(AIACPA) About AIACPA India Day, A Community Fair 2016 www.indiadaypa.org August 6th, 2016, 10:30 AM 8:00 PM HACC Campus, Harrisburg Sponsorship and Vendor opportunities Asian Indian Americans of Central Pennsylvania (AIACPA) is a non-profit organization that helps promote cultural richness and education commitment for Central Pennsylvania region. To enable the many events and the causes, AIACPA deeply depends on its partner sponsor s for their financial support. The organization has been very successful in meeting its objectives in the past 23 years and currently serving over 5,000 Asian Indian families, many organizations, and other families. About India Day India Day is one of the most well attended events in the Harrisburg area where all communities come together to experience the rich Indian culture and heritage. The event includes meeting & networking with local, state, and US politicians, Indian music, classical, folk and Bollywood dances, variety of ethnic food, apparels and jewelry from India, and many more attractions. It is held at HACC campus in Harrisburg and in 2015 was attended by estimated 12,000+ people. The HACC campus includes ample free parking, large place for entertainment and, lots of room for vendors, live cooking, dining and socializing area, easy access, open green space to stroll, a large tents for outdoor activities and mela (fair) atmosphere.

TERMS & CONDITIONS 1. All vendors selling either food or any goods (apparel, jewelry, etc.) or services will need a Harrisburg City Business License. The Business license cost is $50/vendor. AIACPA can help obtain it with city, provided requisite information is given to AIACPA in the timely manner. Vendors already operating in city of Harrisburg, may not need it. Vendors having current City license MUST attach a copy with the completed registration form. 2. All vendors selling food will need a Harrisburg City Health License. The Health license cost is $15/vendor. AIACPA can help obtain it with the City, provided requisite information is given to AIACPA in timely manner. Vendors having current City license MUST attach a copy with the form. 3. Food Vendors can obtain an electric outlet for warming purposes only at $50 each. The total number needed MUST be requested on the registration form. No cooking will be permitted using the electric outlets. 4. For Food vendors, Tents are included in the rate, all other vendors may choose to either bring their own business branded tent OR request AIACPA to provide one for a charge of $50. 5. All vendor booths/tents will be in the open area. 6. Vendors are responsible to bring any rugs etc. to let customers try any clothing, etc. 7. Cancellation Policy: Cancellation must be received by AIACPA in writing prior to July 15, 2016. On cancellation, AIACPA will only refund booth charges and not any license fees paid to city. 8. Vendors must meet any applicable fire, safety, health and public safety codes / requirements as required by the HACC, and local, state, and federal governments. 9. Vendors MUST obtain all required Tax ID s and remit all necessary taxes to the authorities. 10. Vendors MUST provide PA Sales Tax number on the application. To obtain Sales Tax number, call PA Department of Revenue at 717-783-1405. 11. Vendors must provide copy of liability insurance to AIACPA by July 15 th with AIACPA and HACC listed as an additional insurer. 12. Vendors are NOT allowed: To use any kind of audio/public address system. To display banners outside their booths. To distribute any material from outside their booth. To pursue any type of fund raising by any means. 13. No refunds will be issued due to inclement weather. 14. Vendors are responsible to clean up their booths areas including any decorations. 15. Vendors will be responsible for any cost to clean or repair their area. 16. All electrical appliances (if requested & permitted), plugs, extensions etc. must be properly secured and taped so that it is not a safety hazard to anyone. 17. Food vendors must ensure to provide adequate napkins, plates, plastic ware, etc. to their clients. 18. Vendors are responsible to bring their own table covers & skirts. 19. All Vendors must arrive by 7:30 AM to ensure access to their space. All vehicular access to booth areas will be closed at 9:00 AM. 20. AIACPA representatives will be available in all areas starting at 7 AM to assist vendors in locating their space. 21. Vendors should be ready to open for business/service at 10 AM 22. Please remember India Day, A Community Fair is a community and family event. Vendors are expected to sell and exhibit items which are generally accepted at family events. 23. Food Vendors MUST display items and cost of each item outside their booth. 24. Attention Food Vendors: Cost of Water, soda bottle, and cup of tea cost is limited to maximum $1:00 each 25. AIACPA reserves the right to remove any unwanted material or deny a booth to a vendor for not meeting guidelines. 26. Vendors will not be permitted to share or sublet any booth.
