1 FAQs What is Community 365? It s Lend Lease s global volunteering program to enable all employees to participate in a diverse range of volunteering opportunities 365 days of the year. Who manages the Community 365 program? The Lend Lease Foundation manages the program on both a regional and group level. This is done with the support of HR Services who are the first contact point for employee enquiries. Will we still have Community Day each year? Yes! Community Day is definitely still a major part of volunteering at Lend Lease and we will continue to grow this annual event. Is there a time off policy for volunteering at Lend Lease? There is no formal time off policy for volunteering. Employees are supported to utilise flexible workplace arrangements to build volunteering into their schedules in agreement with their managers. What types of volunteering can I do? Volunteering has many options for you to participate: Skilled Volunteering Employees are encouraged to share their professional skills and knowledge with community organisations. Examples include: project management marketing campaigns construction & design website development people strategies mentoring board service General Volunteering This type of volunteering does not require specific training and most tasks can be carried out by majority of volunteers. Can skilled volunteering projects be used as a learning & development opportunity? Yes. We encourage employees to utilise skilled volunteering as a learning and development opportunity and incorporate into their Individual Development Plans. 2 Who can I volunteer for? Employees can volunteer for not-for-profit or charitable organisations, or organisations that exist for the public benefit (but not individual benefit). This includes (but is not limited to): community centres traditional charities disability support groups aged care homes, etc. Who can t I volunteer for? Employees cannot volunteer for organisations that are: contrary to our Lend Lease Code of Conduct contrary to any Lend Lease policy This includes (but is not limited to) organisations that are: illegal or against public policy primarily for political, lobbying or promotional purposes carrying on a commercial enterprise to generate profit surpluses Can I volunteer to do door-to-door/face-to-face fundraising? Generally we do not permit door-to-door/face-to-face fundraising (such as approaching people in the street/at home for donations, or to sell fundraising items like badges or raffle tickets). However, on occasion such volunteering activities may be permitted if they are directly associated with a recognised Lend Lease partner organisation. Please contact the Lend Lease Foundation team in your region if you need advice about a specific situation. What is a not-for-profit organisation? A not-for-profit organisation is an organisation whose primary objective is something other than the generation of profit, and which does not distribute any profit to the organisation's members. Not-for-profit organisations include community centres, traditional charities, disability support groups, aged care homes, etc. How do I find a volunteering opportunity? Visit the Community 365 online site and review the current opportunities we have available in your area Refer to the Community 365 Policy & Operating Guidelines and Getting Started pack for assistance in finding the right opportunity. These resources can be found on the Community365 site ( Need Help? tab > select Resources ) Work directly with a local not for profit organisation to identify a genuine skilled volunteering opportunity Find out if your Lend Lease work location has existing community connections you can tap into How do I access the online volunteering platform? ECC to the following links: For employees with an AD Login: For employees without an AD Login: Is there funding available for volunteer projects outside of Community Day? Yes, however this is subject to the approval of Lend Lease Foundation. Please contact the Lend Lease Foundation team in your region to discuss your request. Can I get a volunteer shirt? Yes! Foundation provides Lend Lease Foundation branded clothing for volunteers. If you need a volunteer shirt before the 2014 Community Day (to be held in September), please contact the Foundation team in your region. Currently, Foundation is rebranding (and changing the shirt design) and improving supply processes to ensure that you are able to access shirts easily and efficiently. More information will be provided shortly.

