STAGE MANAGER(1 or 2) CREW ROLES AND RESPONSIBILITIES The boss of the backstage area during shows (under the Directors supervision) Must be physically and mentally able to do any job required of stage crew personnel Should come to as many rehearsals as possible you must know the show forward, backwards, and upside down Must be a leader that is able to get peers to listen to you and follow your directions Must be able to react quickly without panic to problems that happen backstage HOUSE MANAGER (1 OR 2) You are in charge of everything that happens in the house (audience, hallway, reception area, display case) Your busiest times will be at the beginning of a production to plan things and then during actual performances Must be a leader that is able to work with adults Must be able to react quickly without panic to problems that happen in audience or hallway During shows you will: 1. Help with set up and decoration of hallway and reception area 2. Open doors to audience members after getting confirmation from the sound booth that they are ready 3. Collect tickets and internet papers 4. Hand out programs to audience members (only give to adults unless a child asks for one) 5. Sit in back of auditorium and let people in and out of the door on the farthest right (so the light doesn t shine into auditorium.) Use a flashlight to assist people to their seats as needed 6. Collect unwanted programs after show to recycle for next performance
7. Help in the reception area clean up after Thurs. performance STAGE CREW (varies) Must to be physically and mentally able to work in backstage conditions including working in a chaotic environment, darkness, silence, and moving heavy set pieces Must be able to listen to direction from Stage Manager(s) and adults and then follow through You must be willing and able to adjust quickly when things go wrong You will be needed for every rehearsal when we start running the show which will be later in the production LIGHTS (1-3) Responsible for all the lighting effects in the show including running the board and working spot-lights Must be willing to take direction from adults and student mentors You will be needed for every rehearsal when we start running the show (later in the production) and also for special tech rehearsals and when we test lights Must be physically and mentally able to work in specialized environment including quickly fixing problems without panic and being able to communicate quietly SOUND (1-3) Responsible for all the sound and sound effects used during the show and for placement and care of microphones Must know that the equipment you are working with is very expensive and must be treated as such Must be willing to take direction from adults and student mentors
You will be needed for every rehearsal when we start running the show (later in the production) and also for special tech rehearsals Must be physically and mentally able to work in specialized environment including quickly fixing problems without panic and being able to communicate quietly MAKEUP AND HAIR CREW (4) Responsible for planning out the makeup and hair-styles to be used during the production with supervision and final approval of Directors Must inventory all supplies and make a list of anything you need a director to purchase Must clean and organize your supplies before the production and after every single show You will be needed for planning purposes at the beginning of the production then closer to show time when we are having dress rehearsals with makeup You may also be required to attend a specially called rehearsal where you will instruct the non-specialty makeup people on proper application of makeup COSTUMES (4) Responsible for planning out costumes to be used during the production with supervision and final approval of Directors You will help take measurements of all cast members for costume purposes and will keep all information confidential- Directors will let you know when this rehearsal will take place You may be asked to make a specific costume or specific piece of a costume You may be asked to do simple sewing projects such as sewing on a button or other fastener or making a simple repair You will assist any cast member who needs help with a change
You will help to collect and inventory costumes at the end of the production You will need to be available throughout the production but not necessarily required at rehearsals - can work on projects at home you will need to attend all rehearsals after the cast starts wearing the costumes so you can make adjustments COSTUME MISTRESS (1) You have the responsibilities of a costumer and also the following You will make a document that lists each cast member and ALL of their costume pieces including shoes, tights, and accessories and where each piece comes from (rented, borrowed or bought) You will help make a costume plot (a document that tells which character wears what costume and when)in Google Docs You will help to label and organize all costumes so cast will know where their stuff is You will need to be available throughout the production but not necessarily required at rehearsals - can work on projects at home you will need to attend all rehearsals after the cast starts wearing the costumes so you can make adjustments CONSTRUCTION CREW (varies) You will wear old clothes and shoes to every workday because you will get dirty Must be available for Saturday workdays and specially called evening workdays You will be busiest at the beginning of the production because of huge numbers of crew kids you may not be needed during the actual performances but will be able to attend at least one performance and participate in all cast/crew events
