JOB DESCRIPTION Post: Grade: Responsible to: Recruitment & IAG Officer SUP 03/04 ( 17,439-21,549) dependant on qualifications and experience** Delivery Manager Main Purpose of Post: To provide a high quality recruitment experience to all prospective learners and employers, including the delivery of an effective and inclusive information, advice and guidance service to all. To generate new and secure repeat business and to develop, administer, monitor and control apprenticeship vacancies. To establish and maintain excellent working relationships with employers, learners and all key stakeholders supporting the learning journey. All members of staff are fully expected to contribute to the shared objective of putting learners first and maximising students achievement, whilst contributing to the management and development of course provision and providing the highest quality education in a friendly, safe and supportive environment. Key Tasks: Under the overall direction of the Deputy Director - Apprenticeships Management Effectively administer, monitor and control the apprenticeship vacancy process Administer and monitor course/programme and vacancy application processes for all apprenticeship applicants/employers Carry out vetting and assessing work placements for Health and Safety, job range and quality in accordance with procedures, using professional judgement and discretion reporting any issues of concern To be responsible for maintaining a caseload of applicants and employers at the volume targets agreed with your line manager including identifying new business opportunities, matching learners with employers and delivering interviews and initial assessments. To manage own caseload of applicants and employers and carry out effective monitoring and tracking of progress towards successful employment/appointment, using approved College systems To be responsible for fulfilling obligations to Employers: - o Employers kept fully informed of vacancy management and progress o Any employer concerns raised are communicated to line manager in a timely manner o Actions to address concerns raised are implemented effectively and efficiently
To meet key performance targets agreed in advance with, and regularly monitored by, your line manager To contribute to the completion of the department self-assessment report and action plans as required Teaching, Learning and Assessment Plan, prepare and deliver high-quality, comprehensive and effective information, advice and guidance (IAG) sessions to prospective learners and in some cases, employers Carry out initial and diagnostic assessment processes in line with College and departmental practices Use results of IAG and assessments to match prospective learners to the appropriate pathway and develop effective individual learning plans meet these needs Plan, prepare and deliver effective pre-course/programme/employment training and development sessions to respond to identified need To deliver teaching, learning and assessment activities both in College classrooms/workshops and in employer workplaces To maintain detailed teaching, learning and assessment records as appropriate To assist applicants/prospective learners with development of interview skills and evidencing competency and knowledge To liaise with managers, Training Officers and College internal verifiers to ensure relevant learning aims/programmes are matched to apprenticeship vacancies To effectively record learning support requirements identified with applicants/prospective learners Demonstrate sufficient and current knowledge of the curriculum content of relevant programmes to support accurate vacancy matching Research and develop new topics, course and teaching materials, including online resources as agreed with line manager. Plan, prepare and deliver dynamic teaching, learning and assessment sessions that engage and motivate learners using a range of appropriate methods and resources Differentiate between learners so that they can be active in their own learning. Design and use a range of formative assessment and feedback strategies to support learning and progression. Maintain and monitor information on punctuality, attendance, retention and destination, in order to improve performance Maintain applicants/prospective learners records to track and monitor progress towards individual targets (including employment) in a timely manner, using approved College systems Manage applicants/prospective learners behaviour in the College in accordance with Learner Disciplinary Policy and processes
Contacts and Relationships Liaise effectively with employers and Training Officers to develop comprehensive and effective apprenticeship vacancy stencils Maintaining regular and informative communications with all stakeholders To work closely with relevant colleagues, IVs and business support staff to ensure effective management of on and off the job teaching, learning and assessment resulting in accurate reviews taking place in the agreed time scale. Develop effective links with relevant cross-college colleagues (for example, Careers Advisors, Progression Mentors) and relevant external agencies to ensure a comprehensive and accurate IAG service is provided To work effectively with cross-college colleagues during marketing, interviewing, selection, enrolment, monitoring and review of programmes. To communicate and liaise with colleagues across the College, at all levels, to ensure efficient discharge of the duties of the post. To establish positive relationships with employers; representing the face of the College at all times through exceptional customer service To attend College and Team meetings, along with CPD sessions as required. To attend other working groups as required by line manager To work collaboratively with staff across the college To maintain and develop contacts with employers and other agencies, as appropriate Administration and Operational Duties Generate new business opportunities within designated demographic areas and meet agreed targets Meet agreed targets for engagement, conversion and income generation (including, for example, daily call targets) Carry out employers training needs analysis and identify development opportunities To effectively coordinate, allocate and monitor progress of vacancy related tasks To ensure all appointments booked are logistically viable to provide best time management of staff and business diary Be proactive in networking and undertaking external visits and approaching organisations and individuals for new business Direct/answer telephones and queries from prospective and actual learners and employers in accordance with College standards and procedures To be responsible for maintaining applicants/prospective learners and employer records as required enabling the college to meet contractual obligations. Create and maintain appropriate records to support all contact/interaction with prospective/actual learners and employers (both electronic and paper-based) in accordance with internal and external agency requirements Prepare data and management information reports as necessary Provide administrative cover duties as required To keep up to date records of work schedules, registers and mileage control
To be responsible for ensuring all necessary records are completed accurately within the allotted timescale To complete appropriate forms to ensure any changes to employer or applicants/prospective learners details are notified to administration team in order to maintain an accurate system and audit records Participate in the planning, implementation and evaluation of Quality Assurance activities e.g. Completion of course reviews, contribution to the SAR, attending IQA/IV and standardisation meetings. Attending EV and Quality Review meetings, as appropriate. Participate in team meetings including contributing to course reviews, the Self-Assessment process and curriculum development. Participate in applicants/prospective learners marketing, application and enrolment processes, open evenings and other promotional activities during or outside the normal working day, at the College or other places. To maintain and develop contacts with employers and other external agencies as appropriate.
