Position purpose The Senior Donor Relations Officer s position purpose is to provide operational support to the role of Donor Relations Manager (DRM): 1. Primary Purpose: Encourage and assist prospective bequestors who are considering or intending to leave a bequest, to become Confirmed Bequestors of Diabetes Victoria. 2. Secondary Purpose: Assist the Business development Department to attain its objectives as follows: a. Identify supporters who may become major gift donors, in consultation with the DRM b. Identify supporters who may be in a position to significantly assist Diabetes Victoria with its bequest activities (e.g. persons of influence who may have connections that may assist Diabetes Victoria in the longer term). c. Encourage people who are intending to leave a bequest to Diabetes Victoria to do so as soon as practicable. d. Stewardship of persons who have indicated their intent to leave a bequest to Diabetes Victoria by supporting their decision through regular expressions of appreciation and by promoting the overarching achievements of Diabetes Victoria. B. Business Unit / Departmental Purpose The Business Department upholds a holistic view of Diabetes Victoria s stakeholders, working to develop Diabetes Victoria s relationships with members, customers, donors, partners, sponsors, volunteers and other supporters. The primary function of this Department is to lift stakeholder engagement with Diabetes Victoria s brand and many services to advance our mission to help all Victorians affected by diabetes to live well. The Department is comprised of Fundraising and Partnerships, Membership and Marketing, and Bequest teams. The Department is responsible for driving and generating part of the annual financial surplus for Diabetes Victoria, whilst taking stakeholders on a journey that will see them increase their commitment and contribution to the organisation. support empower campaign Page 1 of 5 6902 Senior Donor Relations Officer June 2018
C. Key accountabilities KEY RESULT AREAS (KRAs) The key measurable outputs or deliverables required of the position. 1. Bequestor Stewardship TASKS The main activities required to achieve a KRA. Support the Donor Relations Manager with the implementation of the Bequest Strategy Contact supporters (via letter, phone or face to face) who are considering or intending to leave a bequest i.e. Potential Bequestor and encourage them to become Confirmed Bequestors Make detailed notes on Salesforce of all communication (phone, mail, email, social media or face to face) with Confirmed Bequestors, Potential Bequestors or other supporters Assist with the planning and delivery of bequestor specific events and attend all such events Assist with other Bequest Team tasks and activities as may be required from time to time Progress, where appropriate those bequestors who are interested in being moved up the bequest pipeline KEY PERFORMANCE INDICATORS (KPIs) The quantitative/qualitative evidence used to measure how well the KRAs have been achieved. The Bequest Program is promoted at every opportunity Year on year increase in the number of persons with a bequest interest or intention who are scheduled to be contacted in a given year (as per the Task function of Salesforce) Contact persons who have indicated an interest in leaving a bequest who are scheduled to be contacted in a given time period (as per the Task function of Salesforce) All persons who advise an interest in leaving a bequest for Diabetes Victoria (via bequest surveys) are contacted within 2 business days from receipt of the advice All persons with a bequest interest or intention who are scheduled to be contacted in each calendar year are contacted (by phone and/or face to face) at the designated time In conjunction with the DRM, have phone/face to face interaction with 90% of all confirmed bequestors, at least 60% of intending bequestors and at least 30% of considering bequestors 2. Business Activities Assist the Donor Relations Manager to integrate the Bequest Program activities with membership and other fundraising activities of the Business Department Refer appropriate prospects to other Business team members who have specific responsibilities in designated fundraising activities such as trusts and foundations, corporate, sponsorships and partnerships, events, etc Maintain a detailed database of all existing Confirmed Bequestor, Members, Donors and other persons who may be willing to make a bequest, a major gift, or provide other significant support Relevant referrals are passed onto other Business team members Salesforce is maintained up-to-date with accurate information regarding bequestors and details of other potential supporters of Diabetes Victoria support empower campaign Page 2 of 5
3. Bequest Program Promotion and Publications 4. Diabetes Victoria Promotion 5. Business Department Support the Donor Relations Manager with sourcing and drafting of suitable bequest related articles for the Circle Magazine In consultation with the Donor Relations Manager, prepare and regularly review in-house bequest related publications including the bequest survey; bequest flyer (DL size); Wills/Bequests booklet Contribute to raising the profile of Diabetes Victoria through supporter communication and meetings Provide supporters with a general overview of the Diabetes Victoria programs, services and offering where a potential need is identified Refer supporters to relevant Diabetes Victoria business units Assist the fundraising team/membership team to integrate the Bequest Program activities with other affiliated aspects of Diabetes Victoria operations of the Business Department. Articles for the Circle magazine written and submitted within designated timelines. Updates as necessary in relation to Bequest collateral is done in a timely manner. Demonstrates a broad understanding of the Diabetes Victoria programs, services and offerings Supporters referred to appropriate Diabetes Victoria business unit Promotion of Diabetes Victoria through all aspects of the Bequest Strategy. Bequest program is affiliated with other department activities. Relevant referrals are passed onto other Business team members. Salesforce is up-to-date with accurate Bequestor details. 6. Team building Communicate through team meetings and team briefs in order to appropriately inform all team members about Diabetes Victoria s vision, mission, values and objectives Where required actively take the role of Chair in bequest team meetings. D.