Must be physically and mentally able to perform in loud, sometimes chaotic conditions without adding to the chaos Must listen to adults and student mentors and do exactly as they ask because you are working in potentially dangerous situations You will get to learn the proper use of tools and you will actually get to build the set if you follow the above rules Must help clean up after every workday so area can be used by other groups SET DÉCOR CREW (varies) You will wear old clothes and shoes to every workday because you will get dirty Must be available for Saturday workdays and specially called evening workdays in addition to some Monday crew days You will be busiest at the beginning of the production because of huge numbers of crew kids you may not be needed during the actual performances but will be able to attend at least one performance and participate in all cast/crew events Must be physically and mentally able to perform in loud, sometimes chaotic conditions without adding to the chaos Must listen to adults and student mentors and do exactly as they ask because you are working in potentially messy and dangerous situations Must help clean up after every workday so area can be used by other groups including cleaning paint brushes, properly closing paint cans, folding up drop clothes etc. PROPS (3) You will go through script and highlight and list all props that are needed and maintain a list on Google Docs also check with student director and Directors for any additional items they want
Determine which props we already have, what we can borrow, what we can make ourselves (Creative Design team can help with this) and finally what we need to buy If it is decided that it needs to be purchased, please look on Amazon first to see if it s available on there and Mrs. McDaniel will order it. Send Amazon link to Mrs. McDaniel via email: mcdaniju@lovelandschools.org you will share this Google Doc with the Directors and student director CREATIVE DESIGN (varies) You will be responsible for design of sign boards and possibly program covers (depending on production)and posters to advertise the show You may work with props people on design elements You may work with House Manager(s) on design elements including display case You will have access to a vinyl cutting machine that can be used for décor You may ask to do additional projects if you present ideas to directors and they approve them You will be busiest at the beginning of the production because of huge numbers of crew kids you may not be needed during the actual performances but will be able to attend at least one performance and participate in all cast/crew events PUBLICITY/MEDIA (1-2) You will be responsible for writing social media posts that will be added by the Directors to our public accounts You will responsible for contacting Chuck Gibson (reporter for the Loveland Herald) to arrange a date for him to come and write a story about the production get his info from Mrs. McDaniel. If you are interested, he may possibly let you assist him
You will be Mrs. Hall s assistant when she takes the headshots (taking down names in order) You will take or acquire photos to be used for picture boards and social media (these will all need to approved by the Directors) the Drama Department will get them printed Assemble the picture boards Brainstorm any additional ideas you have to publicize the show and present to Directors for approval You will be busiest at the beginning of the production because of huge numbers of crew kids you may not be needed during the actual performances but will be able to attend at least one performance and participate in all cast/crew events SPECIAL EFFECTS (1-2) Will work with Set Design Director to come up with ideas to present to Director You will be busy at beginning of the production and then will be required to attend when we run the show and all performances. You will need to attend Saturday workdays to help with building your designs and possibly working outside of rehearsal times for videos or other computer applications Design, construction, or collection of special effects and/or technologies that are neither sound nor lighting. Examples include, but are not limited to, video, magic, fog, aromas, projections, and digital effects ALL CREW You will follow through with your commitments that means coming to all rehearsals that you are supposed to come to unless you have prior permission from a Director to miss or a note or email from a parent explaining your absence You need to seriously consider your availability during the entire production time, if you have limited availability we may be able to work with you to assign you where you can still participate but there are no promises.
