WHAT DO WE DO FOR OUR CLIENTS? SUPERVISION All special projects or 'one-off' services or repair work will be checked at the site prior to signing off the invoice. Providing access for our owners enables them to view tenant paid to dates, lease start and end dates, statements and details of invoices and maintenance. Tenants can view their recent transactions, full history, as well as paid to dates. LEASE MANAGEMENT APM adopt a proactive approach to lease expiration. We discuss upcoming lease ends with tenants and negotiate terms up to six months in advance. Our aim is 100% occupation. TRUST ACCOUNT APM maintain a fully audited trust account. CONTRACTS We ensure that maintenance contracts are expertly negotiated and in place to provide the most cost effective price for the service provided. RESULTS We will manage your property to protect and grow your assets. WOF We will look after the Buildings Warrant of Fitness and ensure that it is renewed and kept up to date. TENANT RELATIONSHIP We establish and maintain high quality tenant relationships to encourage longer term leasing. ACCOUNTING Our system provides an immediate alert to rent arrears and provides monthly reports to our owners, of all monies received and disbursements. If the owners wants the tenants' rental paid directly to their bank account, we can also arrange this. OPERATING EXPENSES APM focuses on reducing operating expenses to reduce rent review resistance from tenants, and to reduce owner costs, while maintaining the integrity and value of the asset. POWER & CLEANING APM can also offer to negotiate the best power and cleaning costs for the whole building or the wider complex. THE ROLE OF A COMMERCIAL MANAGER The functions of the Manager are to keep the accounts of the Body Corporate and carry out any other functions delegated by the Body Corporate. In practice a Manager is usually responsible for much more than just the accounts. Likely to be included are; Convening meetings of the Body Corporate and preparing minutes Ensuring the body corporate property is fully insured at all times Preparing budgets for the Body Corporate and maintaining an adequate fund for all its expenses Collecting levies from the owners and paying accounts Reporting regularly to the Body Corporate at least quarterly and preferably monthly Organising the annual building warrant of fitne s if required Maintaining the register of proprietors as required by the Act Supplying Section 146 & 147 certific tes when a unit is sold or mortgaged Maintaining, when requested, a Long Term Maintenance Fund for future major common area maintenance. How much the Body Corporate Manager does is a matter of contractual agreement with the individual Body Corporate. Some owners and the committees prefer to take a more active role and limit the Manager s role to administration. A good Body Corporate Manager; Maintains frequent and open contact with the Body Corporate Committee Keeps accounts and budgetary expenditure within resolved budget parameters. Ensures AGMs are held at the appropriate time, agendas are circulated in good time beforehand and minutes are accurate and properly disseminated Responds promptly to owners inquiries and retains copies of paperwork such as accounts, budgets, rules, minutes, details of levies When the Body Corporate resolves to establish such, sets up a Long Term Maintenance Fund for future major common area maintenance.

INITIAL CONSULTATION Our Business Development Manager will discuss your requirements with you and identify exactly what management services the Body Corporate will need including detailing the process to switch Body Corporate Management companies. FORMAL PRESENTATION We will meet with the chairperson and/or the committee and present a formal proposal for the management of the complex based on your identified needs including a range of fee options. Attendance at the AGM/EGM or Committee Meetings is also offered if required. APPROVAL Once the Body Corporate or the owners committee have made the decision to move to Auckland Property Management, we will then provide the necessary documentation for you to sign in order to approve the switch. Our Business Development Manager will carry out the handover of the administration by notifying your current Manager of the change. Then arrange the collection of all Body Corporate files, records, accounts and funds within 10 working days. You won t have to do a thing! new body corporate INITIAL CONSULTATION Our Business Development Manager will meet with the developer to discuss the range of services we offer to determine how we can best assist with the project in the preliminary stages. These services can include preparing draft budgets on behalf of the Body Corporate, consulting on establishing Body Corporate rules, assisting with marketing materials and consulting with solicitors and project managers if required. FORMAL PRESENTATION We will present a formal proposal for the developer to review, including a range of fee options and service charges. We would also recommend that a services agreement be entered into between the Body Corporate and Auckland Property Management by the developer. APPROVAL When a services agreement is entered into with Auckland Property Management the Business Development Manager will support the developer throughout all stages of the project until settlement and the Body Corporate comes into being. We offer this assistance to the developer on a pro bono basis. you have to ask the right questions... or you better have the answers