3 Do we have payroll giving (workplace giving)? ASIA, AMER, AUST: No, not at this stage but we are investigating options for workplace giving programs and will keep you posted. EMEA: Yes. Please contact your regional HR team for more information. What is the process for risk assessments and safety planning for volunteering events? The Lend Lease Foundation currently has in place a requirement for a risk assessment to be completed for all volunteering events. For more information about Risk Assessments please go to the Community 365 site ( Need Help? tab > select Resources ). Important Note: we are currently reviewing the process for risk assessment to make it easier to for you to complete. We will keep you posted as this new process is implemented. I am not sure how to fill out the Risk Assessment Form. Who do I ask for help? Please speak with your local EH&S representative for guidance on safety issues for your volunteer event. It is essential that the risk assessment is only completed following a site visit to the proposed event location which will enable you to clearly determine and address any potential risks for your project. Important Note: It is mandatory for your Risk Assessment form to be completed and submitted prior to commencing your event. When do the Risk Assessments need to be submitted? Two weeks prior to your event or it may be cancelled. If you are having difficulties with your Risk Assessment, please ask for help. Your local EH&S co-ordinators are available to assist you. Am I able to contact the media about my project? Please refer to the Media Guidelines on the Community 365 site ( Need Help? tab > select Resources ). If you would like to contact the media (or have been contacted by the media) about your volunteering event we ask that you first call or the Lend Lease Media Team directly in your region. Can I use social media to talk about my volunteering event? Please refer to the Lend Lease social media policy on the intranet. Are there any restrictions on taking photos at my volunteering event? Yes. You need to ask permission to take someone s photos and use it for internal and/or external communications. This applies to both Lend Lease employees and non-lend Lease employees. To give their permission they must complete and sign the Media Waiver and Release Form. This form is available on the Community 365 site ( Need Help? tab > select Resources ). Is there volunteer training available? Lend Lease is currently developing training for employees to support their volunteering efforts and more information on this will be available shortly. To assist you in the interim we have developed a series of Fact Sheets and Guidelines that will assist you and these are available on the Community 365 site ( Need Help? tab > select Resources ). If you require further information, please contact HR Services. Does Lend Lease provide insurance cover for me while I am volunteering? Yes. All employees are covered under Public Liability, Professional Indemnity and Workers Compensation insurance policies during their volunteering event. It is a requirement that your volunteer event is correctly registered on the Lend Lease Community 365 site. Do I need to get my volunteering event approved? No. Community 365 is utilising a new online platform that does not require an approval process. You are entrusted to create suitable events and adhere to the Community 365 policies and guidelines. The Community 365 site will be regularly audited to ensure that all events are suitable and if your event does not adhere with the guidelines it will be removed from the site and you will be notified.

4 I set up an event but need to amend it. How do I do that? Go to your volunteer event listed on the Community 365 site, click on the Edit button and make your amendments as required. Please don t forget to save the changes. We suggest that you the existing volunteers who have joined your volunteering event to let them know. This can be done by opening the event, and in the Quick Links menu on the right hand side of the page, choose Send Event Message to send an to all registered participants with a tailored message. Note: only the person who created the event can amend the event. I set up an event but need to delete it. How do I do that? There are two things you need to do in the following order: 1. Prior to requesting the event be deleted, please contact all of the registered participants to let them know the event is not proceeding. This can be done by opening the event, and in the Quick Links menu (on the right hand side of the page) choose Send Event Message to send a tailored message to all registered participants. 2. Contact HRS with the name of your project and why you need to delete it. HRS has the ability to delete the event on your behalf. How do I join an event? Visit the Community 365 site, search for a volunteering event and sign up. Refer to the How To guide on Searching for an Event and Joining an Event which can be found on the site ( Need Help? tab > select Resources ). You can also contact HR Services for further assistance. Can I just turn up to an event to volunteer? No. For safety and insurance reasons we need all volunteers (both Lend Lease employees and Non Lend Lease participants) to register online prior to attending a volunteer event. I want to sign up for a particular volunteer event but it is full. What should I do? You can either find another event or perhaps contact the event organiser directly to ask if there is any more capacity for volunteers. There may also be a waitlist for the event that you can join in the meantime. Can I invite family, friends and other non-lend Lease participants? Yes! You have the ability to invite them to participate in volunteer events. You must invite them via the Community 365 site which can be done by opening the event, go to the Quick List on the right hand side of the page and click on +/- Family & Friends. Add their first name, last name and address and they will receive an containing all the details about the event. I am an employee of the Lend Lease Group but I don t have a work address. How do I sign up? Please use