1 The Firefly business portal has been transformed! Applications are accessed by clicking on tiles from the Firefly home page and are displayed depending on your job responsibilities. Firefly Home Page Toggle button: display or hide the left side menu. Home: return to the home page from any application. All apps: provides a list of all applications you can access. All menus: displays menus that contain multiple tiles. Split view: allows you to view two applications side-by-side. Most used: auto-fills as you open applications, displaying your top 10. Favorites: you can assign applications as your favorites to easily access them. Firefly News: announcements and news regarding Firefly applications. Firefly Essentials: Overview & Tutorials for the new Firefly. Feedback or Report a Problem: provide Firefly feedback/suggestions or if something is not working correctly, submit an online help request. Your name (dropdown menu): options for Settings, Change Password (opens TrueYou in another browser window), and Firefly Help. o Settings: Change transition or upload/delete an image. Page 1

2 Workflow Inbox: provides a place to review and act upon all system generated actions that involve you. If you are a manager who approves leave or travel requests, you will see a list from which you can act upon those requests. If the SAP system has sent you any , even just notifications, you will see those organized here as well. If you see a red number (other than 0) you have work waiting for you. You can also use the Workflow Inbox to delegate your approval duties during absences. Employee Self Service (ESS): this is the most frequently used section of Firefly and is available to all employees. You can use it to perform activities such as viewing your paycheck stub, requesting leave or viewing leave balances, as well as updating personal information such as addresses, bank accounts or your tax withholding. You can also launch the NUFlex annual benefits enrollment process from within ESS. Manager Self Service (MSS): if you supervise other employees, you should have access to this tile. You will be able to view information that will assist you in managing your team, including rosters, calendars and contact information. You can also run a number of reports that provide useful information about your team. Collaboration: document repository for campus/college business groups. Access to this tile will depend on your job role. Title IX Online Training: a University-wide training program to raise awareness and address the issue of sexual misconduct. Page 2

3 Business Applications* *Depending on your job role and security settings, you may not have access to these or other tiles. SAP Logon: if your job requires you to enter transactions directly into the SAP business system, you will use this tile to access the SAP GUI (Graphical User Interface). This tile is most commonly available to those working directly with Human Resource or Financial administrative functions. Business Intelligence: Access point for all SAP Business Intelligence-related applications and information: 1) reports by subject area: BCS, HR, FI, Procurement, Benefits, etc.; 2) Budget Prep; 3) BW Security reports; 4) the BI Launchpad: ad hoc reporting tools; and 5) documentation. When this tile is clicked, a separate launch page opens in a new browser window. Budget Workbench (BCS) and Reports: The Budget Control System (BCS) allows you to do a number of different functions related to budgeting including post documents, change documents, display documents, hold documents, prepost documents and reverse documents. eshop: the University of Nebraska s eprocurement system. This tile will open a landing page, where you can click on, taking you to a shopping cart environment to make work related purchases from a number of suppliers. epaf (electronic Personnel Action Form): online system for processing personnel actions (e.g.: hiring actions, separation actions, etc.). This tile will open a landing page, where you can click on either or. Help, Support & Feedback Firefly Help: documentation to help you navigate and use applications within Firefly. SAPPHIRE: the online resource for SAP business users containing documentation, campus specific business forms and reference guides. Feedback or Report a Problem: provide Firefly feedback/suggestions or if something is not working correctly, submit an online help request. 4 Employee Self Service (ESS) Employees with the ability to log into Firefly will have access to the ESS tile. Note: Depending on your benefits participation and access to travel applications, you may not see these or other tiles. About Me: update your addresses and emergency contacts, view your compensation statement as well as additional information, such as education, qualifications, ethnicity, and training/certifications. My Employment: view employment information, approval relationships, objects on loan and dates. Paycheck Inquiry: view current and past paychecks, as well as your current payments/deductions. Bank Direct Deposit: view, update, delete, or add bank information. Note: this application requires you to enter the last four digits of your social security number and be within a campus network (or using VPN). W-2 & W-4 Tax Forms: view/print your W-2 (if enrolled for online delivery), view/update your W-4 tax withholding, or enroll for W-2 online delivery. Note: this application requires you to enter the last four digits of your social security number. Benefits Participation: displays any benefits you are currently enrolled in, as well as those available to enroll in. You can also view/print/save your confirmation statement as a PDF. Page 4

5 Benefits Enrollment: access to NUFlex benefits (available during the enrollment period) existing employees, benefits enrollment for new employees, Employee/Dependent Scholarship, and Life Insurance Beneficiaries. Employee & Dependent Scholarship: allows employees and eligible dependents an opportunity continue their education with tuition assistance. Life Insurance Beneficiaries: view or update your life insurance beneficiaries. Basic Retirement Tier 2 Election: allows you to switch from Tier 1 to Tier 2 basic retirement 401(a) plan (if already at Tier 2, no action is required). This is available during the month of May each year. Flexible Spending Account (WageWorks): view and submit receipts for your flexible spending account(s). Clicking on the tile will launch WageWorks in a new browser window. Note: if you do not participate in flexible spending account(s), you will not have access to this tile. Leave Request: view your current leave balances, create a new leave request (e.g.: vacation or sick leave) or view/delete previously submitted leave requests. Leave Balances and Usage: view your current leave balances, run a report of leave taken, or view information regarding leave balances. Timesheet Entry: bi-weekly time entry (including student employees) scenarios for one or more positions, including release for supervisor approval. Travel Request: create a new travel request. Travel Expenses: submit expenses for travel and travel-related activities. Travel Booking Concur: online reservation application provided through Travel and Transport. Clicking on the tile will launch Concur in a new browser window. Page 5

6 Manager Self Service (MSS) If you supervise other employees, you should have access to this tile. Employee Detail Personal Information: a listing of employee s addresses, emergency contacts, compensation, and education. Employment Detail Position Information: a listing of employee s information in reference to their position(s), such as service anniversary, FTE, work hours, and approval relationships. Approval Relationships: lists relationships stored on your employee s position. Relationships are created in order to facilitate approval of business processes like leave requests or travel. Work Directory: a list of your employee s work telephone numbers, organizational unit, position and permanent phone number. You will be able to convert the report to a PDF, then print, save, or attach the PDF to an . Staff Lists Selection Reports: run various reports to show detailed information about your staff. Data displayed in these reports is not live; it is refreshed nightly. Calendar: calendar view detailing employees leave, important dates (e.g.: service anniversary), and travel. Balances by Employee: view current and planned leave balances for your employees. Balances by Type: view leave usage of absences for your employees. Usage by Type: view leave data based on parameters you create at the employee group level or applied to an individual employee. Approve Attendance: view and take action on your biweekly paid employees hours worked who have entered their time through Firefly s Employee Self Service Record Working Times functionality. Page 6

7 Favorites You can set applications as favorites to easily access them. You can set Favorites two different ways: 1. Right click on the application tile and select. 2. If the application is open: from the top right of the screen, click the icon relative to the application. Click on the icon again and select. Settings Click on the dropdown menu next to your name and select. Settings: Transitions: change the transition you see from one application to another. Options include Default (none), Door, Fade, Flip or Slide. User image: upload an image to your Firefly page. Page 7
