2 On Successful login in to Hotel IT CHAM, the very first screen that will appear is the Dashboard view of your Hotel IT CHAM account. The detailed description of the Dashboard view is as below:- Dashboard The Dashboard shows Revenue graph and the amount of revenue generated by the hotel in Last 30 Days, to the current date and the next 30 days (which are showing the future bookings). 2

3 The Right corner is showing the reservation summary. According to the day s booking, last 30 days booking and Last 90 day s bookings. Below Revenue Graph it shows the Recent 10 Bookings with 1. Reservation no. 2. Name of Guest 3. Arrival / Dept of guests 4. Room Type 5. Source from which business is generated 6. Price of the room 7. Deposit amount 8. Reservation Type Beside Recent bookings, we have Last 30 Days Channel Bookings, Which will show a bar graph representing the no. of booking received in last 30 days from different channels. At the end of the page we have Visitor s Statistics; it shows the statistics that from which country the hotelier are getting the maximum no of visitors on their Booking Engine. 3

4 Room Type To configure the new room type we need to fill in the below mentioned details:- 4

5 Base Adult: This is number of base Adult that can stay in this Room Type. Base Child: This is the number of base Child that can stay in this Room Type. Max Adult: This is the number of Maximum Adult can be accommodated in this Room Type. Max Child: This is the number of Maximum child that can stay for this Room Type. Default Web Inventory: You can set default inventory of Room type from here. Amenities: You can select amenities for room type from here. The same will be display on booking engine. Photos: You can add Photos for the Room type from here & same will be display on Booking engine. Notes: Amenities & Photos will not effect on Channels, this is only for Booking Engine. 5

6 Rate Type: To configure the new rate type we need to fill in the below mentioned details. Rate Plan Rate plan is the combination of Room Type & Rate type. 6

7 Room Type: Select the Room type for which you want to create the Rate plan. Rate Type: Select the Rate type for which you want to create the Rate plan. Rate Plan: Mention the Rate Plan name which you want to display on Booking Engine & Want to connect for Channel Manager. Web Description: You can mention here description of the rate plan which you want to display on Booking Engine. Base Adult, Base child, Max Adult, Max child: You can set Base & Max occupancy for Adult & child at Rate plan level from here. Min Nights: You can set Minimum night at Rate plan level from here. Inclusion: You can set inclusion from this window to display it on Channels which supports inclusion feature. Note: This inclusion will not effect on Booking Engine. This is for Channels only. Create Rate Plan as: You can set different rate plan type as per below. Independent It means the rate plans are managed independently. This will update different rates for both booking Engine & Channel Manager. Master It means the rate plans are managed as the major ones. This will share same rates for both booking Engine & Channel Manager. Derived The derived rate plans are the ones which are managed through the master rate plans. So, whenever you update the master rate, it will directly update the derived rates as per the master rates. Rack Rate: You can add rack rate of Rate plan form here. Note: If you have tax on Rack rate setting, you can set that rack rate value from here at rate plan level. Extra Adult & child Rate: You can set Extra Adult & Child rate from here. Publish to Web: If you want to display rate plan on booking engine, require selecting this option. Prepaid, Non-Cancel, Non-Refundable-: If the created rate plan is prepaid, non-cancelable and nonrefundable, then the user needs to check mark this option. 7

8 Yield Management Yield Management helps you to maximize the revenue per available room by selling rooms at the right price, at the right time. Let s see how Yield Management works in the context of Hotel IT CHAM. To setup Yield Management, go to Marketing tab -> Yield tab. To Manage Yield, it s necessary to create Yield Slabs; this can be achieved from the tab Occupancy Slab. Slab Occupancy :- The purpose of this option is to bi- furcate the occupancy in different slabs on the basis of which the rates will be decided. e.g. if the user creates 4 slabs like 0 25, 26 50,51 75, and if the user has in all 100 rooms in his property, so now considering 100 as reference point it will calculate rates as per the slabs. So now if the occupancy of the user is 60% then it will calculate the rates mentioned in the slab %. The no. of slabs can vary as per the convenience of the hotels. 8

9 Slab Mapping -: Season :- Source Select the source for which the Yield management is been done. Yield Disabled Rate Plan This box will show the name of the rate plans for which Yield is not active. Yield Enabled Rate Plan This box will show the name of the rate plans for which Yield is active. Special Seasons can be created for the Yield Mgmt. 9

