Position Description Role: Department/Section: Reports to: Administration Officer Community Development/ Children s Services Children s Services Development Officer WORKING AT MOSMAN COUNCIL Members of the Mosman Council staff team are expected to be: Ethical Excellent communicators Committed to customer service Technically and professionally competent, with a pride in keeping their knowledge current Focussed on solutions Team players MAIN PURPOSE To provide administrative support to the Coordinators and staff of Children's Services and assist in the support and provision of Children's Services to the Mosman community. The position will focus on administrative assistance to the Mosman Occasional Care Centre, but will also be responsible for the management and operation of the monthly immunisation clinic and facilitating the Connections Playgroup. From time to time assistance will also be required in other areas of Children s Services.
KEY RESPONSIBILITIES 1. Maintain administrative and financial systems that provide accurate up to date financial data in order to meet the requirements of clients, funding bodies and Council. 2. Positively represent Children s Services to customers, suppliers and government agencies as the first point of contact, achieving high levels of customer satisfaction in responding to customer referrals and requests for Childcare Benefit information, immunisation and childcare placements. 3. Administer and process all data systems and software pertinent to the delivery of Child Care 4. Handle all general child care enquiries and referral of clients to appropriate services. 5. Process fees, bookings and enrolments and liaise with parents regarding Occasional Care, Before & After School Care and Vacation Care. 6. Input and report weekly to the relevant Federal Government Departments with respect to administering Childcare Benefit (CCB) payments for Occasional Care, Before & After School care and Vacation Care. 7. Banking and general office procedures as required. 8. Manage and operate Council s monthly immunisation clinic 9. Input and report monthly immunisation statistics and data to relevant Federal Government Department and Department of Health 10. Maintain systems for correct monitoring and storage of live vaccinations 11. Facilitate the weekly Connections playgroup 12. Keep abreast of administrative and accounting changes emanating from the funding bodies. 13. Provide support to other functions of the Children s Services Section as directed by the Team Leader/Supervisor or Manager 14. Ensure all work is carried out in accordance with legislative, industrial and Council policy requirements and standards in the areas of EEO and OH&S.
SKILLS AND COMPETENCIES ESSENTIAL High level computer proficiency with all Windows applications especially Word, Excel Proficiency in a range of service specific software including QuikKids and VacManager. Ability to demonstrate initiative and autonomy. Excellent communication skills, flexibility and ability to work as part of a team. Administrative experience including management of accounts, secretarial and organisational skills, with a high degree of accuracy. Experience in management of an immunisation clinic Ability to handle and prioritise a wide range of concurrent tasks. Good interpersonal skills, including problem solving and negotiation. Demonstrated commitment to quality customer service and continuous improvement strategies. Ability to record and maintain accurate information within the Corporate Information Management System in accordance with organisational procedures and protocols. Understanding of Occupational Health and Safety issues in the workplace and EEO principles. Able to satisfy the requirements of the Commissioner for Children and Children and Young People Act 1998, Employment Screening Provisions. Conditions of Employment Mosman Council operates under the Local Government (State) Award and the Mosman Council Enterprise Agreement. Hours: Status: Qualifications: Commencing Salary / Range: Position Approved By: 60 hours over a 4 week period across a 7 day spread of hours Part time Administration and knowledge of operation of immunisation clinics From $48,000 $57,300 + super pa pro-rated for 15 hrs/week. Director Community Development Approved Date: December 2012 Entitlement to work in Australia and evidence of qualifications for the position Council s recruitment procedure requires applicants to supply evidence of their entitlement to work in Australia.
