Liaise on behalf of the principal with school community and service providers Perform school tours Enrolments Registrar & Student Services Co-Ordinator Manage enquiries from students, parents, employees and the general public, making appropriate notes and referrals and briefing Leadership relating to any appointments as necessary Supervise the operations of the school s processes in relation to overseas students Prepare Government and Statutory Authority returns for authorisation by others (eg. Student Transfers, February and August returns etc.) Review and finalise reports for external agencies and organisations including familiarisation with the requirements and procedures of those agencies and organisations
4 Assist in the production of mid-year and end of year student reports Set up and co-ordinate Reception inductions Manage enrolment enquiries and interview times Set up new students in Roll Classes in consultation with the Principal Invoice Acceptance Fees including credits, and invoice students starting part way through the year in consultation with the Business Manager Archive Student Records Administration Supervision of Front Office staff and assist with customer service duties (including collection and receipting of money), as required Use computer software packages, including desk top publishing, database and/or web software and management information systems at an advanced level. This includes formatting correspondence and reports, including indexing, merging documents with data, use of columns and tables and basic graphics Undertake responsibility for special projects where an advanced level of clerical, administrative and organisation skills is required Provide confidential secretarial support to the leadership team including work of a highly confidential and sensitive nature Maintain Approved Volunteer register and process Volunteer Packs, including Referee Checks Maintain and manage Uniform and Bookroom sales and stock as directed by Business Manager Provide First Aid assistance as required Assist with catering school functions when required WHS Oversee, co-ordinate and assist in the implementation of policies contained in the Catholic Church Safety Manual Review and maintain documentation to support the implementation of policies and satisfy accountability criteria as determined by Catholic Safety, Health & Welfare and the Catholic Education Office Liaise with Leadership regarding WHS issues and progress regarding the implementation process and the school Action Plan Investigate queries associated with the implementation of WHS at the school Prepare an up to date report for the Exempt Licence Co-ordinator on a monthly basis Co-ordinate internal audits on WHS policies and documents as determined by Catholic Safety, Health & Welfare termly Assist with workplace inspections, as required In conjunction with the school WHS officer, direct the work of the WHS committee in the services as outlined in the WHS section below, and undertake training as required Direct WHS committee administer WHS policy, practices and procedures, including relevant documentation Assist in the investigation of Hazard Reports and Incidents, as required Record incidents on Catholic Safety, Health and Welfare database, on-line Support and provide advice to other staff requiring knowledge of policies and procedures Liaise with school staff regarding their responsibilities in relation to WHS Induct new contractors to the work site, including risk assessment Assist Return To Work Contact Officer liaise with staff re WorkCover Assist with facilities management Other duties as directed Additional Description of Position Perform any other duties as required from time to time by the Principal P E R S O N S P E C I F I C A T I O N S Ability to demonstrate practical support for the Catholic ethos Interpersonal and communication skills Organised and flexible Welcoming demeanour Ability to develop positive relationships in a team situation
