1 BIOVIA CISPro Cloud Standard Implementation Service Overview This document outlines the scope of a BIOVIA CISPro Standard Implementation. It includes site requirements and implementation details for BIOVIA CISPro Cloud implementations. During the implementation phase, BIOVIA s skilled CISPro engineers will work with the customer through completion of all assigned deliverables. The following is a sequenced breakdown of primary project tasks for BIOVIA CISPro Cloud implementations. Initial Account Configuration For BIOVIA CISPro Cloud implementations, the system is hosted by BIOVIA so there is no server software installation in the customer s environment. Once BIOVIA has set up the customer s schema on the BIOVIAhosted servers, the named primary contact will receive via login credentials to the individual schema. Using the appropriate supported browsers, the customer should log into the account to accept the licensing agreement and confirm there are no network or security issues preventing logins into the application. Set up initial account configuration reflecting purchase Communicate initial schema login information to customer Login using provided credentials to verify network/service connectivity Read and accept the License Agreement Validate the workstation requirements for all users planning to access the CISPro Cloud application. Project Kick-off Meeting This meeting is the opportunity for the core group of primary customer contacts involved in the implementation to meet their BIOVIA implementation engineer. During this meeting, a primary contact from the customer side will be established for BIOVIA to work with. This individual has the authority to make decisions for the project regarding system configuration, workflow and timeframes. He/she will also be the main point of contact for securing other necessary resources or departmental information. It is also helpful to include representatives from any organizational group that will be involved in the project and decision making process such as IT, material management services, research, QA, EH&S, etc. The kick-off meeting includes a general project overview, review of the main phases of the implementation, stakeholder responsibilities and setting timelines. These project milestones are based on
2 the project tasks, resources and specifications. An important component of this meeting is an introduction to the CISPro application. This gives participating representatives an opportunity to understand the application as well as ask any initial questions relating to the implementation process. Based on BIOVIA s knowledge and experience in CISPro Implementation, we will present best practices suggestions pertaining to key configuration/setup tasks. Designate primary contact for project Gather required participants Determine appropriate configuration settings/requirements Provide project overview and milestone explanations Answer any implementation questions Establish order and priority of events Develop project timeline, review schedules and acceptance criteria Conduct CISPro Review and Inventory Management Best Practices Stakeholder Training Part 1 One of the first tasks is to schedule a web-based training session for the customer s key project stakeholders. This training is very important to expose key stakeholders to the basic features and functionality of the application. We will discuss key implementation items and best practices along with a high level overview of the CISPro application features and functions. This understanding is a necessary step for successful adoption and to maximize CISPro return on investment. The stakeholder training is approximately two hours long. Coordinate participants for scheduled training session(s) Procure appropriate training space/conference area for delivered web training Deliver training sessions Hardware Setup This step involves the installation of all barcode printers and scanners on the appropriate production workstations. The BIOVIA CISPro engineer will provide documentation on how to install the hardware. The BIOVIA CISPro support group can also answer questions or help with issues installing hardware purchased through BIOVIA. Hardware purchased from a 3 rd party is not supported or installed by BIOVIA. Install hardware per installation documentation Route install request through customer IT organization as required Designate installation locations for hardware Perform Local Printer Client (LPC) setup using installed hardware
3 Connect Windows Mobile Device Center for workstations to CISPro Mobile scanners Provide installation documentation Assist with the creation of Local Printer Client (LPC) user login information in the BIOVIA CISPro application Provide assistance with hardware installation questions and issues for any hardware acquired through BIOVIA Label Template Setup Customers can review the pre-existing container label templates that are configured within the CISPro application and a sample set of labels can be viewed at These are not an exhaustive list of label possibilities, but are intended to provide customers with examples of the default configured labels to help with the selection process. Matching location, user and operation code labels will also be available for the selected container templates. As part of this implementation BIOVIA will assist the customer with the development of two labels or customization of the pre-built label templates. This customization can include the replacement of specific text/dynamic content with another database text field content or static text content or up to two new fields of information. All customization requires final review from BIOVIA, which includes space constraints and field availability for label output. Make final selection of label size, type and content Order label and ribbon stock for printers Provide guidance on label template selection Create and install custom template configuration as required Reports/Views/Design Changes A default set of reports and views are included with the CISPro application, which allows users to view data through the web interface, and extract content to CSV and PDF data formats. As a part of the standard implementation, customers can select up to two reports/views for customization, or request two new reports/views for creation. Customers may also request the creation of up to three additional textbased fields for information tracking purposes. All report, view and design changes must be approved by BIOVIA. Additional report/view/design changes, or highly complex changes, may fall outside the scope of a standard implementation. BIOVIA will provide a service quote for this additional work. Data Import and Migration CISPro Data Import or CISPro Data Migration are not included with standard implementation. These data services are available and priced separately. Contact your CISPro Account Representative for further details.
4 Web-Based Training Part 2 - User The last action of the deployment phase is the completion of two standard web-based training sessions for users. BIOVIA generally recommends running these sessions as soon as possible after the go-live point. Training sessions are role-based; this means that participants are only instructed on the application features they need to use within the software. Each standard training session is approximately one hour. BIOVIA also recommends no more than 15 participants for any individual training session to help keep the session on task and leave enough time for questions and discussions. BIOVIA has a standard syllabus for general use, although the content of sessions is customizable for any specific needs or exclusions. Please work with your BIOVIA support engineer if you have questions or would like request changes to the standard syllabus. Coordinate participants for scheduled training session(s) Approve syllabus Procure appropriate training space/conference area for delivered training Supply customer with standard syllabus Deliver training sessions Additional web or on-site training is also available but not included with the standard implementation. Go-Live This is the point in the process the CISPro servers are up and running or the CISPro Cloud is available, import is complete (if purchased) and any planned user acceptance testing is completed BIOVIA will provide up to two hours of Go-Live support for Q&A regarding the implementation. We will also schedule a meeting to present an overview of the BIOVIA Community and how to submit support case requests. Project Sign-off The final step of the project is the sign-off. This is a notice from BIOVIA that all implementation activities are shown as completed, and the customer is ready to transition to the general support group for future support needs. Change Order Process If it becomes necessary to amend these deliverables for any reason, a Change Order Form will be prepared by the BIOVIA engineer and submitted to the customer. The customer primary contact will obtain the necessary approvals, signatures and, if required, a purchase order for the additional costs prior to commencement of any work.
