1 The Mentoring Collaborative of Montgomery County AmeriCorps Program Host Site Application THE PARTNERSHIP The Mentoring Collaborative of Montgomery County partner agencies regularly report needing assistance recruiting and managing volunteers and lack the resources to do so effectively. Accordingly, the MCMC AmeriCorps Program (MCMCAP) helps meet these needs by placing AmeriCorps members in agencies throughout Montgomery County to serve as Mentor Service Coordinators. The first step is to select host sites with partners that can benefit from building capacity in mentoring services. Together, MCMCAP and the partner agencies (referred to as host sites) work to recruit, train, and supervise AmeriCorps members to serve as Mentor Service Coordinators. MCMCAP helps host sites provide more services, improve the effectiveness of each host site s mentoring program(s), and increase organizational capacity to manage mentoring programs. MCMCAP provides intensive training to MCMCAP Mentor Service Coordinators who serve for 11 months. Each MCMCAP Mentor Service Coordinator works closely with host site staff to conduct a mentor needs assessment, create policies, procedures, and mentor/mentee training sessions for volunteers, initiate recruitment drives and media outreach, develop community partnerships, conduct volunteer recognition events, and train staff and volunteers in mentor management skills. MCMCAP, the MCMCAP Mentor Service Coordinator, and the host site all contribute to the partnership. THE SELECTION CRITERIA To be eligible for partnership, each organization must: Be a nonprofit 501(c)(3), school, or government agency. Have been operational (providing services) for at least one year. Have at least one full-time staff member (paid or volunteer). In addition, the mentoring programs must: Meet a critical community need in the area of education (i.e. school-based/after-school mentoring programs); priority will be given to programs in this area. Utilize volunteers in direct measurable service (activities that have a hands-on, direct impact on the clients or community). Not be directly involved in political advocacy or religious instruction.
2 THE APPLICATION PROCESS To be considered for a MCMCAP partnership, the MCMCAP Host Site Application must be submitted by May 1, A Review Committee screens all applications for eligibility and quality of submission. If necessary, site visits are then scheduled with key staff at the agencies that have submitted the strongest applications to further discuss the MCMCAP partnership. Key application elements include: Organizational capacity to develop and manage the program. Clearly defined need for the program. Realistic goals and ability to measure pre-determined outputs and outcomes. Integration of the mentoring program in the organization. THE MCMCAP MENTOR SERVICE COORDINATORS: The MCMCAP Mentor Service Coordinators are AmeriCorps members who have committed to 11 months of service. They have diverse backgrounds, come from varied geographical areas and have at least some college-level education. They share a strong commitment to making a difference in their communities and to serving youth. Along with training at the beginning of the partnership year, they receive additional training during the year from MCMCAP. They also receive ongoing technical support from MCMCAP staff. WHAT CAN WE ACHIEVE TOGETHER? WHAT DOES MCMCAP PROVIDE TO HOST SITES? MCMCAP provides ongoing, yearround support to MCMCAP Mentor Service Coordinators and host sites. A MCMCAP Mentor Service Coordinator who has committed to 11 months of service. (Recruited and selected by both MCMCAP and the Host Site.) Pre-Service and monthly training for the MCMCAP Mentor Service Coordinator in program development, innovative volunteer management, and community-building skills. Orientation for organizations and training sessions with both the MCMCAP Mentor Service Coordinators and the host site. The MCMCAP Mentor Service Coordinators post-service educational benefit, health coverage, workers compensation, and a portion of the living stipend. Technical assistance and access to state networks. Supportive marketing materials to promote mentoring opportunities at the partner organizations. WHAT ARE HOST SITES REQUIRED TO PROVIDE? A clear vision for the mentoring program you plan to create and how the direct service activity involved will impact your clients and/or community. Supportive leadership from your staff and board, to ensure that the mentoring program is considered and treated as an integral part of your organization. A designated supervisor for the MCMCAP Mentor Service Coordinator, who will provide weekly supervision and participate in training days over the course of the year. Adequate workspace for the MCMCAP Mentor Service Coordinator including a desk, phone, access to a computer, internet and access. Free or reimbursed parking for the MCMCAP Mentor Service Coordinator while she/he is serving on-site as part of his/her service. Host Site FEE: A $6,000 host site fee per member is required to invest in the partnership.

The complete application packet includes: a) Application and Organizational Chart: 1 signed original of the completed application and organizational chart (to include position titles and names) b) Budget: 1 copy of your current fiscal year operating budget (to include revenue and expenditures) c) Financial Statement: 1 copy of your agency s most recent audit report, 990 form, Profit and Loss Statement, or other statement of financial position. d) Host Site Direct Service Position Description: 1 copy of a Position Description detailing the specific responsibilities and preferred qualifications required of the MCMCAP Mentor Service Coordinator. Note: Be sure to use correct AmeriCorps Language (e.g., serving vs. work; host site vs. job site). 4. Remember: Reviewers may not know anything about your agency or proposed mentoring program prior to reading your application. 5 2. The Host Site Fee for is $6,000 per member and payable in two installments; each installment is $3,000. The 1 st installment is due in October and the 2 nd is due in March of each service year.
