3 Dear Member You have already made the important decision to invest in your career as an exercise professional by joining REPs and it doesn t stop there we want you to continue to progress by keeping your skills updated through Continuing Professional Development (CPD). This booklet will hopefully explain all you need to know about the REPs CPD programme. 4 1 What is CPD? Continuing Professional Development (CPD) can be defined as: a range of learning activities through which professionals maintain and develop throughout their career to ensure that they retain their capacity to practise safely, effectively and legally within their evolving scope of practice. When you first join the Register the status awarded to you is often referred to as your licence to practise. At the time of re-registration each year you will need to demonstrate that you continue to be fit to practise. This can be achieved through a commitment to CPD. 2 Auditing CPD activities should be available for audit and validation by the CPD Compliance Manager at the time of each annual re-registration. Auditing is done on a sample basis rather than checking each and every member. If you are audited, we will ask you to fill in a CPD profile.this is a form that we will provide you with. In it you must provide a statement which tells us how your CPD has met your development.when you send this to us, you must also send in supporting evidence from your personal CPD record. 3 Individual CPD Requirements It s not hard to find CPD activities that can progress your fitness career. You just need to know where to look. Members of the Register can log onto the REPs website to source a full range of current and endorsed CPD training courses and log points as per activity chosen including online assessments and answering questions from the REPs Journal. 4

5 When you first join the Register, the qualifications that you submit for registration will earn you CPD points helping you start your CPD requirement for the first year. Your annual requirements are: 24 points required over a rolling 2 year period Minimum 4 points in any 1 year for continued membership Maximum 8 points carried forwards/backwards into adjacent years to make a total of 12 points in any 1 year. There is no upper limit to the number of points you can achieve but you must complete a minimum of 4 CPD points every year and 24 CPD points in any two-year period. All CPD activities should be recorded within the annual registration date period and be continuous.this means that the CPD record should be updated regularly. Breaks in registration will mean that you will be unable to carry forward points from the previous year and your CPD record will revert to 0 upon registration. Categories on the Register must be held before CPD activity in that discipline will be accepted for CPD points. For these areas, instructors must hold the recognised qualification before undertaking CPD i.e. Gym instructor cannot undertake CPD in Pilates, you must hold the Pilates qualification before you can log this as CPD. 5

6 4 How to log your CPD It is the member s responsibility to ensure that they log their CPD activities and records are kept up to date. Logging your activities is quite simple please follow the steps below. Step Logging Process 1 Go to the REPs website: 2 Click on the Member Login icon 3 Enter your REPs registration number i.e. R00xxxx and your own unique password. If you have yet to use the members area you will be required to follow the steps to obtain your password. 4 You are now in the REPs Members Area where you can: Update your profile View your listing on the member Directory Log your CPD Online CPD assessments Re-register online Training options with Approved training Providers 5 Click on CPD in the left hand menu then select Log your CPD 6 Please choose the annual period for which you wish to log your CPD by clicking on the arrow icon to the left of the year you wish to update. 7 Your Personal CPD Page and Click on Click here to log additional CPD training 8 Add a new course to your CPD Programme Page CPD Course Name - Click inside the box to reveal the full listing then scroll down using either the arrow to the right of the box or the up/down arrows on your keyboard to find the course you wish to log. Note thatcourses are listed in alphabetical order 9 Select course and click next which will take you the next page where you will see the course selected. Enter the course dates making sure you use the correct format and click submit to confirm your update. 6

7 5 CPD Points Allocation Cat 1 Logging A. AwardingProcess body qualification/industry award that can give 20 entry to the Register at Level 2 or 3. Copies of these certificates must be sent to REPs for verification and will receive an award of 20 credit points. Cat 2 Cat 3 B1. Awarding body qualification/industry award that gives a category of registration e.g. Ante & Postnatal, Disability and Older Adults. B2. All other Awarding Body qualifications/industry Awards that do not give entry or a category of registration e.g. Spinning and Circuits. Copies of these certificates must be sent to REPs for verification and will receive an award of 20 credit points C. Course with mandatory assessment and specific guided learning/contact hours, including In-House training endorsed by Skills Active Industry workshops no maximum in any one year A. Seminar/Convention/Tradeshows B. REPs online CPD assessment/all online CPD assessment C. Reading/self taught programmes/mentoring D. 8 Some Tips: Search the training portal to ensure that your CPD is endorsed - look for the REPs CPD logo as shown. Each activity will have a number of points allocated Answer questions from the REPs Journal technical articles it s free and worth up to 4 points per year. (1 point per article) Do a REPs online CPD assessment - worth 4 points and includes unlimited access to the technical area. 8

9 6 Non-compliance In efforts to raise standards and with so many opportunities and routes available to engage in CPD activities, there is a clear need for sanctions to be enforced. However, if a member experiences difficulties or problems in meeting CPD requirements or there are extenuating or exceptional circumstances, they should notify the CPD Compliance Manager prior to their renewal date in writing when they will be informed of their options. The REPs CPD Compliance Manager will audit and review members records, informing the Registrar of any members who are not meeting the minimum CPD requirements. Unless reasonable action is taken, sanctions may be enforced which may include suspension or removal from the Register. 9

