Role profile Job Title Directorate: Reports to: Executive Officer Chief Executive Senior Manager of Executive Services Overall Aim To provide administrative & secretarial support to the Directors and Associate Directors as part of the Executive Services team. To add value to the Academy s business by delivering a high-quality and continually improving administrative & secretarial support. Key Responsibilities To provide administrative and secretarial s indicated (but not limited to) below: To support the administration & secretarial requirements of Directors and Associate Directors as directed by the Senior Manager of Executive Services To prepare and draft correspondence for the Directors and Associate Directors as required To provide first port of call for the Chief Executive and President in respect of incoming telephone calls, emails and visitors to the Academy Liaising with Academy contacts, Fellows, Directors and other staff as required To organise and/or support the Directors and Associate Directors in the delivery of bespoke events working with the events team as appropriate Setting up and organising meetings, booking facilities and assisting during meetings as necessary Ensure the Directors and Associate Directors have the necessary papers and briefs for meetings Conduct regular diary meetings with the Directors and Associate Directors and deputise for the Senior Manager at the Chief Executive diary meetings as required Organise UK and International travel including visas and accommodation To collate, copy/scan and distribute committee papers and documents To take minutes and dictation as required Maintenance of data bases and information systems for the Executive Services team To type, process, scan, copy and file documents as directed by the Head of Executive Services To develop and make suggestions for improvement to systems and procedures To deputise for the Senior Manager Executive Services when required Key Results 1. Terms and conditions of employment Position Executive Officer Full time (36.25 hours) Location 3 Carlton House Terrace, London, SW1Y 5DG Remuneration Up to 29,000 per annum Hours of work 9.15 am to 5.30 pm Flexible working hours The Academy operates a flexitime system that does not include clocking on and off at the beginning and end of each working day. However, timesheets are required to be completed. Provided that the core hours of 10.00am to 4.00pm are worked, flexibility is available in respect of the start and finish times. This flexibility is subject to the following conditions: A minimum of 7.25 hours per day must be worked. Flexible hours must be mutually agreed between the employee and the line manager. Flexible hours may be subject to review at any time.
