Location The principal workplace location for this position is based at the Head Office in Camp Road Broadmeadows. Position Summary The Relief Staff Unit (RSU) Coordinator is a key role responsible for ensuring that casual staff form a regular and substantive part of the direct workforce within Lentara s Children s Services, meeting service staffing requirements. For the first six (6) months of this new position, the focus will be on embedding new processes and outcomes within Children s Services and thereafter, following a review of the outcomes, the function may be broadened to include deployment of casual staff more broadly. The viability of the direct rostered services is highly dependent on the outcomes achieved and the position will work closely with the Director Human Resources to achieve positive outcomes. This position may include an on call component. Position Objectives Ensure capable, trained and available casual staff meet the needs of children s services Develop and maintain systems to ensure access to suitable casual staff Establish and maintain a strong culture of belonging to the broader workforce linked to Lentara s values Establish and maintain an effective recruitment function for casual staff within Children s Services To position the RSU strategically for emerging opportunities and sector partnerships Build and maintain strong relationships with key stakeholders across Children s Services Establish and maintain a system that supports the supervision, development and support of casual staff Operational Management Key Responsibilities and Duties Work with relevant managers and staff to develop, implement, maintain and review the deployment/allocation of casual staff through best practice rostering guidelines; administration and organisation of shift replacement and allocation Page 2 of 5
Ensure high professional standards of day to day operations of the RSU including efficient administrative practices and maintenance of agency records Recommend to the Director Human Resources appointments of casual staff Ensure casual staff are matched to children s needs Proactively provide advice to line management on issues identified and relating to the deployment/allocation and management of casual staff Ensure casual staff are engaged and valued and regular contact is made with them Provide advice to casual staff in relation to current policies and procedures, conditions of employment, learning and development opportunities and issue resolution processes Identify emerging workforce availability issues and respond appropriately Coordinate, analyse, report and action feedback regarding any casual workers and ensure action is taken as appropriate Coordinate the supervision, development and support for casual staff Coordinate recruitment of casual staff through 3-4 campaigns per annum Implement RSU related objectives within the Human Resources operational plan Prepare monthly and adhoc reports related to activity of the RSU From time to time, undertake specific human resource projects Deliver training as required Relationship Management Leadership and Organisational Development Quality Systems and Processes Liaise with and develop effective partnerships with internal stakeholders: o predominately from Children s Services o with key staff across other Lentara divisions Liaise with and develop effective partnerships with relevant external stakeholders Attend meetings, workshops and forums as required Provide support, guidance, and leadership to casual staff on the conduct of their role including feedback through performance reviews and regular staff supervision Develop a practice framework that results in a dynamic and integrated RSU Promote Lentara s mission, vision, and values ensuring that the function of the RSU is provided in a manner that is consistent with them Actively contribute to the Senior Management team, policy and program development and implementation as required Develop and promote the concept of strengths-based and inclusive service delivery Work with managers to develop and maintain relief staff management systems to ensure the delivery of cost effective and high quality service provision Ensure mechanisms are in place to match needs with skills and attributes of staff Ensure appropriate quality of service is provided and best practice and continuous improvement systems are in place Work closely with managers and staffing Agencies to ensure appropriate outcomes for identified performance issues with relief staff Page 3 of 5
Financial Management In conjunction with the Director Human Resources and the Children s Services management team: o Develop strategies to reduce the reliance and usage of external staffing agency costs o Analyse financial data outcomes of individual services and develop remedial strategies where issues arise KEY SELECTION CRITERIA Mandatory Requirements Current National Police Record Check Current Working With Children s Card (WWCC) Current Australian Drivers Licence (delete if not required) Professional Experience Tertiary qualification in a relevant and related discipline, for example: Community Services Significant experience managing or coordinating a staff allocations/rostering unit Key Knowledge Areas, Skills and Experience Proven leadership experience with an ability to provide support and advice to others Demonstrated skills in the development and maintenance of a staff allocations system Ability to meet deadlines and schedules in order to achieve goals and objectives Experience in engaging a broad range of stakeholders Good interpersonal skills Computer literate, proficient in Microsoft Office Suite (minimum: intermediate level Excel)) and prior experience in spreadsheet development and maintenance and/or rostering software Demonstrated experience achieving timely outcomes through well-developed organisational skills and the capacity to effectively prioritise competing work demands Good attention to detail, maintaining data accuracy and integrity Personal Attributes Demonstrated ability to effectively manage change Ability to communicate to a diverse range of people in various situations Ability to maintain a high degree of confidentiality Ability to use initiative and think laterally and strategically Demonstrated problem solving skills Ability to work well both autonomously and as part of a team Good understanding of the business imperatives of a Not For Profit organisation Values driven Page 4 of 5
