8 Return Series 4000 Timeclocks Step 1: Open a case with Kronos Global Support Kronos Global Support is normally available from 8 A.M. to 5 P.M., Monday through Friday. To contact Kronos Global Support, call: +1 (800) The representative will open a case and assign a Return Material Authorization (RMA) number. Record this RMA number and keep it available for reference to help speed up the process of replacing your timeclock. When you call Kronos Global Support, you must provide the following information: Site ID number -- The Kronos Representative must have this number to identify your company and properly assist you. Timeclock model and serial number -- Both numbers are located on the label on the bottom of the timeclock. You can also determine the numbers by running the Hardware Report at the timeclock in Maintenance mode, or by running the Device Report using Data Collection Manager (DCM). Serial numbers of accessory boards (if installed) -- Using a security Allen wrench (provided by Kronos), open the timeclock and look for additional boards such as a modem card or a backup battery charger board. Depending on which optional devices are installed, the boards may be attached to the front cover or the base. For example, if the timeclock uses modem communication, the timeclock has a modem card with a telephone jack attached to the main board on the inside cover. The modem card is located directly behind the timeclock display. Problem with the timeclock -- Describe how the timeclock is malfunctioning, what transactions you were performing at the timeclock when it malfunctioned, and what you did to try to resolve the problem. 8
9 Step 2: Use the host application software to collect data Step 2: Use the host application software to collect data Before you disassemble the timeclock, use your host application software to collect all data. If your host application is Timekeeper Central, see the System Manager Guide for Timekeeper Central, and the Timekeeper Central Version online Help. If you are using Workforce Timekeeper version 6.1.x or higher, see the System Administrator Guide for Device Manager, and the online Help. If you are using Workforce Timekeeper version 6.0.x or earlier, see the System Administrator Guide for Data Collection, and the online Help. If your host application is iseries, see the iseries documentation posted on the Kronos Customer Support Web site. 9
10 Return Series 4000 Timeclocks Step 3: Determine the part number of the Series 4000 timeclock Before you begin disassembling the Series 4000 timeclock, determine the part number of the timeclock. The timeclock is assigned one of the following part numbers: xxx xxx xxx The locations of connectors on the main board, needed for installing the timeclock or adding optional devices to the timeclock, differ depending on the part number of the timeclock. Also, the main board in timeclocks with part number xxx includes a lithium battery; the main boards in timeclocks with part number xxx or xxx do not have a lithium battery. Where necessary, the disassembly instructions include specific instructions or illustrations to guide you, depending on the timeclock part number. To obtain the part number of the Series 4000 timeclock, do either of the following: Look at the bar code label on the bottom of the timeclock (the underside of the timeclock as you look at the display and keypad). The part number is directly above the bar codes. If the Series 4000 timeclock uses firmware Version 2.0 or higher, access Maintenance mode at the timeclock and run the Hardware Report. The part number of the timeclock is included in the report output on the screen. 10
11 Step 4: Disassemble the timeclock Step 4: Disassemble the timeclock Note: Ensure that you collected data from the timeclock before beginning this procedure. See Step 2: Use the host application software to collect data on page Open the cover of the timeclock by using the security wrench (3) to loosen the security screws (1 and 2) on the back and right side of the timeclock. Caution: Open the cover slowly and carefully. Depending on which optional devices are connected to the timeclock, you may not be able to open the cover completely because of cables that may be plugged into the main board. 2. If your timeclock is powered by a standard AC power cable, locate the electrical outlet that the timeclock is plugged into and unplug the cable. This outlet could be a wall outlet over which the timeclock is mounted (covering the outlet from view), a wall outlet away from the timeclock, or an outlet assembled inside the timeclock. 11
12 Return Series 4000 Timeclocks 3. If a Power-over-Ethernet module is installed in the timeclock, disconnect the power and Ethernet cables that run from the module to the main board inside the cover of the timeclock. 12
13 Step 4: Disassemble the timeclock 4. Determine whether the timeclock has a backup battery (1) installed in the base. If so, go to step 5. Otherwise, go to step If the timeclock has a backup battery, disconnect the battery charger board from the main board. If the part number of the timeclock is xxx or xxx, use the following illustration to locate the connection. Then, disconnect the battery charger board: press the clip on the cable connector, and move the connector from side to side while you pull it out of the socket. 13
14 Return Series 4000 Timeclocks If the part number of the timeclock is xxx, use the following illustration to locate the connection. Then, disconnect the battery charger board from the main board of the timeclock. To do this, press the clip on the connector at the end of the cable and pull it to the left while moving the connector from side to side. 14
15 Step 4: Disassemble the timeclock 6. Disconnect the transformer cable from its connection on the main board. To do this, press the clip on the connector at the end of the cable and pull out while moving the connector from side to side. If the part number of the timeclock is xxx or xxx, use the following illustration to locate the connection on the main board (1): 1 15

