Job Description Company: The Living Planet Aquarium (TLPA) and Loveland Living Planet Aquarium (LLPA) in Draper currently under construction Position: Facility Manager Reports to: Director of Operations JOB DESCRIPTION The Facility Manager is critical to attaining the goal of a World Class Aquarium. LLPA needs to be attractive, well-maintained, and fully functioning as a world class facility for all guests to enjoy. Loveland Living Planet Aquarium, currently under construction in Draper is looking for our next team member. This position is responsible for oversight of equipment, materials and of all scheduled, non-scheduled and preventative maintenance performed within the entire facility. The primary function of this position is to efficiently maintain, repair and service the front of house, common office areas, and guest areas for the benefit of any and all occupants and or guests. This is a salaried, exempt position requiring around the clock availability, on a rotating basis, when emergencies arise. This position reports to the Director of Operations. JOB REQUIREMENTS COMMUNICATION/PUBLIC RELATIONS The Facility Manager represents the Aquarium and their guests. It is essential that all interactions with others be conducted courteously in a professional, attentive, respectful, and helpful manner. A background in Property Management is desirable. General office computer skills; word and excel Record keeping skills Good judgment, trustworthiness, integrity in maintaining confidential information Physically capable of climbing stairs, ladders, hills, and lifting and moving up to 80 pounds Under direction of the Director of Operations and or CEO, the Facility Manager responsibilities include but are not limited to those listed below: MAINTENANCE OF BUILDINGS, GROUNDS, AND FACILITIES Minimum weekly inspections and/or oversight are required to maintain all Guest experience areas to a high standard of excellence including but not limited to: Garages: surfaces, plumbing, exhaust systems, elevators, doors, wrought iron, striping & stenciling, lights (replace as needed). Exhibit Hallways and back of house hallways: surfaces, utility doors, common area utility and storage rooms, drainage, lights (replace as needed). Landscape: ditches, distressed plant life and lawn, broken irrigation. Review and verify landscaper s weekly schedule. Street & Parking: irregular conditions, painting striping & stenciling, condition of speed bumps, and unauthorized parking in fire lanes, parking lot lights Employee lounge: general condition, cleanliness, condition of equipment.
Garbage and Recycling Trash areas: inspect weekly and thorough cleaning one time per year Waters Van and Education Vans: inspect and effect work as needed on the Aquariums vans as follows - charge batteries; check/add water; check tires, steering brakes, etc. Our employee safety is high priority. Other tasks required include but are not limited to: Establish and maintain inventory of all items needed to perform duties. Purchase equipment, services and supplies as routinely required within parameters set by the budget and the Director of Operations. Maintain a clean and orderly shop area. Report any remodeling projects to the Director of Operations and exhibits team in verification of records to verify the work was approved. Ensure animal food prep areas meet Board of Health requirements in coordination with Husbandry. Ensure all permits (i.e. elevator, fire, occupancy) are current and posted properly. Acquire routine outside services venders are licensed and bonded, as necessary and monitor work Attend monthly staff meetings as requested to respond to any maintenance issues raised by the staff and or management. Coordinate scheduled and non-scheduled maintenance with the Director of Operations to ensure World Class safety and experiences for our guests. Enter codes into system for employees, vendors and temporary codes for building entry. Provide annual inspection of all major components and submit written a report to the Director of Operations on findings and recommendations; inspection should be done in the same time each year or when needed.
Distribute and or manage information regarding emergency malfunctions, repairs, maintenance work, and schedules through e-mails, bulletin boards and/or telephone calls as appropriate. SUPERVISION/MANAGEMENT Outside Contractors Oversee all contract vendors on site, including: custodial, landscaper, refuse hauling, elevator, pest control, gate/building entry maintenance, fire sprinkler/alarm/monitor/repair, generator, boilers, garage exhaust systems, plumbing and electrical (excluding security). Monitor landscaper s calendared lawn and plant treatment (i.e. pre-emergence, weed abatement, fertilizer, and post-emergence, etc). Provide access as required by TV, cable, electrical, gas, and other utilities or service companies as needed. Assist the Director of Operations to perform annual performance reviews of vendors as needed. CONTRACTOR BIDS Assist development of Request for Proposals (RFPs) and contract specs. Ensure bids and contracts meet Aquarium standards. Create an executive summary of proposals for easy review by the Director of Operations or CEO, CFO to assist them in making a (well-informed and descriptive) recommendation of how to proceed. Ensure contracted work is performed satisfactorily and as agreed upon. ACCOUNTING AND RECORDS Review and approve maintenance invoices for Accounting. Maintain emergency list of contacts and procedures.
Maintain list of vendors or onsite workers who have keys for entry into buildings Maintain list of gate & building codes for employees, vendors, and temporary codes Maintain a calendar of events, monthly on-call emergency schedules, and recurring and special projects. Maintain Incident Report records Observe STRICT CONFIDENTIALITY with all records Maintain a procedure manual for any/all likely emergency situations. Maintain maintenance manual for components Maintain record of important dates, such as vendor contract renewal dates and warranty expirations SAFETY AND SECURITY Identify, correct and/or report violations of fire and safety codes including OSHA and CAL-OSHA to the Director of Operations Identify potential safety hazards, or concerns and recommend preventive or remedial solutions. In an emergency, take immediate action to rectify unsafe conditions, or assist in the building evacuation. Return to property in a major Aquarium emergency. As appropriate, direct employee s or guests to call police or other agency.
