5 3 Data Direct Data Direct is a repository of detailed information generated by daily WIC state agency operations, and organized for ease of data analysis and reporting. The powerful data visualization capabilities give state agencies flexible, dynamic access to their data to support WIC program monitoring, management, and evaluation. Data Direct collects, organizes, and integrates WIC data cohesively to enable state agencies to analyze their data across many dimensions. The output is user-driven, enabling quick and easy business conclusions and trend identification. Data Direct also provides the ability to drill through summary data to understand the underlying detail data. The ways to use the information and the value it provides are virtually unlimited. CDP developed Data Direct to equip state agencies with the tools to gain insight into WIC operations and to enable continuous improvement of WIC services. You can access different data and reports based on the level of service purchased. The categories provided for each level are listed below. For more details regarding the data and reports, see Data Direct Pre-Built Workbooks. For each tier, you receive the content unique to that tier and all tiers below it. Tier I Financial Management Retail Management Food Management Processing Metrics Create Your Own Report Tier II Participation and Enrollment Participant Risk Child Clinic Visits (PEDNSS) 3.1 Data Analysis and Reporting CDP recognizes that state agency customers have unique and ever-changing data analysis needs. Data Direct provides the tools that allow you to create and customize reports that are useful for your agency. This system makes use of the redemption and benefit files that are defined in the Universal Interface. These are standard files that are produced by all WIC EBT systems and are the same for all state agencies, even if that agency is not a WIC Direct customer. This is a standardized approach where common business rules are used in the back-end ETL processes, helping maintain consistency in the data used to populate the core data warehouse. A key result of this strategy is that it allows this information solution to be used by any WUMEI-compliant state agency regardless of their choice of EBT service provider. 3.2 Data Direct Architecture The following diagram illustrates the flow of information between various sources of data, WIC Direct, the data warehouse, and the end user through the user interface. 6 3.3 Hosting Data Direct is hosted by CDP as a part of its processing service. Tableau is a web-based, business intelligence tool that has been incorporated into CDP s information management solution to serve as the user interface for Data Direct. It is what you, the customer, sees; it is where you sign in to access the data warehouse. This powerful combination enables you to have access to the information you want when you want it. It allows you to define the information you need and format the output according to specific requirements. The Tableau server can render workbooks through a regular web browser, on a mobile device using HTML 5, or through the Tableau application. Tableau also allows visualizations or data sets within the context of a report to be exported in standard formats such as PDF, CSV (Excel), or PNG images. After much research, CDP selected Tableau because of the high level of functionality it provides, its ease-of-use characteristics, its budget-sensitive cost model, and the comprehensive customer service supporting the product. 3.4 Licensing Tableau is a separately licensable product. CDP is providing Tableau user licenses plus access to the CDP-hosted, Tier I data warehouse as a core component for users of WIC Direct. A user license provides a great deal of functionality. It allows full access to workbooks that have been published to CDP s server. It allows you to set parameters to drive the report content (for example, using date Data Direct 6

7 ranges). It allows workbooks to be exported for sharing and archiving. It has extensive edit capabilities that allow you to add or subtract elements from a report or modify the report appearance and format. In the edit mode, you can save modified workbooks, or create your own reports that can be shared with colleagues. The provided user license also allows users to subscribe to worksheets so that their favorite reports are ed to them on a set schedule. Tableau Desktop developer licenses may also be procured by a state agency as the need is identified. This is the tool that is used to create and publish new workbooks and to manage the underlying data sources. Developer licenses are optional and are useful to agencies that want to integrate Data Direct data with their own in-house data sets for custom analytics. Data Direct 7

