3 What is AT&T Billing Consolidator AT&T Billing Consolidator SM, formerly known as ACUS SM, is the tool for a customer to view bill detail online. It retains billing data, including usage detail and payment history, for the life of the contract. Users can run reports, search for specific information, and download complete invoices in a.pdf format and specific sections into an Excel spreadsheet. 3

6 Logging in 6

7 Requesting access Complete the New User Access Request by completing all required fields (marked with a red asterisk) and click Submit. Telephone number will automatically format as xxx-xxxxxx. An extension between 1 and 7 digits can also be added (i.e x123) Choose a Login ID, which must be between 5 and 10 characters and all lowercase. Billing Account Number and Invoice Number help us identify which accounts should be provisioned under your Login ID. You must complete at least one of these fields. 8 Access levels There are three levels of access: agency administrator, agency user and bill payer user Each agency should have at least one (1) agency administrator All levels of access can: Have an unlimited number of users Access, review, print or save an invoice Generate basic reports 8

12 New CALNET 3 Statement of Accounts / Remittance Slip Bill Name and address have been removed from the top of the page. Bill Payer has been renamed Bill Payer (BAN). Billing Date is now displayed as Invoice Date (MM/DD/YYYY). Past Due has been renamed Previous Balance. Adjustments section has been added. 12

13 CALNET 2 vs CALNET 3 platform Invoice Summary was renamed Statement of Accounts / Remittance Slip. Invoice Summary by BTN was renamed BAN Summary. BTN Credits and Adjustments was renamed Adjustments. Circuit Detail information was moved to CSR Detail section. Other Charges and Credits was renamed Non-Recurring Charges. Usage Charges was renamed Usage Detail and is located under Monthly Recurring Charges. Government Fees and Taxes & Surcharges and Other Fees were merged into one section called Service Taxes & Surcharges. 13

15 Bill Payer History Summary AT&T Billing Consolidator will open to the Bill Payer History Summary screen. Select the desired Billing Account Number (BAN) from the Bill Payer History Summary drop-down menu. Instead of using the Back button (from the browser toolbar), returning to the History Summary allows for the selection of additional invoices. 15

16 History Summary AT&T Billing Consolidator will open to the Bill Payer History Summary screen. Select the desired Billing Account Number (BAN) from the Bill Payer History Summary drop-down menu. Select the invoice date (in blue) to open the desired invoice in a separate window. 16

17 Invoice details The left hand column displays the sections of that month s invoice as hyperlinks, the download link, two search options, and the link for the pdf files. If there is no content in a particular section of the bill for the selected month, that link will not be displayed. 17

18 Statement of Accounts / Remittance Slip The Statement of Accounts / Remittance Slip is the front page of the bill and serves as a billing summary. The remittance slip needs to be mailed in with your payment. 18

19 BAN Summary 19 The BAN Summary screen displays an account summary, with the charges and adjustments itemized by Billing Telephone Number (BTN). Items in blue are hyperlinks to detailed sections of the invoice. Choosing the blank line from the BTN dropdown list will display all of the BTNs on the invoice.

20 Payments Any payments received during the bill period are itemized at the Billing Account Number (BAN) level. 20

21 Bill Payer (BAN) Credits and Adjustments Credits and adjustments for the bill period are itemized at the Bill Payer (BAN) level, as well as any late fees. 21

22 Monthly Recurring Charges 22 The Monthly Recurring Charges screen shows the recurring service fees for products and services grouped together based on the number of each service on the account.

23 Monthly Recurring Detail Monthly Recurring Detail itemizes all recurring service fees for individual products. Each line item is numbered for easy reference. This option is only available in the online version and will not be included in a paper bill. 23

24 Usage Detail 24 Usage Detail itemizes all usage fees, including toll/long distance calls or pay-per-use services. Each line item is numbered for easy reference. This option is only available in the online version and will not be included in a paper bill.

25 Non-Recurring Charges These charges can include installation charges, adds and changes to service, proration, and other one-time charges or credits. 25

26 Adjustments Any credits or adjustments made in the bill cycle will be listed in this section. 26

27 Service Taxes & Surcharges The Service Taxes & Surcharges screen itemizes all government fees, taxes, surcharges and other fees. 27

28 CSR Detail The CSR Detail screen displays additional key contract information, including: Circuit detail Service location Date of contract Long distance Toll carriers (PIC and LPIC) Account record detail Equipment type Bundle information This subsection is only available in the online version and will not be included in a paper bill. 28

29 Legend The Legend screen provides a translation of the various codes used within the bill, such as call type or rate period. 29

30 News You Can Use The News You Can Use screen displays the bill messages that AT&T provides inside each bill, including new features or rate changes. 30

31 Download The download function provides the ability to download each section of the invoice in a text file or Excel spreadsheet. Select a BTN (Billing Telephone Number) and click the section of the bill. Or, leave the BTN field blank and download the section for the all BTNs on that account. 31

32 Search by Invoice Item Type the item line number into the Invoice Item search box and click Search. Click the hyperlink to go to the requested item on the invoice with the item number highlighted. 32

33 Search by Keyword Type the key word or phrase (phone number, product name, city) into the Keyword search box and click Search. You can filter the search by section. If the keyword appears on multiple pages, multiple links are displayed. If the keyword appears multiple times on one page, only one link is displayed. Click the hyperlink to go to the requested item on the invoice with the keyword highlighted. 33