Make sure you put all conflicts in writing when you turn in your application If you decide that you cannot honor your commitment then you must speak DIRECTLY to a Director please do not just quit without talking to someone first or just telling your friends. We won t place you in future productions if you quit this one. This info will also be shared with the LHS Drama staff. If you have a question about if or when you are called, please ask Mrs. Slyder You will write a report of your contributions to each show highlighting everything you did by yourself and also those things that were accomplished as a group. These will be used for future productions and also to help Directors write recommendation letters for things like jobs and Honor Society etc. STUDENT MENTORS STUDENT DIRECTOR(S) You will be needed at all production meetings It is your responsibility to ask for more or less assignments if there is something you would like to tackle please let us know and we can try to make it happen. And if you feel overwhelmed you need to let us know that too. You will primarily report to Mrs. Hall and assist her as needed including running scenes, making constructive suggestions, helping cast with lines etc. You will be the main line of communication between Mrs. Hall and the other Directors so make notes when she makes changes and let them know Your attendance is needed for most rehearsals we understand that you have very busy schedules and we are willing to work around that but you need to be upfront with your conflicts You will bring any discipline concerns to the Directors
We would like for you to compile a report of everything you did for production to help future mentors with the task STUDENT CHOREOGRAPHER You will be needed at select production meetings It is your responsibility to ask for more or less assignments if there is something you would like to tackle please let us know and we can try to make it happen. And if you feel overwhelmed you need to let us know that too. You will primarily report to Mrs. Hall and assist her as needed including choreographing assigned songs and helping to teach others Your attendance is required at all dance rehearsals check with Mrs. Hall. It is also helpful for you to be there when we run the shows to help refresh the cast s memory and make adjustments You will bring any discipline concerns to the Directors We would like for you to compile a report of everything you did for production to help future mentors with the task STUDENT LIGHTING MENTOR You will be needed at select production meetings It is your responsibility to ask for more or less assignments if there is something you would like to tackle please let us know and we can try to make it happen. And if you feel overwhelmed you need to let us know that too. You will primarily report to Mrs. Hall You will set lighting cues with final approval from Directors You will assign the lighting crew to specific jobs and teach them how to do the job themselves You will bring any discipline concerns to the Directors We would like for you to compile a report of everything you did for production to help future mentors with the task
STUDENT SOUND MENTOR You will be needed at select production meetings It is your responsibility to ask for more or less assignments if there is something you would like to tackle please let us know and we can try to make it happen. And if you feel overwhelmed you need to let us know that too. You will primarily report to Mr. Hall You will set sound cues with final approval from Directors You will assign the sound crew to specific tasks and teach them how to do the job themselves You will bring any discipline concerns to the Directors We would like for you to compile a report of everything you did for production to help future mentors with the task DIRECTOR S ASSISTANT TO MRS. SLYDER You will be needed at select production meetings It is your responsibility to ask for more or less assignments if there is something you would like to tackle please let us know and we can try to make it happen. And if you feel overwhelmed you need to let us know that too. You will be needed especially on Monday crew days but can also be of assistance on other days Craft experience would be helpful Must be able to multi-task Duties may include: 1. Taking daily attendance and alerting Directors if anyone has excess absences 2. Opening backroom, dressing rooms and art room doors and then relocking at end of rehearsal 3. Help supervise crew kids to make sure they stay on task.
4. Closer to show time watch show and make notes of things Mrs. Hall needs from me WORKSHOP COORDINATOR You will be needed at planning meeting You will work with Directors to plan a Workshop day featuring classes that teach cast and crew a variety of skills You will be responsible for inviting workshop leaders to teach and also confirming their ability to be there. Directors can give you possible participant s information You will form a backup plan in case of inclement weather and see which leaders can still participate on alternate date You will work out a schedule for the day and make sure there is adequate and appropriate space for each activity You will set up a Sign Up Genius so kids can specify which workshop they will attend (Mrs. McDaniel will help with this) Most importantly you will publicize this event for maximum participation We would like for you to compile a report of everything you did for workshop to help future mentors with this task DIRECTOR S ASSISTANT TO MRS. McDANIEL You will be needed at select production meetings Must be comfortable working computer software, Google forms and sheets Must be able to multi-task Sewing and/or craft skills are a plus Your attendance can be flexible and can be worked out with Mrs. McDaniel Duties may include: 1. Helping to make program 2. Printing and assembling program 3. helping to supervise kids 4. Closer to show time watch show and make notes of things Mrs. Hall needs from me 5. Help with reception