8 4 Signing In to Data Direct 4.1 Connecting to Data Direct From the Web 1. Browse to 2. Type your username. 3. Type your password. 4. Click Sign In. The home page, which lists all available projects, opens Changing Your Password Once you have logged into Data Direct for the first time, CDP recommends changing your password. 1. Click your display name in the upper right corner of the home page. A drop-down list displays. 2. Select My Account Settings. 3. Click Change Password. The password options display. 9 4. Type your Current password, New password, and Confirm the new password. When the New password and Confirm password match, the Save Password button becomes active. 5. Click Save Password. A notification displays to tell you the password change was successful. 4.2 Connecting to Data Direct from a Mobile Device You can also use Data Direct from your smartphone or tablet by downloading the ios or Android Tableau app. To log in you will need three things: the server ( your username, and password. 4.3 Connecting to Data Direct from Tableau Desktop You can also connect to Data Direct using Tableau Desktop. 1. Open Tableau Desktop. 2. On the Connect pane, under To a server, click Tableau Server. The Tableau Server Sign In dialog opens. Signing In to Data Direct 9

10 3. Type datadirect.cdpehs.com:443. The sign in details display. 4. Type your Data Direct Username and Password. 5. Click Sign In. The data sources available display. Signing In to Data Direct 10

12 5 Understanding Data Direct 5.1 Organization When you first sign in to the Data Direct application, the home page opens. The available projects display. There are two projects available. Click a project to open it. The main page updates to display the workbooks contained within the project. Your State project has been set up with pre-built workbooks created by CDP that represent topical areas of interest for the various facets of WIC operations. To create custom reports easily, use the Create Your Own Report workbook. Understanding Data Direct 12

13 To see the available sheets within a workbook, click a workbook. The available sheets for the workbook display. Click a sheet to open it. You may have to scroll to view all available worksheets. NOTE: A sheet may also be referred to as a View or a Worksheet. 5.2 Dates As you re working with reports throughout Data Direct, you may need to adjust the dates used to filter the reports based on the type of information you are presenting. Variable Name Definition Used For Business Date The business date of the EBT Benefit Redemption General reporting Transaction. This is a calculated field that is based off the EBT Transaction Date and maps to the Coordinated Universal Time (UTC) date/time of the transaction. It is adjusted from UTC to a configured main time zone for the state agency. Settlement Date The settlement date of the EBT Benefit Redemption Financial reporting Transaction. The fiscal year runs from October 1 through September 30. EBT Transaction Date EBT transaction host date and time in UTC. Processing Metrics Retailer Transaction Date The derived local retailer transaction date and time. Processing Metrics This is a calculated field based off of the EBT Transaction Date and maps to the UTC date/time of the transaction. It is adjusted from UTC to the retailer s time zone and Daylight Savings Time status. Benefit Month The first day of the month associated with the benefit. General reporting This is calculated by adding one day to Benefit End Date and then subtracting one month. Benefit Start Date The start date of the benefit. 14 5.3 Sheets The sheet below displays the daily settlement to retailers for a selected month, in this case, May There are numerous features on a sheet for customizing and better understanding the data shown Title and subtitle Quick Filter Pop-Up Information Title and Subtitle The title and subtitle of the sheet provide basic information about it, such as the quick filters available and the meaning of certain data labels Pop-Up Information You can hover over each field, graphic, or icon, and a pop-up displays to provide the detail of the item. In the example above, hovering over the bar displays the details of the data, including the Settlement Date, Settlement Amount, and the Redemption Transaction Count Quick Filter On the right side of sheets, a quick filter exists. This allows you to select parameters that drive the contents of the sheet. Examples of quick filters may include a date range, a peer group, or a food category. In the example above, the Settlement Month and Year are the only quick filters. 5.4 Data Sharing Once you have generated information, you can share it with others. You can share information with other Tableau users and those who do not use Tableau. If you want to share your data with others who have access to Tableau, click Share View dialog box. to open the Understanding Data Direct 14

15 Within this box is a URL you can use to send the view to another user and/or the HTML script to embed the view on a webpage. If you want to share information with users who do not have access to Tableau, you must first download the data. Click to display the download options. Image: Creates a graphic file (.png) of the report. When you select Image, an image is generated that you can download. Data: Opens a window with the data. From this window, click Download all rows as a text file to view the data in a text file format. Understanding Data Direct 15