the following URL to access the Community 365 site: You will need to know your Employee ID (Employee Number) to be able to sign in. Is it important that I log my hours? Yes! Lend Lease would like to recognise all employees who volunteer through both informal and formal methods, including employee awards. In addition, Lend Lease Foundation also has a requirement to provide annual reporting both internally and externally on our volunteer efforts. Are there user guides I can access to help me with the Community 365 site? Yes. 5 What is YourCause? YourCause is a service provider of web-based tools that empower and connect individuals and companies with not-for-profit organisations (NFP s). Can I edit my name? Employees currently cannot edit their name. Your name is the same as the details in your payroll record. What s a Group Page? A group page is a collaborative page where members can come together as a group to raise awareness for a cause or charity of their choice. You must name your group and add a group description, with an option to add photos, upload documents, and more. What are the different ways a group page can be used? A group page is a great idea for a team event, a specific program within an organisation, or any time you want to raise awareness and volunteer as a group. Group admins can also easily send messages to all group members. What s a Charity Page? It s an informative page where supporters can view a charity s mission statement, volunteer opportunities, contact information and more. I can t find a charity I m looking for, what do I do? Try narrowing down your search. Click the magnifying button on the top right hand of the screen to go to the search page. Then, use advanced options to narrow down your search by EIN number (USA only), category, keyword or location. Make sure to remove all punctuation and abbreviations when you type in the name of the charity you are looking for. If you still can t find the charity, send an to Your Cause who will be happy to assist you: charity@yourcause.com What if my organisation is not a charity? If your organisation is NOT a registered charity BUT is a not-for-profit organisation* you can add it yourself and it will be visible for this particular volunteering event only. To do this, click on Add Your Own. *A not-for-profit organisation is an organisation whose primary objective is something other than the generation of profit, and which does not distribute any profit to the organisation's members. Not-for-profit organisations include community centres, neighbourhood houses, traditional charities, disability support groups, aged care homes, etc. Can I log my volunteer hours? Yes, you can log your past and upcoming volunteer events and service hours (both team and individual) by going to the Volunteer tab, clicking on Log/View Hours and clicking Log New Hours. Refer to the User Guides on the Community 365 site ( Need Hel? tab > Resources). Can I search for volunteer opportunities? Yes, go to the Volunteer tab and click on Search Events. You can narrow down your search by: Keywords Location (City, State/Province, Postal Code, Country) Date Event Name Non-profit Partners

6 Can I upload a volunteer event? Yes, you can create individual or team events. You can upload a volunteer event you have attended (or plan on attending) the same way you log your hours. Go to the Volunteer tab, click on Log/View Hours and click Log New Hours. Please fill out all required fields. Refer to the User Guides located on the Community 365 site ( Need Help? tab > select Resources ). Can I make a recurring team volunteer event? No, recurring events are only for individual events. You can, however, select copy this event on the event page to make another instance of your pre-existing team event. How do I link a charity or not-for-profit organisation to my event? You can choose from three options depending on the type of organisation: 1. Your Favourites select from your list of favourite registered charity organisations (they will need to already be in the database) 2. Search for an Organisation this will search a database for registered charities only and will help to properly connect the charity to your event. If you are having difficulties finding your organisation, please contact charity@yourcause.com 3. Add Your Own you can add the details of either a charity or not-for-profit organisation to this event. Remember to press both Save and Create Event in this instance. Can I set my event time on a half-hour? Yes, we use a decimal system. For example:.25 = 15 mins.50 = 30 mins.75 = 45 mins What s the difference between Company Events and Team Member Driven Events? Company Events are sponsored by the company. Only admins can create company events. Team Member Driven Events are team events created by your fellow employees. How do I add participants to an event I created? When creating or editing a team event, add participants by either searching individuals in the HR file or using our mass upload feature (uploading excel document). Once you have added participants to your event, you can set hours for their participation, make them administrators, or send messages to them. Why won t the event I created save? You must make sure that all of the fields with the red asterisk are filled in. Please make sure to choose the Event Type and Event Category from the drop down boxes. You must also link a charity to the event you create or you will not be able to create the event. If you Add your own Organization you must press Save and Create Event. Do you have an option to make my information private? Every profile in the Community 365 site is only visible to the employees of your company. However, every profile has also has the option to be completely private. This means that no one will be able to see your profile or the actions you take within the site. Please review the privacy settings in your account under My Profile. Is my information secure? Yes, all information housed on the Community 365 site is safe and secure. Volunteering information is used for aggregated reporting purposes and an individual s information is not shared. Last Updated:
