Job Description Job Title: Regional Operations Manager (interim) Job Location: Yorkshire & Humber region Salary Scale Grade: Grade D - Subject to forthcoming job evaluation and grading process Contract: Fixed Term Approximately 5 months until 30 June 2017 Key Purpose: To manage all aspects of the Region s operations, processes, administrative tasks and responsibilities. The post-holder will ensure that all data entry and reporting effectively contributes to the Region s efficient management of information and revenue generating capability. Scope: The post-holder will: report to the Regional Education Manager and will be expected to work alongside the Association s Support Services Implementation Manager to support the SWIFT transition. line manage the Regional Operations Team be a member of the Regional Management Team have responsibility for budget of up to 5,000 Key Responsibilities: Comply with all WEA s Policies and Procedures, i.e. Code of Conduct, Health and Safety and Equality and Diversity Policy. Management and Co-ordination of Regional Administrative tasks Prioritise and plan data entry of all course and student information and lead the Operations Team in ensuring that deadlines are met for reporting purposes. Ensure that the matrix Standard is promoted and embedded in all external and internal customer interface systems and activities. Liaise with Regional staff to ensure that all outstanding information and course paperwork is collected from Tutors. Maintain the Regional Administrative Procedures Handbook and oversee the inputting of data to ensure compliance with the procedures set out therein. Ensure that all manual course files are up-to-date and follow the Regional Administrative procedures.
Deliver responsibilities as the Region s Business Continuity Manager Regional contact for property (Regional Office), working with the WEA s Property Manager, and liaise directly with the landlord. Manage the Region s maintenance and service contracts, liaising with outside contractors e.g. burglar and fire alarm companies; cleaning contractor, etc. Ensure administrative compliance across the Region through supporting the suboffices Manage the region s telephone contract Line Management Manage Operations Team and their tasks on a day to day basis to ensure a good quality of service to staff, learners and potential learners, volunteers and others as appropriate. Manage the performance of those staff who report to the post-holder via regular update meetings and annual review. Responsible for staff welfare, as well as initiating and sustaining disciplinary or capability matters in accordance with WEA policy and procedures. Co-ordinate the work of the Operations team to ensure that adequate cover is in place at all times Manage the region s Health and Safety Co-ordinator, ensuring the health and safety of all staff and offices in Region National & External Networking Member of the national Operational Team and other ad hoc national working parties, working collaboratively with colleagues across the Association on aspects of physical and information resources, to develop and deliver improvement to national processes, systems and policies. Support the Support Services Implementation Manager in the smooth and successful transitioning to the Support Services proposal in Yorkshire and Humber which will include both structural and process changes Manage and mediate working relationships between branches, governance, and educational field staff for the Region. Manage resources and resource allocation for projects and contracts with partner organisations, universities, colleges and local authorities on new projects and contracts. Organise training for Operational Team members on new procedures or on introduction of substantial changes to existing procedures.
Regional Management Contribute to the formulation of the Regional Budget and Operational Plan. Collaborative activity with the Regional Management Team and Regional Personnel Member of the Regional Management team.
