Purpose This guide explains how to create a Work Days Pattern and attach it to a Policy in Fairsail HCM. For detailed information please refer to the HCM Configuration Guide which is in the Fairsail Online Help. Please select the link below to view the full set of Fairsail user manuals: Fairsail User Manuals Rationale Work Days Patterns enable you to configure Fairsail to work with your organization's weekly regional working days and approach to public holidays. Work Days Patterns can be set up: Country by country, then assigned to the policies used by each country. For groups of Team Members following a defined pattern of working days within a country, or at sites in multiple countries, then assigned to the policies used by each group. For individual Team Members, then assigned to the Team Member through their Employment Record. Work Days Patterns have multiple uses including: How to treat public holidays which fall when an employee is on vacation. The absence calendar draws on an associated Work Days Pattern to include public holidays for current and future years. Which days should be considered for overtime pay when a Team Member works those days. 2
Creating the Work Days Pattern Navigate to the Work Days Patterns tab under Fairsail HCM. 1. To create a new Work Days Pattern, click the New button and the following screen will display. 2. Type in a name for your new pattern (i.e. New Zealand) and select the normal working days for this pattern. The default is Monday-Friday. Once you have made your selections, click either the Save button or the Save & New button if you wish to create more patterns. 3. Once your pattern is saved, you will see a new section labeled, Work Days Holidays. 3
4. Click the New Work Days Holiday button to begin creating the holidays associated with this pattern. Using the example above, we will be adding the holidays observed in New Zealand. 5. Type in the name of the holiday and the date the holiday is observed. 6. If the holiday is recurring every year, you can check the box next to Recurring and then select the basis for how often this holiday occurs. For example, if the holiday occurs every year on the same day in the same month, then you would select Day of Month and select the day and month from the picklists. 4
7. Should your holiday fall on a weekend, you can choose whether to allow this holiday to be observed on a normal working day by selecting from the following options. 8. Once you have completed your holiday settings, click the Save button to continue or Save & New to create another Work Days Pattern. You can also click the Clone button if you wish to copy the settings for this holiday with a new Holiday Name. The new Work Days Holidays will now show in your list and is available for editing or deleting as needed. Continue adding the remainder of your holidays following these steps. 5
Assigning a Work Days Pattern to a Policy Once you have created your Work Days Pattern, you can then assign it to a Policy by following these steps. 1. Navigate to the Policies tab under Fairsail HCM. If this does not display on your main tab display, you can click the + sign to add it. 2. Find the policy you wish to update with the newly created Work Days Pattern. You can click the Go button if your policy is not displayed under Recent Policies. ** Please note: If your Policy is not available, you can create it by clicking on the New Policy button. 3. Select your policy from the list and click the Edit button to make changes to the policy. 6
4. Scroll down to the section labeled, Absences Paid Time Off where the Work Days Pattern option will be displayed. 5. Begin typing the name of your policy and click the magnifying glass icon or simply click the icon to find your Work Day Pattern. 6. Select the pattern for this policy and scroll up or down to click the Save button: 7
The Work Days Pattern attached to the Policy can now be viewed by clicking on the Policies main tab. Please note that your view may need to be edited to view these options. 8
