They work closely with the staff team in the London office, and with staff and freelancers based outside of the office. The post holder supports staff in managing individual programme budgets, leads work on the organisation s annual budget and audit, and has full responsibility for all other aspects of the finance function. The role reports to the Director of Engage. This is an opportunity to be part of a small, enthusiastic team in a national visual arts education organisation. The post holder will have experience of managing the finance and governance functions for a small to medium size organisation, preferably in the third sector; outstanding attention to detail and accuracy and excellent communication skills. Finance & Governance Manager Job duties include: Overview 1. All aspects of financial management, payroll, providing information for Board and staff, liaising with the Treasurer and auditors, flagging up any key issues to the Director 2. Coordinating and supporting Board, Annual General Meeting and governance requirements, including fulfilling the duties of Company Secretary 3. Leading on the development of internal policies and procedures to ensure compliance with legal requirements and best practice. Finance Developing the annual budget, monitoring all core and programme budgets and providing financial support for project coordinators and other staff Overseeing payment of invoices and other expenses and day-to-day bookkeeping Monitoring cash flow and performing regular bank reconciliations Producing quarterly accounts for Board meetings and other management accounts/budgets as necessary Supporting grant applications through producing budgets, writing and checking text; monitoring grant funding and supporting staff with financial reporting to funders Preparing the annual report and accounts ready for audit and coordinating the audit process with the auditors Preparing the monthly payroll Maintaining and developing Engage s accounting systems, financial controls and procedures Governance Coordinating Board meetings, including writing and editing papers, setting up meetings, and liaising with Board members Leading on the writing and updating of organisational policies and procedures Performing Company Secretarial duties as follows: o Writing the minutes of Board meetings and other meetings as required o Supporting Nominations Committee with the recruitment of new Board members and supporting other Trustee committees that may be set up o Leading on drafting the Trustees Annual Report o Coordinating the Annual General Meeting o Ensuring returns are sent to Companies House, the Charities Commission and HMRC as required and on time o Ensuring new Trustees are correctly registered o Maintaining register of Trustees in accordance with company law, and supporting the Chair and director as required with the induction of new Trustees Other Contributing to overall strategy and programmes for Engage through the business plan, writing copy and compiling budgets Coordinating the annual return to Arts Council England with the Director
Supporting the Director on funding applications such as to Arts Council England, other public funders and to trusts and foundations Providing general support and advice to the Director and other members of staff. Attending regular London office staff meetings and quarterly meetings of all Engage staff and project staff Person Specification Essential Experience of managing all finance functions for a small to medium size organisation, preferably in the third sector Proven ability to work flexibly as part of a small team Outstanding attention to detail and accuracy Excellent written and verbal communication skills Desirable Professional accountancy qualification i or qualified by experience Experience of running an in-house payroll and a very good working knowledge of PAYE and NIC Experience of governance and carrying out company secretarial duties for a third sector organisation Experience of contributing to planning and strategy at an organisational level Experience of producing statutory accounts and leading an organisation through the audit process Experience of contributing to funding applications for funding from the public sector, trusts and foundations Degree or equivalent experience Understanding of the visual arts sector i CCAB /CIMA/AAT/CAT or equivalent Terms The salary range for the post is 38,000-42,000 pro-rata for three days a week: the starting salary will be dependent on experience and qualifications. This is a part-time post of 21 hours per week (excluding lunch breaks) to be worked between the core office hours of 9am - 6pm, Monday to Friday. Some working outside these times may be necessary on occasion. Engage is committed to offering flexible working where possible and by agreement. The post is based at the Engage London office in Shoreditch. Occasional travel, normally within the UK, to attend events or meetings will be required. Normal leave entitlement is 25 days annual leave plus bank holidays, pro-rata. Engage does not pay overtime but operates a time-off-in-lieu policy.
