1 New Hire Onboarding Training Welcome to Workday Workday is the New Roadrunner Human Capital Management System This system stores; your employment information, benefit elections, payroll, Hours Worked, Time Off, and more. As a new employee you are required to complete your Onboarding steps through the Workday web portal. 1
2 Logging into Workday When you are hired you will be provided with an introduction sent either to your personal , or received from a manager in paper form at your work location. This introduction will provide you with the web address, your username and a temporary password. Use the provided information to login to Workday When logging into Workday for the first time you will be required to reset your password. {The following character types must be represented: alphabetic characters, uppercase characters, lowercase characters, Arabic numerals 0-9, special characters!"#$%&'()*+,-./:;=>?@[\]^_`{ }~.} 2
3 Logging into Workday (continued) Once you have changed your password you will be prompted to update your security questions. You will have to choose three different questions and provide unique answers for each. Once you have completed the security questions, select the Sign In button and you will be brought to the Workday Home Page. 3
4 Workday Home Page_Onboarding On the Home Page the Circle Icons in the middle of the page are called Worklets. Select the Getting Started worklet to initiate the Onboarding process in Workday. On the next page Select the Take Me There button. 4
5 Workday Onboarding You will then be brought to a page titled Your Onboarding Checklist Select the View Inbox button This will take you to your Workday inbox where you will have 7 initial steps to complete. 5
6 Complete Form I-9 On this page you will be required to complete all of the sections with a red asterisk (*) The system will not allow you to submit the form if any of the required fields are incomplete. 6
7 Add Payment Elections From the first page select the Add Payment Elections button This next page is where you will add your personal bank accounts for payroll direct deposits. Once you select ok you will return to the first page. If all accounts have been entered hit the Submit button 7
8 Change Emergency Contacts You are required to have at least one Primary Emergency Contact. Complete all the required information on this page. A phone number or address is required for all emergency contacts Once you have completed the information hit the Submit button at the bottom of the page. 8
9 Review Documents On this page you will have the opportunity to review and read company documents including the employee handbook. All documents on this page require review and you must check the I Agree box for all available documents to proceed. 9
10 Enter Personal/Contact Information On this page you will confirm, or update, the personal information which has been entered by the Human Resources Department, for your setup profile. You will also have the opportunity to add more detailed information in the provided sections. Select the Submit button when you have entered all required and desired information. 10
11 Complete Federal Withholding Elections To be paid you must complete the Federal Withholding form. (Some states will require a state form as well, if required the system will provide.) All fields with a red asterisk (*) are required for completion. Once all fields have been completed select the Submit button. 11
12 Edit Government IDs On this page you will have the ability to add or update your Government IDs in the system. An incorrect government ID may affect employment, make sure your ID is correct. Once you have completed and reviewed this page select the Submit button. 12
13 Next Steps Once all of the Onboarding steps have been completed and submitted the HR Partners and Payroll Partners will receive approvals When the submitted information is approved your Onboarding will be completed if you are not eligible for company sponsored benefits.\ If you are eligible for company sponsored benefits you will receive a message in your Workday Inbox (instructions on following page) 13
14 Eligible for Company Sponsored Benefits Page 1 If you will be electing benefits including dependents you will need to enter your dependents before going to the benefit election event. To Add dependents select the Dependents green box link. You will be brought to a page where you can create dependent profiles. Once all dependents have been added return to this Inbox page Add Dependents and Submit. 14
15 Eligible for Company Sponsored Benefits Page 2 Once the Add Dependents step has been completed you will receive a Change Benefit Elections inbox item. You will have the ability to elect benefits for which you are eligible. You will be shown all the benefits for which you are eligible. 15
16 Eligible for Company Sponsored Benefits Page 3 Follow all of the enrollment steps to complete your enrollment. The last step of your enrollment process will be a final review of elected and waived benefits. (Print a copy of this page for your records) Once you have submitted your enrollment it will be sent in Workday for approval by Human Resources. 16
17 Important Notes It is important to understand that all of this information is required to be completed by you, the employee, upon beginning your employment with the company. Delaying completion of these steps may affect whether you are allowed to work and your first paycheck. If you have any questions please reach out to your local HR contact. 17
