The Role This full time, term time, plus 4 weeks, role is responsible for the effective administration of all aspects of the Sports & Extra Curricular Activities program/s at the College (Prep to Year 12). While the role reports to the Head of Sport whose operational focus is on the Middle and Senior schools and TAS (The Associated Schools) Sport, administrative tasks to support the Head of Junior Sport also form an integral part of this role. The duties of this role are worked over a 10 day fortnight which will include Saturdays, as required, during the competition seasons. When Saturdays are worked, the following Monday will be taken as a day off. Whilst fundamentally an administrative role, an interest in health and sport is desirable but not essential to fulfilling the key duties required.

Key Responsibilities Oversee all aspects of general office coordination. Maintain office calendar to coordinate workflow and events. Handle low-level parent complaints as required. Answer and coordinate responses to telephone and walk-in inquiries at Sports and Extra-curricular Activities Reception as required. As the Sports Organisation Representative for Blue Card screening, this role has accountability for compliance with the Blue Card System in Anglican Schools policy. This includes ensuring all processes and procedures are assiduously followed and the Sports department's Blue Card Register is accurately maintained. Writing and implementing Work Instructions that ensure legislative compliance is an integral part of the accountability of this role. Tasks will include screening applicants, processing and filing paperwork and regular communication with the College's Blue Card Screening Coordinator. Merge letters and coordinate mail outs. Coordinate transport requirements for Sport and Extra-curricular Activities as required. Coordinate students into competitions for all Interhouse, Junior TAS and TAS Swimming, Cross Country and Athletics carnivals and for all TAS and Junior TAS term and trimester sports and assist the relevant staff member with the set-up, deconstruction and running and hosting of these carnivals. Participate proactively and contribute positively to the overall development of the department.
Organise trophies, running sheets, invitations and general administrative tasks for TAS and Junior TAS Presentation Nights. Represent Sports and Extra-curricular Programs at Administrative Team meetings (2 per term) Coordinate and generate Ipswich District, Ipswich Independent District and Met West information and documentation and ensure it is distributed appropriately to students. Assist with the coordination of the Ipswich Independent calendar and hosting of the relevant carnivals as required. Organise and order all Sports and Extra-curricular equipment. Liaise with relevant teachers and Teachers in Charge to ensure team kits are fully stocked and available for the commencement of each season. Assist Head of Sport to source coaches. Other key responsibilities appropriate to the banding of the position as determined by the manager of the role. 4. Knowledge, Skills, and Experience Skills / Knowledge Essential: Advanced knowledge and proficiency in Microsoft programs, especially Outlook, Word, Excel, and Publisher. Demonstrable high-level skills of organisation and an ability to prioritise work tasks in order to meet deadlines. Effective knowledge and application of administrative systems, processes, and procedures as well as proficiency with contemporary office technology. Capacity to learn The Alpha School System (TASS) software and Meet Manager (software). Desirable: Experience in working in a school environment. Previous experience in a similar Reception/Administrative Assistant role. An ability to uphold the Anglican Schools Ethos. Interest in health and physical fitness and knowledge of sporting activities Working knowledge of the Meet Manager software administration package. Experience Minimum 3 years experience in an Administration role. 6. Technical / Professional Qualifications Certificate IV in Business Administration (minimum). First Aid Certificate or willingness to obtain is essential.
