The Post This is a fixed term post until July 2018 in the first instance. It had been our intention to combine this role with that of Marketing & Communications Officer, but we have subsequently decided to advertise this as an individual post. The post holder will carry out secretarial work for our Senior Leadership Team. This is a busy part time post and the successful applicant should have the ability to liaise and build positive relationships with the Senior Leadership Team and other PA s within the Administration Team; have experience of undertaking a range of secretarial tasks; experience of producing documents to a high standard using Microsoft Word and Excel and be highly IT literate.

4 JOB TITLE: Job Description Personal Assistant to the Senior Leadership Team GRADE: Single Status Grade 5 RESPONSIBLE TO: Head of Administration & Finance MAIN PURPOSE OF THE ROLE: To provide secretarial and organisational support to the leadership team in support of their roles. Key Tasks 1. Maintain the diary for the senior leaders, arranging appointments as appropriate, and ensure that they are adequately briefed on matters to be discussed. Please note most of our SLT use electronic diaries. 2. To make travel arrangements for senior leaders and to provide care for their visitors, including the provision of refreshments. 3. To assemble and prepare papers required by senior leaders; to attend meetings, prepare reports, or reply to and assist with requests for information. 4. To arrange meetings and take notes of meetings as required. To ensure that matters arising from meetings are dealt with by the appropriate people within agreed timescales. 5. To sort and prioritise post for senior leaders; dealing with telephone calls for them, handling all confidential correspondence with discretion. 6. To draft and/or proof read outgoing correspondence and school documents under direction of senior leaders. 7. To support senior leaders in the organisation and detailed planning of special events, such as new parents meetings. 8. To update the school website under the direction of senior leaders. 9. To maintain the relevant filing systems including the establishment of new files as required. 10. Support the existing PA s with secretarial and administrative tasks when required. 11. To be a positive and involved member of the Administration Team. 12. To update and report from relevant information systems. 13. To undertake such other reasonable duties as may be required within the school This job description sets out the duties of the post at the time when it was drawn up. 5 PERSON SPECIFICATION Attributes Essential Desirable Qualifications and training: Good basic education. SIMS training. Microsoft packages training. Knowledge and Understanding: Experience: Skills and Abilities: Knowledge of basic office routines. Knowledge of a range of computer applications including Word, Excel, SIMS Knowledge of school policies including Child Protection, Health & Safety and Equal Opportunities. Experience of producing documents to a high standard using Microsoft Word and Excel. Experience of undertaking a range of clerical and administrative duties. To have a sound working knowledge of social media Ability to work in an organised and methodical manner. Ability to develop efficient recordkeeping systems. Ability to produce accurate correspondence for the college using a variety of different tools. To have an eye for detail and to possess first class grammar and punctuation skills. Excellent communication and negotiation skills. Ability to work under pressure. Ability to organise and prioritise own workload. To establish and maintain positive relationships with all stakeholders. Ability to demonstrate initiative. Experience of working in a school / college. Experienced SIMS user. Experience of working with young people. Experienced website user. Experienced School Comms user. Experience of mail merge using SIMs, Word and Excel. Experience of keeping electronic diaries