10 Season - Name of the season should be entered in this field Date Range - Enter the date range for which the season should be active. Apply Days - Select the days on which the season should be applied. Manage Yield :- On the basis of the occupancy slab created you can define the rates for the base adult & child, extra adult and for extra child. Let s go through each option:- Select Source: - Here select the source as channel to update the rates on the basis of Yield. Select Rate Plan: - Select the rate plan for which the yield rates needs to be applied. Occupancy Slab: -In occupancy slab option, rates will be defined on the basis of the slabs created. From & to: - This will define the starting and the ending point of the slab. Base: - This column is for the rates of base adult and child. 10

11 Extra Adult:- This column is for the rates of Extra adults Extra Child: - This column is for the rates of extra child. Effect:- Here you can sat the effect factor, whether there should be addition on the base rates set or whether there should be deduction on the base rates defined. There are 2 effects 1. Add and 2. Mul. Factor: - Factor will be the no. by which the addition or subtraction will take place on the base rates. e.g. If the base rate is 1000 Effect Add Factor 100 Then in this case the rates on the channel will appear as Likewise if you want to subtract the rates on the basis of occupancy then you need to select the effect as mul (Multiplication) and the factor should be in points (e.g or 0.60). I want to update :- There are two options in here :- Specific Date Range Here you can update the rates for specified dates. Season The rates can be applied on the specific season created in Yield -> Season. Apply days: - If the rates should be applied only on specific days. Yield Report: -1. Yield Definition -> This will show the Yield rates set for different Rate plans. 2. Yield Projection -> This will Show the occupancy of the rate types in percentage. 11

12 Deals (Rate & Inventory Update) Deals tab is used to manage the rates, inventory, stop sell etc. on monthly, yearly or Seasonal basis. Monthly Deals: - You can update Inventory, Rates, Min Nights, Close on Arrival, Close on Depart, Inclusion Month wise. Yearly Deals: - You can update Inventory, Rates, Min Nights, Close on Arrival, Close on Depart, Inclusion Year wise. Note: channels update will depend from channel to channel. This will depends on the amount of transactions being updated at a time. Seasonal Deals: - you can update Inventory, Rates, and Min Nights Season wise. Note: channels update will depend from channel to channel. This will depends on the amount of transactions being updated at a time. 12

13 Managing Inventory Click on Inventory to view the inventory for Rooms: - You can update inventory on all channels configured with your property on Hotel IT CHAM from this tab. Select Source and Month & Click on Show [1] Select Room Type & Dates [2] Steps: Source - Select Source as Channel to update the inventory on Channel. Month - Select Month & click on Show button. Select days, if you want to update the different Inventory for weekdays & weekends & click on Show button. Select the Room Type & Dates for which you want to update the Inventory. Add the Number of Inventory for selected range which you want to update on Channel. Click on Save button to change / update. Notes: All channels will be updated with same inventory. Please note that it takes 2-3 minutes to reflect the changes on Channel Extranet. 13

14 Managing Rates Click on Rates to load the Rates for Rate Plan: You can update rates on all channels configured with your property on Hotel IT CHAM from this tab. Select Source & Month & Click on Show [1] Edit rates [3] Select Rate Plan & Dates [2] Steps: Select Source as Channel to update the Rates on Channel. Select Month & click on Show button. Select days, if you want to update the different Rates for weekdays & weekends & click on Show button. Select the Rate Plan & Dates for which you want to update the Rates. Add the Rates on Change Rate to field which you want to update on Channel. Notes: Click on Save button to change / update. All channels can be updated with same Rates. The Rates which you add for Channels should be exclusive of Tax if you want to configure tax for your property in your Hotel IT Reservation system. Please refer distribution setting module for Channels Tax setting. Please note that it takes 2-3 minutes to reflect the changes on channel extranet. 14

15 Setting Minimum Nights MLOS (Minimum length of Stay) Click on Min Nights to update the Minimum nights for Rate Plan: You can set minimum night on all channels configured with your property on Hotel IT CHAM from this tab. Select Source and Month & Click on Show [1] Edit Min Nights [3] Select Rate Plan & Dates [2] Steps: Select Source as Channel to update the Minimum Nights on Channel. Select Month & click on Show button. Select days, if you want to update the different Minimum nights for weekdays & weekends & click on Show button Select the Rate Plan & Dates for which you want to update the minimum nights. Add the No of Minim nights on Change to BOX which you want to update on Channel. Click on Save button to change / update. Notes: All channels can be updated with same Minimum nights if it share same rate plan on all the channels. Make sure it takes 2-3 minutes for reflection on channel Extranet. 15

