Orlando Fringe 2016 Artist Application Bring Your Own Venue and Site-Specific General Guidelines To ensure open access to all participants, Orlando Fringe allows Artists to participate as a sitespecific or BYOV (Bring Your Own Venue) show. These shows take place in either unconventional locations or a venue not managed by the Orlando Fringe. BYOV is not necessarily a theatre; it can be any location you choose that is not listed in the Orlando Fringe application. Venues have included bathrooms, cars, the green lawn, a closet, etc. Any BYOV must have Orlando Fringe approval and may require insurance or waivers. Artists are responsible for any costs associated with the BYOV of choice. If you have a show that needs an unconventional venue, or if you do not make the lottery and wish to use an offsite location for your show, please fill out a BYOV application, and contact producer@orlandofringe.org with any questions. If you are applying as a BYOV show, you MUST fill out the application and once your venue is secured you must pay the $200 ticketing and program listing fee. THE BASICS ORLANDO FRINGE RETURNS 100% OF TICKET REVENUE TO THE ARTISTS; UNCENSORED: ARTISTS CONTROL 100% OF THEIR CONTENT. The 25 th Annual Orlando International Fringe Theatre Festival takes place May 18 May 30, 2016. Tech rehearsals in festival-managed venues begin May 14 th for local artists and May 16 th for National and International Artists. Orlando Fringe may assist, but scheduling and coordination of tech rehearsals and all tech needs should be communicated directly between the Artist and the BYOV. Be aware of the deadlines; they are absolute; all deadlines are receipt deadlines. The ENTIRE application must be filled out in full. Shows cannot exceed 90 minutes. Artist groups are responsible for securing all rights, royalties, copyrights, and union waivers for published works or Equity actors. Groups are responsible for proving a copy of these rights and royalties no later than March 1 nd, 2016 to producer@orlandofringe.org Failure to secure rights is grounds for removal of your show from the Festival.
Orlando Fringe holds a certificate from BMI. Any show that has any published music must pay a $25 licensing fee to Orlando Fringe. No group should pay for additional licensing from BMI. This includes any music used as house music or performed live or via vocal tracks, CD s, background music, etc. You must indicate on application if your show includes published music. Orlando Fringe guarantees FREE billeting (housing) for all National and International Artists, up to 4 members per company. Orlando Fringe will try to accommodate larger groups, but housing is not guaranteed. First time local groups are required to have representation at the 2016 Artist Conference to be a part of Fringe. Veteran groups are also encouraged to attend. We will discuss policies and procedures, particularly changes from the previous year. The artist conference will be scheduled in January 2016. National/International Groups will receive a 30-minute phone conference with the Festival Producer in January 2016 to serve as their Artist Conference. Orlando Fringe logo must be present on all posters, handbills, and programs for each group. 10% of available seats for each ticketed show are held to accommodate artist comp lists and Orlando Fringe pass holders/volunteers. 90% of tickets will be on sale until doors for each performance. For example, in a 100 seat venue 90 tickets sold is the maximum possible and is considered a sellout. BYOV and Site Specific shows MUST reserve tickets for fringe buck/pass holders. The maximum ticket price for each show is $11.00; Groups may choose to offer a $2.00 discount on tickets. Regardless of set price, all tickets purchased using an Orlando Fringe multi-pass will be reimbursed for $9.00 There is a $1.00 - $1.47 surcharge on every ticket sold. This money pays for the ticketing system. This fee is paid directly by the ticket purchaser. International artists are responsible for securing their own Visa to enter the United States. More information can be found at www.travel.state.gov. All 2016 artists will be sent an artist handbook after the lottery. This will include disbursement /payment forms, tech forms, deadline information, and any FAQs pertaining to participation in the 2016 Festival. Artists who come off the waitlist will receive the handbook after they come off the waitlist. The FINAL deadline for all BYOV/Site-Specific applications is 5:00 PM EST on FEBRUARY 1st, 2016 to be included in the festival. This is absolute. Any application received after that will not be accepted. IF YOU ARE MAILING YOUR APPLICATION, GET IT IN THE MAIL EARLY AS THE POSTAL SERVICE IS NOT ALWAYS RELIABLE. If confirmation is not received within 48 hours of delivery, please contact producer@orlandofringe.org (Postal services and technology are not always reliable). UNDERSTANDING TECHNICAL ACCOMMODATIONS All technical arrangements, tech rehearsals, equipment and riders need to be arranged directly with your BYOV. Orlando Fringe takes no part in technical accommodations for BYOV, but may assist with site-specific in some circumstances. UNDERSTANDING PAYMENT There is a $200, non-refundable production fee for all BYOV/Site-Specific shows at Orlando Fringe. This payment (along with the $25 music licensing fee when applicable) is due once you have secured your venue. You may provide credit card information or a check for the balance due with your application. These payments will be processed ONLY after you have been officially selected by a BYOV or have a confirmed venue for a site-specific show. If you do not provide payment before the lottery, you will be responsible for getting the payment to us in time. Fringe accepts the following payment methods: Visa, MasterCard, Discover, American Express, Personal Check, Money Order, Cashier s Check, and Cash. You are responsible for any fees associated with your payment; Orlando Fringe will NOT reimburse you for any fees your credit card or bank charges you. Additionally, international artists are responsible for any additional fees incurred because of exchange rates. Checks/credit cards will be submitted upon receipt; a $30 fee is assessed for all returned checks. Please contact producer@orlandofringe.org for transaction receipts. Refunds: Once you have secured your venue and paid Orlando Fringe, NO REFUNDS will be issued if you need to withdraw, unless it is due to death, health, or visa/customs issues, and will be
considered on a case-by-case basis. Any refunds will be issued via check, regardless of payment type, and can take up to 10 business days to process. Disbursements are paid via check or EFT on the 2nd Wednesday during the Festival and the Thursday following Memorial Day. Artists who are unable to be present to pick-up checks will have payment(s) mailed to them unless they have chosen ETF. Any ETF transaction fees are the responsibility of the Artist. Disbursements will NOT be issued without a 2016 W-9 (except international citizens); Direct deposit (EFT) will not be approved without a copy of a voided check or DD form from your banking institution. Artists are responsible for their own taxes. Orlando Fringe issues 1099 tax forms to each individual act/performer who is paid $600 or more during the Festival.
