JOB DESCRIPTION 1. General Information Job Title: Department: Marketing Bid Coordinator Business Support Essentia Trading Hours: 37.5 Responsible To: Head of Marketing Essentia Trading Responsible For: Essentia Trading Supporting the work of Essentia Trading in the preparation of well-written and persuasive proposals and bids for external clients. Essentia Trading Ltd is a limited liability private company incorporated under the Companies Act of 2006 (number 8493283) which is wholly owned by Guy s and St Thomas NHS Foundation Trust through its commercial ventures holding company GST Enterprises. The company provides infrastructure consultancy services to a range of NHS, non-nhs, and international clients, from two UK office bases, and internally this is through 5 core service lines. Healthcare Planning Property Management Capital Development Sustainability Technology Over the past 4 years, the company has grown strongly, with a current turnover of 6.7m, headcount of 60, and ambitions within its recently approved 3-year business plan to develop further its successful consultancy business, grow significantly its technology service line offering, and exploit wider UK and international opportunities. 2. Job Purpose To support Essentia Trading Limited in the preparation and co-ordination of proposals and bids. This will involve writing content for bid, preparing presentations, creating graphics ensuring a cohesive and consistent approach that demonstrates the company s professional approach to existing and prospective clients. The post holder must have excellent writing skills and should be able to analyse the requirements from a client, produce the first draft response, and then work with the relevant team of experts to provide a final response. 1

In addition, the post holder will work with the Head of Marketing to assist in the production of a comprehensive digital, social media and printed communications that will raise awareness of the Essentia Trading brand and services. 3. Duties and Responsibilities Bid and Proposal Support Manage flow of pre-qualification proposals and drive bid /no-bid process Prepare a first draft response to a bid or proposal Facilitate bid strategy meetings and coordinate deliverables from bid team members Formulate and manage bid programme/frameworks Ensure compliance of bid activities with corporate strategy Manage and monitor client clarification issues and request, pre-and post-submission Maintain close liaison with estimating and commercial departments Write bespoke elements of quality driven bids copywriting skills Add value to the bid process with on-brand visual identity Proof reading and editing Track and manage the logistics of submitting tenders and bids Evaluate, analyse and disseminate post bid client feedback. Build and maintain a bid management library of content for re-use where possible including curriculum vitae s, project case studies and method statements. Marketing Communications Support direct mail and email campaigns to the external marketplace Have an understanding of Adobe suite Desktop publishing of marketing materials and collateral 2

Communications Reinforce ETL brand guidelines and policy and manage the ETL brand use Assist in the drafting and preparation of ETL communications as required and contribute towards the delivery of social media. Event management and Public Relations Liaise with the external provider of PR /media services Assist with the plan, develop and delivery of external events and business development events such as press conferences, exhibitions and open days to maximise customer interaction and exposure to ETL. Additional duties and responsibilities Strict adherence to the Departmental Health and Safety regulations To participate in an annual performance review process and be assessed against the competences of the role Undertake any other duties appropriate for the job. The post holder may be required to work at any other site belonging to the Company, Partners or client s other than their normal place of work. General The post holder is required to follow Essentia Trading policies and procedures which are regularly updated including: Confidentiality / Data Protection / Freedom of Information Post holders must maintain the confidentiality of information about clients, employees and if applicable patients and other health service business in accordance with the Data Protection Act of 1998. Post holders must not, without prior permission, disclose any information regarding clients, employees or patients. If any member of staff has communicated any such information to an unauthorised person they will be liable to dismissal. Moreover, the Data Protection Act 1998 also renders an individual liable for prosecution in the event of unauthorised disclosure of information. Following the Freedom of Information Act (FOI) 2005, post holders must apply Company FOI procedures if they receive a written request for information. 3
