Smart Check screen will display a message indicating that receipts are unavailable to the Customer because the printer is being serviced. 1 Open the side door on the Smart Check system. CAUTION To reduce the risks associated with pinching of hand, which, if not avoided, may result in minor or moderate injury. Keep hands away from sliding printer rail 2 Turn the locking knob clockwise and pull to release the slide mechanism and slide the printer back for access. If there is any remaining paper left in the printer, it will be automatically ejected. 2 Gently slide the printer back 1 SMC_SG_014 While holding the back of the printer, turn the locking knob clockwise and pull it out to release the printer. 35 5 Place a new roll of printer paper on the printer spindle. (See Figure 5.) Figure 5: Place the new paper roll on the spindle so that the paper feeds from the top down. 6 Feed the paper from the top of the roll, under the tension roller, and into the paper feed mechanism. a b The paper feed mechanism automatically feeds the paper into the printer and cuts the paper. Once the paper has been cut, a small blank receipt will be left at the front of the printer. 7 Remove the blank receipt from the front of the printer. This helps ensure that the printer can be pushed back into position without jamming the receipt slot. Figure 6: Feed the paper from the roll through the paper feed mechanism. 31

CAUTION To reduce the risks associated with pinching of hand, which, if not avoided, may result in minor or moderate injury. Keep hands away from sliding printer rail. 10 Close the side door on the Smart Check system. 2 Slide the printer all the way forward 1 SMC_SG_016 Rotate the locking knob clockwise, pull it out and hold it so you can slide the printer forward. 3 Rotate the locking knob clockwise and push it in until it locks the printer in position. 37 Replacing the staff printer s paper roll 1 Press the cover open button on the top of the printer. 1 2 Remove the old roll and replace the paper roll as shown. 2 3 Pull a small amount of paper out (as shown) of the front of the printer. 3 4 Close the printer cover. 4 5 Tear off the paper as shown. 5 SMC_SG_013 33

38 Cleaning the Housing 1 Use a damp cloth to wipe off external covers and doors. 2 Use an air canister to clean interior components of the Smart Check System and the Smart Sorter. Air cleaner canisters are available at most office supply stores. Cleaning the Touchscreen Monitor Use glass cleaner and a clean cloth to wipe off fingerprints and dirt from the touchscreen. The touchscreen should be cleaned daily. Cleaning the Sensors Use an air canister to clean the sensors on the conveyor belts of the Smart Check System and the Smart Sorter. Air cleaner canisters are available at most office supply stores. 34

39 Troubleshooting Use the following procedures to perform basic troubleshooting tasks on the Smart Check System. Error Codes and Error Recovery The following table contains error codes and their definitions for the Smart Check System. Error Error Description Code 1 An unknown error has occurred. CAUTION To reduce the risks associated with pinching of hand, which, if not avoided, may result in minor or moderate injury. Keep hands, long hair, and loose articles of clothing or jewelry away from transverse sweep belts. Prevent unauthorized access to product. Solution 1 Hold a Smart Check Reset Card on the front conveyor belt to reset the system. -or- Open the door on the end of the Smart Sorter and check for items on the belts. 2 Remove any jammed items and close all Smart Sorter covers. 3 If the error is still present, shut down the whole system, turn off all power for the Smart Check and Smart Sorter, and restart the system. 2 There is a problem with the communication to the 3M RFID Reader. Shutdown the Smart Check system by pressing ALT+S on the keyboard (or using the Shutdown card). Turn OFF the Smart Check power switch, wait ten seconds, and then turn the power switch back ON. 3 The Smart Check printer has run out of paper. Replace the Smart Check printer paper roll. Refer to Replace the Printer Paper Roll in this document. 4 The Smart Check printer has a general error. Make sure the Smart Check printer paper roll and printer covers are properly in place and engaged. This error should automatically reset once the problems has been rectified. If the system does not automatically recover, scan the reset tag on the front conveyor to reset the system. 5 One of the covers on the Smart Sorter machine has been opened. Close all of the Smart Sorter covers. The system automatically resets itself. 35

40 Error Code Error Description 6 Connection to the library s circulation system has been lost. Solution This error should automatically reset once the circulation system is back on-line or the connection has been re-established. If the system does not automatically recover, place a Smart Check Reset Card on the front conveyor belt to reset the system. (See Resetting the Smart Check System on page 27.) 7 There is a connection or item problem with the Smart Check Router. CAUTION 1 Open the door on the end of the Smart Sorter and look for any items on the belts. To reduce the risks associated with pinching of hand, which, if not avoided, may result in minor or moderate injury. Keep hands, long hair, and loose articles of clothing or jewelry away from transverse sweep belts. Prevent unauthorized access to product. 2 Remove any jammed items and close the Smart Sorter doors. Opening and closing the door resets the system. 8 The security door has failed to open. Place a Smart Check Reset Card on the front conveyor to reset the system. (See Resetting the Smart Check System on page 27.) 9 There has been a timeout trying to sort an item. CAUTION 1 Open the door on the end of the Smart Sorter and look for any items on the belts. To reduce the risks associated with pinching of hand, which, if not avoided, may result in minor or moderate injury. Keep hands, long hair, and loose articles of clothing or jewelry away from transverse sweep belts. Prevent unauthorized access to product. 2 Remove any jammed items and close the Smart Sorter doors. Opening and closing the door resets the system. 10 An Emergency Stop button has been pressed on one of the Smart Sorter modules. 1 Determine the cause of the emergency stop. 2 After fixing the problem, perform the Resetting the Smart Check System procedure on page
