Job description Job title: Qualifications and Product evelopment Administrator Grade: 2 ivision: Reporting to: Main contacts: ducation and evelopment Senior Manager (Qualification & Assessment esign) Internal: ivisional colleagues and staff from other divisions at all levels, as required. xternal: xternal agencies/suppliers as appropriate, professional bodies, Subject Matter xperts (SMS) other employers. Major objectives To provide assistance and support to the Qualifications and Product evelopment team, particularly in relation to commissioning of Subject Matter xperts for both qualifications, assessment and learning services and any relevant project administration. To ensure that files are kept up to date both electronically and in hard copy. To produce paperwork for all new Subject Matter xperts (SMs) and arrange contracts as necessary To raise and log all purchase orders and invoices coming into Product evelopment. To put together written correspondence as and when required. To collate reports on a monthly basis on e-learning performance for the Learning Services Manager and other reports as needed for the Head of Qualifications and Product evelopment To administer /coordinate all functional t events and meetings as directed by Head of Qualifications and Product evelopment/senior Manager (Qualification & Assessment esign) / Qualification managers//learning Services Manager. 2
Responsibilities Qualification and assessment Support Prepare contracts for SMs and log details as appropriate to agreed timescales with Qualification evelopment Managers (QMs) Create purchase orders and arrange sign off from QMs or Head of Qualifications and Product evelopment Track Invoices and arrange sign off as appropriate Attend moderation meetings as a note taker as required nsure paperwork and sent out and prepared for moderation meetings. dit qualification specifications and documentation post moderation for QMs Assist in creation of qualification materials Book relevant travel as needed for QMs and Assessment esign Manager (AM) Book meeting rooms and catering for qualification development meetings Update SM details on systems as required Monitor Q queries email, answer basic queries and forward more complex queries to Qualification Managers or AM as needed for responses Learning Services support Create purchase orders and arrange sign off from Learning Services Manager (LSM) Track invoices and arrange sign off by LSM or HoP Update SM details on systems as needed nsure that the database is kept up to date in line with hard copy files. Prepare and send out contracts for Learning Services SMs as instructed by LSM or Learning Services Technologists Take meeting notes when needed, inc team meetings General administration Arrange team meetings and send out agenda on a monthly basis Take team meeting notes as needed Assist Head of Product evelopment in planning of team training and away days, including researching venues and obtaining quotations and booking venues and refreshments Assist Head of Product evelopment in any project work as needed General duties Carry out all filing and scanning for the department both paper and electronic. 3