16 Crosstab: Creates a CSV file capable of being loaded into a spreadsheet format. Note this feature allows a non-tableau user to further customize a workbook using the capabilities of a spreadsheet program like Excel. PDF: Opens the Export PDF dialog box. Make any changes to the settings, and then click Download. Tableau Workbook: Opens the browser s Open file dialog box. NOTE: The Tableau Workbook option only works if you have Tableau Desktop installed on your computer Subscribe You can also subscribe to a report, which will send the selected report views to your inbox. To do so, click and then select the views, type the address to which you want to send the reports, and optionally, a subject line. Understanding Data Direct 16

17 5.5 Creating Your Own Report The Create Your Own Report workbook has been provided as a workbook you can use to create custom reports. To create a new sheet: 1. Open the Create Your Own Report workbook. 2. Click My Worksheet. 3. Click. 4. Click (next to My Worksheet in the lower-left corner) to start a new report. 5. Customize the sheet using the filters, displays, and other options available. 6. Save the sheet. 5.6 Customizing Sheets At the top of each sheet is an Edit icon. Click specific data to build ad-hoc reports. to go into Edit Mode. This is where you select NOTE: Edit Mode is for more experienced users. While in Edit Mode, all controls used to customize a sheet are available. Edit Mode has been enabled in the screen capture below. The Data column on the left side displays all the measures and dimensions, which allows you to add or remove data elements from the view. In the middle, you can add, delete, or modify the filters and format controls, allowing you to completely alter the way the data displays. Understanding Data Direct 17

18 In Edit Mode, there are many different data elements available. To make it easier to navigate the options, if you hover over an item, a pop-up displays that provides a description of the data content. In Edit Mode, all controls used to customize data are available for the sheet in which you are working. Across the bottom of the page, all of the sheets in the workbook to which the sheet belongs are displayed on different tabs. To edit a different sheet, click the tab for that worksheet. Click the right arrow to scroll to view more worksheets, click the down arrow to display a list of all available worksheets. The currently active sheet is denoted with a check mark. 19 If you right-click a tab, a pop-up menu displays. From this menu you can create new worksheets within the workbook, delete worksheets from the workbook, rename the worksheet, delete the worksheet, or clear the worksheet Save Updates to a Sheet After you have used Edit Mode to update a sheet, or sheets, in a workbook, you must save your changes. To do so, click Save As at the top of the page. Using Save As allows you to save the entire workbook in which you are working, not just a modified sheet. When saving a new workbook you must: Specify a unique name for the new workbook. Specify the project in which to save the workbook as Your State Web Author. Make sure the Embed password for data source and Show sheets as tabs check boxes are selected. Understanding Data Direct 19

20 The newly-saved workbook is available the next time you open Your State Web Author project. NOTE: Using Save As from an existing worksheet or the Create Your Own Report workbook is the only way to create a new workbook. Understanding Data Direct 20

21 6 Customer Service 6.1 Help Desk In the event that questions, issues, or suggestions arise when you use the CDP Data Direct data warehouse, CDP wants to hear from you. To contact the help desk, send an to: NOTE: While Data Direct can be used on a mobile device, CDP is unable to provide support for mobile applications. To direct your to the correct help desk staff member, include the following: The words Data Direct and your state abbreviation in the subject line Your contact information A detailed description of your issue If appropriate, any screen shots or other documentation to assist with understanding the issue You will receive a response to your indicating that it has been received. The response includes an important tracking number that helps CDP provide excellent customer service. CDP s goal is to answer all inquiries within two business days. Customer Service 21

22 7 Training CDP will not develop training materials or provide formal training in the use of Tableau and the data warehouse at this time. 23 8 Data Direct Pre-Built Workbooks CDP has created pre-built workbooks that represent the functional areas of WIC operations. The workbooks available depend on the level of support you have purchased. 8.1 Tier I Workbooks The Tier I workbooks cover four areas of WIC operations. These workbooks contain various sheets that provide detailed information for Financial Management, Retail Management, Food Management, and Processing Metrics.
