INFORMATION ABOUT THE DEPARTMENT The Digital Directorate is responsible for the delivery of the Gallery s Digital Strategy and programme, along with its communications, media and creative outputs. The Digital Strategy s ambitions are to: Provide innovative, inspiring digital experiences, both in-gallery and online Be inspiring and guide our audiences through their Personal Art Journey with personalised and seamless digital experiences Develop digital commercial opportunities and supporting revenue generating functions The Digital Services and Communication departments develop and deliver the public facing digital and communications strategy for the National Gallery Covering a wide range of activities the directorate includes teams that specialise in data analytics, audience research, programme management, product development, marketing, press, PR, membership, ecrm, social media, design and digital content. In collaboration with the wider Gallery we develop, plan and deliver digital products, brand communications, marketing campaigns, our membership programme and in-gallery design. Our goal is to ensure the National Gallery appeals to a broad audience, encourage engagement, enhance our reputation and support revenue generation.

JOB DESCRIPTION Project Manager Ticketing and Membership - Band 5 Fixed Term 20 Months Ref: FOIS/14F/BA04 ROLE SUMMARY AND KEY RESPONSIBILITIES As part of a wider programme of rolling out new digital services, The National Gallery is developing the key systems used to underpin critical back-office and public-facing applications. This post will support the installation of a new ticketing system both online and front of house, for exhibition, event and membership sales. It will also manage the migration of membership data to Raiser s Edge. The Project Manager will have already successfully undertaken similar projects, ideally involving multiple stakeholders within a large organisation. The completed projects will include the management of business requirements through to delivering new systems and processes that are capable of being run as business as usual. The systems will underpin both back office operations and the delivery of the membership function through publically accessible digital channels, and in-gallery attendance management, including membership card scanning. The Project Manager will collaborate with internal stakeholders to ensure the project is correctly scoped, monitored, reported and delivered. KEY OBJECTIVES To scope the migration of the Gallery s membership system from Microsoft Navision to Blackbaud Raisers Edge, ensuring that it has effective governance and clear lines of communication with all affected stakeholders Oversee the tender process for the Ticketing project, working closely with the procurement team To work with stakeholders to identify the critical success factors relating to Ticketing and Membership projects for their business areas and ensure that appropriate agreed solutions can be delivered within the projects To deliver functionality that supports a suite of back office and public member facilities, including the changes required to any existing systems so that other operations of those systems are not compromised Line management of the Business Analyst position dedicated to these projects To deliver the projects to an agreed timetable and quality levels, including the establishment of appropriate changes to internal processes as a consequence of the new systems

MAIN TASKS AND ACTIVITIES Scope the migration project, including confirmation of objectives, identification of critical stakeholder requirements and definition of tasks required to ensure that the project can be delivered to time Estimate the resources (financial and personnel) required at each stage and the risks associated with each operation and deliverable Support the Steering Group and work with the project team to deliver the project to the agreed programme Create requirements specifications for Membership services, including digital products and in-gallery functions such as card scanning Deliver back-office functionality, supporting Membership management (including renewals, alterations, event management), and financial processes involving third parties such as Gift Aid and direct debit handling Identify and manage the integration with Ticketing and other back-office systems Identify and manage the changes to existing systems that currently support the public and back-office Membership and Ticketing functions Ensure the project processes and systems are compliant with current and forthcoming legislative requirements, such as GDPR Deliver progress reports and other presentations to the governance, stakeholder and project teams Provide process documentation to ensure that the new systems and processes can be embedded within the Gallery s business as usual operations Diversity and Equal Opportunities To value and respect your colleagues and members of the public regardless of their background. SUMMARY OF TERMS AND CONDITIONS OF EMPLOYMENT Project Manager - Ticketing and Membership - Band 5 Fixed-term 20 Months Ref: FOIS/14F/BA04 Salary This post is on the Gallery s Band 5. Salary is 30,236 37,886 pa. Pay Review Gallery pay bands have a minimum and maximum only and there is no guaranteed progression through pay bands. Pay increases including progression through pay bands are dependent upon government public sector pay policy and affordability, and the Gallery s pay settlement arrangements. Hours The basic hours are 35 a week, excluding all breaks including lunch. Leave The annual leave allowance is 26½ days with pay. In addition there are 9 days public and privilege holidays. Probation The probationary period is 3 months. Pension The Gallery (through the Civil Service pension arrangements) offers a choice of pension provision, giving you the flexibility to choose the pension that suits you best. Broadly the contribution rate for most new starters is in a range between 4.6% to 7.35% (dependent on your salary) and the scheme provides a pension in line with the consumer prices index and benefits in the event of ill health retirement and death. Smoking Smoking is strictly prohibited in all parts of the National Gallery. However, in order to meet the needs of smokers, the Gallery had decided to exercise discretion to provide two designated smoking areas outside the main Gallery buildings. Security Screening and Safeguarding The appointment is subject to the Security Screening, which includes the verification of identity, employment history for the past 3 years, immigration

status and criminal records. If appointed you will be subject to periodic rescreening of basic criminal records every 3 years. If your role requires you to undertake regulated activity with children or adults who may be vulnerable or because the role is a profession eligible to ask for a DBS check (such as Chartered accountant, certified accountant, etc.) you will also be expected to undergo a Disclosure and Barring Service enhanced criminal record check and if appointed you will be subject to periodic re-screening of enhanced criminal records every 3 years. NON-CONTRACTUAL TERMS, CONDITIONS AND OTHER FACILITIES Our staff café offers a range of subsidised hot and cold meals and snacks. Staff discount of 25% on all products bought from the Gallery s shops, and on food and drinks in our public self-service Café, Espresso Bar and Restaurant. Additionally, a higher discount of 50% is available on hot drinks in the self-service Café and the Espresso Bar. Free admission to our charging exhibitions and 4 complimentary guest tickets to our charging exhibitions. Use of our library, which is not open to the general public. Free entry or a concession at a number of museums and galleries. Free occasional staff lectures (normally held between 9.00 10.00 am), which cover aspects of the Collection, temporary exhibitions and other topical subjects. Season ticket loans - with the exception of staff on casual contracts, all staff with at least two months service, are eligible to apply for an interest-free loan to buy a season ticket for their journey between home and work. An employee assistance programme (EAP) providing confidential advice and support is available for all staff, and their immediate families. This service is free of charge. Staff with at least 3 months service are able to access The Palette the Gallery s programme of voluntary flexible benefits via a web-based portal. The programme includes provision for holiday trading, childcare vouchers, cycle to work scheme and exclusive retailer discounts.