16 Applying Stop Sell Click on Stop Sell to apply/remove stop sell: You can apply/ remove stop sell of rate plan on all channels for specific days from this tab. Select Source and Month & Click on Show [1] Select Stop Sell [3] Select Rate Plan & Dates [2] Steps: Select Source as Channel to apply the Stop Sell on Channel. Select Month & click on Show button. Select the Rate Plan & Dates for which you want to apply the Stop sell. Select Stop sell option from Change to to apply Stop sell on Channel. Click on Save button to change / update. Notes: Applicable to only those channels who provides this feature. You can contact Hotel IT live support or your extranet account manager to know if the channels you are registered with supports this feature. Please note it takes 2-3 minutes for the changes to reflect on channel Extranet. 16

17 Remove Stop Sell: Using this option you can remove the Stop sell. Select Source and Month & Click on Show [1] Select Start Sell [3] Select Rate Plan & Dates [2] Steps: Select Source as Channel to apply the Start Sell on Channel. Select Month & click on Show button. Select the days which were marked as Stop Sell before Click on Start sell option to remove the stop sell from channels. Click on Save button to change / update. Notes: Applicable to only those channels who provides this feature. You can contact Hotel IT live support or your extranet account manager to know if the channels you are registered with supports this feature. Please note it takes 2-3 minutes for the changes to reflect on channel Extranet. 17

18 Applying Close on Arrival Click on Close on Arrival to apply/remove Close on Arrival: You can apply/ remove Close on Arrival for rate plan on all channels for specific days from this tab. using this option you can stop the arrival of booking for particular date. Apply Close on Arrival: Using this option you can close the Arrival of booking for particular date. Select Source and Month & Click on Show [1] Select Close for Arrival [3] Select Rate Plan & Dates [2] Steps: Select Source as Channel to apply the Close on Arrival on Channel. Select Month & click on Show button. Select the Rate Plan & Dates for which you want to apply close on Arrival. Select close on Arrival option from Change to to apply it on Channel. Click on Save button to change / update. Notes: Applicable to only those channels who provides this feature. You can contact Hotel IT live support or your extranet account manager to know if the channels you are registered with supports this feature. Please note it takes 2-3 minutes for the changes to reflect on channel Extranet. 18

19 Remove Close on Arrival: Using this option you can remove the Close of Arrival of booking for particular date. Select Source and Month & Click on Show [1] Select Open for Arrival [3] Select Rate Plan & Dates [2] Steps: Select the dates for which it was made Open for Arrival. Go to change to option, select Open for Arrival to remove the Close on Arrival from Channels. Click on Save button to change / update. Notes: Applicable to only those channels who provides this feature. You can contact Hotel IT live support or your extranet account manager to know if the channels you are registered with supports this feature. Please note it takes 2-3 minutes for the changes to reflect on channel Extranet. 19

20 Applying Close on Departure Click on Close on Departure to apply/remove Close on Departure: You can apply/ remove Close on Departure for rate plan on all channels for specific days from this tab. using this option you can stop the Departure of booking for particular date. Apply Close on Departure: Using this option you can close the departure of booking for particular date. Select Source and Month & Click on Show [1] Select Close for Depart [3] Select Rate Plan & Dates [2] Steps: Select Source as Channel to apply the Close on Departure on Channel. Select Month & click on Show button. Select the Rate Plan & Dates for which you want to apply close on Departure. Select Close on Depart option from Change to to apply it on Channel. Click on Save button to change / update. Notes: Applicable to only those channels who provides this feature. You can contact Hotel IT live support or your extranet account manager to know if the channels you are registered with supports this feature. Please note it takes 2-3 minutes for the changes to reflect on channel Extranet. 20

21 Remove Close on Departure: Using this option you can remove the Close of departure of booking for particular date. Select Source and Month & Click on Show [1] Select Open for Depart [3] Select Rate Plan & Dates [2] Steps: Select the dates for which it was made Open for Depart. Go to change to option, select Open for Depart to remove the Open on Depart from Channels. Notes: Applicable to only those channels who provides this feature. You can contact your extranet account manager to know if particular channel supports this feature. Please note it takes 2-3 minutes for the changes to reflect on channel Extranet. 21

22 Inclusion Click on Inclusion to add the inclusion for Rate plan: You can update inclusion for rate plan on all channels for specific days from this tab. using this option you can update inclusion for particular dates and rate plans. Steps: Select Source as Channel to apply the Inclusion on Channel. Select Month & click on Show button. Select days, if you want to apply the Inclusion for particular days of Month & click on Show button Select the Rate Plan & Dates for which you want to apply the Inclusion. Add Inclusions on Change to box. Click on Save button to change / update. Notes: Applicable to only those channels who provides this feature. You can contact Hotel IT live support or your extranet account manager to know if the channels you are registered with supports this feature. Please note it takes 2-3 minutes for the changes to reflect on channel Extranet. 22