34 PDF files The pdf will display all usage and customer service record (CSR) detail. Download the files by clicking on the.zip file hyperlink. Each.zip file contains 2 documents: A.pdf version of the first page of the bill. A.pdf version of the entire bill. 34

36 Bill Payer History Summary AT&T Billing Consolidator will open to the Bill Payer History Summary screen. Select the desired Billing Account Number (BAN) from the Bill Payer History Summary drop-down menu. Instead of using the Back button (from the browser toolbar), returning to the History Summary allows for the selection of additional invoices. 36

37 Bill Payers tab 37 The Bill Payers tab will display: Contact Maintenance Address Maintenance History Summary Invoice Options Billing Inquiry

38 Contact Maintenance Displays the current contact information for the selected Billing Account Number (BAN). This is a view-only screen. Contact your dedicated AT&T order representative to update this information. 38

39 Address Maintenance Current mailing information for the specific Billing Account Number (BAN) displays in a view-only format, to validate where bills are sent. Contact your dedicated AT&T order representative to change this information. 39

40 History Summary 40 The Bill Payer History Summary displays the Open Invoice Activity, which is an estimate of the next bill. Beneath that, it displays the History of Account Summary, arranged by Invoice Date. Each invoice is numbered and each date is a hyperlink that opens the selected invoice in a separate window.

41 Invoice Options The media options (paper, online, remittance slip) in which you currently receive your bill are displayed in a view only screen. 41

42 Billing Inquiry 42 The Billing Inquiry screen opens an template to send an to the AT&T billing representative for the account. The subject line is prepopulated with the account number and Customer ID A response should be received within 48 hours.

43 Reports tab The Reports tab will display: Report Instructions Report Download History Summary Zero Usage Invoice 43

44 Report Instructions The Report General Instructions screen provides general information about formats and options for downloading the two available reports. 44

45 Report Download If a report takes longer than 20 seconds to process, due to a large amount of data or high demand for reports, it will run in the background or during off-peak hours. An will alert the user when the report is ready. 45

46 Report Download (continued) Once download is complete, select the Download hyperlink to retrieve the file. The report will be available in this section for one week. 46

47 History Summary Fill in the desired report criteria, select the format and click the Get Report button. The report shows the previous balance, current charges, adjustments, payments and total due for all related accounts during the selected bill cycle. 47

48 Zero Usage Invoice Fill in the desired report criteria, select the format and click the Get Report button. This report shows individual lines that have no long distance or toll usage for the selected month. 48

49 User tab The User tab will display: Switch Contract Profile Log Out 49

50 Switch Contract This option will only be applicable if the user has open and / or closed invoices under both CALNET 2 and CALNET 3 contracts. 50

51 Profile This option allows users to change: Password Security question Telephone number address Users can also opt in or out of the notifications. Greyed out fields are viewonly. If additional content needs to be modified, please contact 51

52 Log Out Select the Log Out option in the User menu or the Log Out button in the upper right corner of the application. 52

53 Help tab The Help tab will display: Customer Feedback User Manual FAQ Messages 53

54 Customer Feedback This option allows users to provide feedback and offer suggestions for improving the Billing Consolidator application. Add your address to the cc: field to receive a copy of the . Please note: This link is NOT for password resets, access or profile issues. 54

55 User Manual This option provides a link to available user guides. Select the Download hyperlink to retrieve the desired document. 55

56 FAQ This option provides answers to Frequently Asked Questions. It will be updated as new questions arise. 56

57 Messages This option displays the history of all customer notification pop-ups. They can be sorted or filtered by date. Clicking the blue notification message name opens the pop-up. 57 Note: Pop-ups do not currently work in Chrome browsers.

59 Bill Payers tab The Bill Payers tab contains three additional options for an agency administrator: Find View Invoice Payment History 59

60 Find Enter search criteria and select Search. The result displays the Open Invoice Activity at the top of the screen and a History of Account Summary beneath it. 60

61 View Invoice Enter Bill Payer (BAN) information. Select invoice from Invoice Date drop-down. Click View Invoice to open the invoice in a separate window. 61

62 Payment History The Payment History screen lists the dates and amounts of all payments and refunds for the selected BAN. 62

63 Reports tab The Reports tab contains two additional options for an agency administrator: Agency User Details EDS Agency Report 63

64 Agency User Details Select the report format and click Get Report. The Agency User Details report shows contact information for each all users, which accounts each user can access, whether the accounts are active or inactive, and what level of access each user has. 64

65 EDS Agency Report Select the Agency Name and desired Invoice Date and click Get Report. The EDS Agency Report is a flat file of all the accounts (BANs) for the agency for a selected month. 65

66 Maintenance tab The Maintenance tab is only available for an agency administrator. The Maintenance tab will display: Web Security Bill Payers New User Request 66

67 Web Security To add a user, choose the Add New User button. To modify an existing user, choose the Edit button. 67

68 Adding / editing bill payer users Enter the requested data. Fields with a red asterisk are required. From the list of Available Bill Payer Accounts, select the accounts to assign to the new user. Click Add. Click Save User Details. If editing current user data, overtype existing entries. A message at the top of the screen will indicate End User Added Successfully. The new user will receive an with their login details. 68

69 New User Request An administrator will receive an when a new user request is submitted. To approve a new user request, choose the Pending button. Complete the form as you would add a new user. 69

70 New User Request continued To modify the user type of a new user request, choose the Edit button. Change the user type to the appropriate level of access. Click Update where the Edit button once appeared. 70