10 7 Frequently asked questions 1. What does a commitment to CPD prove? It proves to your clients, your employer and the Register that you take your personal development seriously and your skills and knowledge are current and that you are abiding by the Code of Ethical Practice 2. Who carries out the endorsement of CPD activities? SkillsActive the Sector Skills Council for Active Leisure, Learning and Wellbeing. 3. What are the CPD requirements? Minimum of 24 points in any 2 year period Minimum of 4 points in any 1 year to maintain registration Maximum of 8 points carried forwards/backwards into adjacent years to make a total of 12 points in any 1 year. 4. How will I know how many points are allocated? A full range of current and endorsed training programmes listed on the REPs training portal will show the amount of CPD points awarded for each activity. All other CPD activities are mentioned on page I am a new member when does my CPD programme start? Your CPD programme will commence on the same day as your registration. 10

11 6. I am not very good with computers or IT how can I log my CPD activities? A paper log book is available which we can send to you on request which you must submit to the CPD Compliance Manager at the time of re-registration. 7. Why can t REPs log the activities on behalf of the members? This would require more resources which would increase the fee. The Register is selfregulating and there has to be a degree of trust that members will take responsibility for meeting their CPD requirements as per the Code of Ethics that you signed up to when you first registered. Monitoring of this will be carried out on a sample basis. 8. Can I log CPD activities outside my registration period? You can log activities within any annual registration period in your online log book. If the activities are before your initial registration with the Register you will not be able do this retrospectively. 9. I am a HE graduate can I use my degree as CPD? Inform the CPD Compliance Manager of the degree. Dependant on the type of study e.g. for a Sports science degree up to 12 points may be awarded for each year. 10. When are the points from the REPs online assessment and technical article questions added? Each month your points are updated by the Register. 11. What happens to my CPD if I have a break in my registration? A break in your registration dates i.e. there is no continuation from one year to the next will mean that your CPD record will be reset to 0 and you will have to start collecting the required 12 CPD points per year. 11

12 12. What happens if I fail to meet the CPD requirements? You must inform the CPD Compliance Manager of the reasons why you cannot complete your CPD obligations, otherwise sanctions may be imposed which may lead to you being suspended or changed to provisional status on the Register for a period of time. 13. Can REPs make employers dedicate resources and time to enable me to fulfil my CPD requirements? REPs has no jurisdiction over employers to dedicate time and resources to support CPD for their employees. However, we undertake awareness communication campaigns to ensure that employers know about our CPD processes and are encouraged to support it. 14. What if an employer refuses to support my CPD requirements? REPs hopes that through the awareness communication campaigns, employers will become aware of the substantial benefits of supporting their staff. In addition, this will have benefits in delivery, recruitment and retention. However, they are not required to make funds available. 15. I only work part-time will I be required to complete the same amount of CPD as a full-time fitness professional? All members irrespective of whether they work full-time or part-time, are required to meet CPD requirements with the onus being on the individual to select which CPD activities best suit them and will allow them to continue to meet the standards. 16. I am going on maternity leave how does this affect my registration and CPD? If you are proceeding on maternity leave you may wish to lapse your registration and reregister when you are ready to return to employment. Your CPD record will recommence from the date of re-registration. 12

13 8 CPD activity definitions Awarding body qualifications Awarding Bodies create qualifications that meet National Occupational Standards (NOS) produced by SkillsActive, the Sector Skills Council who set the standards for the Active Leisure, Learning and Wellbeing. These qualifications are submitted to SkillsActive for approval onto the Governments education framework. Each Awarding Body quality assures training delivery in a large number of training providers or colleges who gain accreditation from the Awarding Body to deliver nationally recognised industry relevant qualifications. Some Awarding Body qualifications give entry to the register e.g. Exercise to Music, Gym or Personal trainer. Some give a category of registration like older adults or disability and some are recognised as CPD e.g. Spinning, Circuits etc. Training Courses A training course is a period of learning that is led by one or more tutors. Training courses will generally have some form of assessment. Training courses will be offered by a large variety of training providers in many diverse areas of fitness instruction and may include new and cutting edge techniques. Workshops A workshop is a gathering or training session which will be generally one day or a half day. It emphasizes problem-solving, hands-on training, and requires the involvement of the participants. Seminars A seminar is generally a form of academic instruction, focusing on a particular subject or area within the industry, in which everyone present is requested to actively participate. It is relatively informal, at least compared to the lecture system of academic instruction. 13

14 Conferences A conference is a meeting of people that confer about a topic. It is often aimed at one particular area of the industry such as personal trainers or club managers. Generally, sessions are presented in the form of short, concise presentations lasting about 30 to 60 minutes, usually including discussion. Master Class A master class is a class given in a particular discipline by an expert in that discipline. The difference between a normal class and a master class is typically the setup. In a master class, all the participants (and often spectators) watch and listen as the master provides both artistic stimulation for the instructors and a means of inspiring instructors. Conventions A convention is a gathering of individuals who meet in order to engage in a common interest. The convention will focus on a range of areas within the industry, and will provide other information and activities of interest to the attendees. Generally there will be a trade area selling goods and materials relevant to the industry. 14