23 Future Data Management Using this option, you can generate new future dates to update the data for Inventory, Rates, Min Nights, Stop sell, Close on Arrival, Close on Departure. You can update the data for respective features, once you release the dates from here. Steps: Select Source as Channel to Release the dates for Channel. Select Month & click on Generate button. Select Types, for which you want to generate future dates. 23

24 Booking List The Booking List module helps in getting the detailed information of the guests, with the reservation Number, Arrival /Departure dates, Guest name, Room Type, Source of business, Voucher Number, Total Amount, Deposit amount, Reservation Type. Can search incomplete bookings only from this list. Can void particular booking from here. Can search booking by reservation number, voucher number, Cancellation number, arrival date, booking date, Reservation Type & Source. 24

25 Distribution We have various options in Distribution tab like, Settings, Fetch Bookings, Distribution Rates, Update Log, Messages, Server Log, Server Log Fail List and Rate Spider. Apart from Fetch Bookings, Update Log, Distribution Rates and Rate Spider option all other options are for the use of technical department of Hotel IT, so we do not recommend the end user to try and make any changes in those settings. Fetch Bookings Due to any reason if the booking made from channel does not appear on the reservation list of Hotel IT CHAM account, then in that case on the initial stages you can try to fetch that particular booking from the Fetch booking option. Select Channel In this option select the name of the channel from which the booking was received. Booking id Enter the booking id received in the . Once you fill up both the details click on Save if the fetching is successful then the booking will be fetched to booking list page and in case of a failure it will give you the failure message. 25

26 Distribution Rates In this option users can view the rates set for various channels, also if the use wants to change the rates on those channel they can do the same. Above image is for the rate updating from Distribution rates. Also if the user want they can check the stop sell done on the channels from this option and manage the same from Distribution Rates option. 26

27 Above image is for the stop sell option in Distribution Rates. Update Log This option helps you to check if the changes made in the distribution tab were successfully done or not, as on the distribution rates there will be no message appearing for the success of transaction or for the failure of transaction. It allows the user to check the updates of rates and inventory log at the rate plan level. Above is the image of update log 27

28 Server Log This option allows the user to check the updates of rates and inventory log performed on the different channels. Above is the image of Update Log Now we will see how the rate spider option works:- Rate Spider - Option allows you to search the rates of competitor hotel. 28

29 There are 2 tabs in rate spider:- Rate Spider Rate Spider Search Let s look both the tabs in detail:- Rate Spider -> This tab will help you to search the name of your competitor hotel. Source Select the source on which you want to check for the rates of your competitor hotel Hotel Name Insert the name of the hotel for which you want to check the rates on rate spider. After that click on the search button, a search result box will appear on the screen with the name of the hotel that you are looking for. Click on Save button, the Hotel will now be displayed on the list below. Rate Spider Search -> This tab will help you in seeing the rates for your competitor hotels. Select Date Select the date for which you want to check the rates. You can click on the calendar icon and select the desired date. Search Once the date is selected click on the search button, once the search button is clicked it will list out the rates for day selected and next 6 days as well. 29

30 Reset Once the data is searched, the search button will be converted into Reset button. It will reset the search that you performed and allow you to search for the new dates. Go to Monthly Deals On clicking this button it will redirect to deal tab. Notifications Let s look at some of the notifications which are displayed on top of the screen. System Alerts - This system alerts will help you to check the alerts regarding your channel update & Bookings. For example, due to some reason, Booking is not retrieved on your channel manager account from a channel because of room & rate plan is not mapped with channel for that particular booking. Here on alert list it will show you those particular booking details with channel name. So, you can get an idea that for your property because of room mapping not done, booking is not retrieved in system. Note: Currently we are showing only unmapped alerts for a hotel. In future we will add more in this list. Also, currently if single room type of that particular booking is mapped, It will retrieve booking automatically in our system. This is just for your notification that this particular rate plan is not mapped & if you want you can map it. Announcement - On Announcement we will show OTA related announcement. For Example, for some reason, a particular channel is down or in Maintenance & because of that update will not be done from Channel manager. You can get such notification on this Announcement icon. Channel Status - Channel Status will show you connected channels status as Enabled & Disabled. Enable means Channel is connected with Hotel IT & disabled means, channel is not connected with Hotel IT 30
