POSITION DESCRIPTION 1. POSITION DETAILS Position Title: Location: Classification: Status: Reports to: Finance Officer - Fees and Payroll The Lakes College Support Staff Permanent Fulltime Business Manager 2. SCOPE AND AUTHORITY The Lakes College is a co-educational school which fosters the strong traditions of quality education provided in Uniting Church schools. The College seeks to produce graduates who are courageous, respectful and compassionate people of influence. The College develops in students an enthusiasm for learning and provides a strong focus on academic achievement across the disciplines. Student's personal development is nurtured through a pastoral care program, and provides opportunities for spiritual development designed to develop confidence resilience character and a positive attitude to life. The Principal is responsible to the Board for the direction and management of The Lakes College. Ultimately the responsibility for the leadership and management of the College rests with the Principal. The Finance Officer is appointed by and acts under the direction of the Principal and will be required to perform additional duties as determined by the Principal. He or she will also work alongside and liaise with executive and administrative staff in the College. Compliance with Workplace Health and Safety directives is a requirement in this position. 3. POSITION SUMMARY The Finance Officer reports to the Business Manager and has a close working relationship with other staff in leadership capacities, including the Principal, Head of Primary, Head of Secondary, Chaplain and other Administration staff. The Finance Officer contributes to the vision and goals of The Lakes College by providing effective support to the College community. This is a fulltime position which may require flexible working hours outside normal work hours of 8:00am 4:00pm. Position Description Finance Officer 2018 Page 1 of 7

KEY RESPONSIBILITIES (i) (ii) (iii) (iv) Production of school fee accounts (accounts receivable) Ensuring timely preparation and delivery of fee statements and associated documents Capturing accounts receivable information from the College community and entering accounts receivable information in our database Maintaining adjustments to accounts for students moving in and out of the College community. Maintaining credit control Providing effective communication to parents in relation to payment of respective fees Corresponding regularly with parents to encourage payment of overdue accounts Contacting and discussing with parents overdue accounts in attempt to understand the reasons for overdue payments Negotiating suitable payment arrangements pursuant to credit policy in consultation with the Business Manager Maintaining effective communication with the Fee Administrator to further manage credit control Assisting the Business Manager with the preparation of the monthly Debtors Report presented to the Finance and Property Committee. Payroll management (backup) Responsible for remuneration and payroll services for all staff Processing salaries and wages within the appropriate Legislation, Awards and Enterprise Bargaining Agreements Ensuring that the College meets all payroll requirements to external entities, but not limited to the Australian Taxation Office and Superannuation Ensuring all pays are prepared accurately and in a timely manner for all staff, including the processing of new employees, variations and separations Processing Tax File information, payroll deductions, and banking disbursements Processing Paid Parental Leave entitlements as approved by Centrelink Identifying and implementing changes to employment details based on predetermined events, e.g. increments, probations, end of contracts, terminations and leave without pay etc. Responding to queries from College staff in respect to pay related matters Investigating enquiries ensuring timely and accurate solutions are reached Providing expert advice on award interpretation, EBA and policy requirements ensuring compliance Preparing PAYG Summaries for all staff Ensuring that changes to superannuation legislation are incorporated in the payroll procedure and methods. Management of commercial debtors Attending to preparation of commercial debtors invoices for miscellaneous items such as facility hire and staff uniform contributions Reviewing commercial debtors on a monthly basis to ensure timely payment Position Description Finance Officer 2018 Page 2 of 7

Customer Service Provide the highest level of service to all members of the College including parents, students and staff Positively promote the College both internally and externally at all times Maintain confidentiality and handle sensitive matters diplomatically and discretely Liaise with and greet staff, members of the community, visitors, associates and VIPs Promote the company s image positively on all occasions. Statutory compliance Ensure functions adhere to all statutory compliance requirements Keep up to date with relevant regulations and ensure that policies and procedures adhere to the relevant regulations Develop various professional resources and contacts to gain knowledge of changes in various regulations and legislation. Duty of Care Contribute to the College s duty of care for both staff and students by adhering to all requirements relating to the development of an environment which is free from the risk of injury, harm and/or disease as required by the Workplace Health and Safety and Child Protection Acts and relevant College policies and practices. Teamwork and Communication Demonstrate a willingness to work positively within a team as well as having the ability to work independently Demonstrate and practice a high level of written, verbal and non-verbal communication skills Contribute to the development of the Finance Department processes in concert with relevant members of the administration team Provide assistance to the Business Manager with banking, receipting and general enquiries Attend meetings as required Recommend improvements in processes, as appropriate to the Business Manager. 5. SELECTION CRITERIA AND COMPETENCIES A tertiary qualification or experience in an appropriate field would be beneficial Completion of other courses of a short term or specialist nature relevant to this role would be well regarded Demonstrated accounts receivable and payroll skills or similar experience within a school environment Highly developed computer literacy as it relates to accounting, ideally the TASS system Advanced use of Microsoft Office suite Outlook, Word and Excel The ability to negotiate solutions with clients High level of accuracy and process adherence Well-developed organisational and time management skills Sound communication and problem solving skills The ability to meet deadlines and handle large and complex workloads NB Applicants are subject to the conditions of The Commission for Children and Young People and Working with Children check All employees recognise and accept that multi-skilling is an essential component of employment with The Lakes College and that they may be required to undertake duties that are outside their normal position description but within their skills, competency and capability.