17 Step 4: Disassemble the timeclock 7. This step explains how to disconnect the modem or Ethernet cable, depending on which method of communication the timeclock uses. For timeclocks that use modem communication, disconnect the cable that connects the telephone line to the modem card, as follows. If the part number of the timeclock is xxx or xxx, use the following illustration to locate the modem card. Then, disconnect the telephone line by squeezing on each side of the connector and pulling it away from the card in the housing. 17
18 Return Series 4000 Timeclocks If the part number of the timeclock is xxx, use the following illustration to locate the modem card in the inside cover. Then, disconnect the telephone line from the modem card. For timeclocks that use Ethernet communication, disconnect the Ethernet cable (1) from the connector (2) on the main board. Press the clip on the connector and pull it down. 18

If the Kronos Touch ID verification device is attached to the timeclock: If the part number of the timeclock is xxx or xxx, use the following illustration to locate the connection. Then, unplug the verification device from its connection on the main board. If the part number of the timeclock is xxx, use the following illustration to locate the connection. 22 Return Series 4000 Timeclocks 9. If your timeclock uses a remote bar code reader, disconnect the reader from the timeclock main board. If the part number of the timeclock is xxx or xxx, refer to the following illustration to disconnect the cable: 22

24 Return Series 4000 Timeclocks 10. If your timeclock uses a universal relay (for example, to ring a bell or operate a door strike), disconnect the relay from the timeclock main board. If the part number of the timeclock is xxx or xxx, use the following illustration to locate the connection, and disconnect the cable: 24

26 Return Series 4000 Timeclocks 11. If your timeclock uses a remote proximity reader, disconnect the end of the ribbon cable that connects the interface board to the main board in the cover (circled in the following illustration). 26
27 Step 4: Disassemble the timeclock 12. To remove the timeclock cover from the base: a. Remove the two small, flat (not pointed) screws from the hinge clip, as shown in the following illustration: Note: Save the screws; you will need them to reassemble the timeclock. 27
28 Return Series 4000 Timeclocks b. Rotate the hinge clip backward until it snaps free from the cover. c. Unfasten the two hinges on the cover from the corresponding areas molded on the base. Prepare the cover for shipping. 28
29 Step 5: Pack and send the timeclock cover to Kronos Service Logistics Step 5: Pack and send the timeclock cover to Kronos Service Logistics Note: You must follow the instructions in Step 2: Use the host application software to collect data on page 9 and Step 4: Disassemble the timeclock on page 11 before you perform this procedure. Call Kronos Global Support for instructions about packing the timeclock cover for shipment. Depending on the type of maintenance contract that you have, you may be responsible for paying the shipping charges. Depot Exchange maintenance customers do not have to pay shipping charges. 29
30 Return Series 4000 Timeclocks Quick reference checklist The following checklist is for use by personnel who are familiar with the process of returning a timeclock for repair or replacement and only require a quick reminder of the steps involved. Call Kronos Global Support to determine the problem with the Series 4000 timeclock, verify what you need to return for maintenance or replacement, and to obtain a Return Material Authorization number (RMA). See Step 1: Open a case with Kronos Global Support on page 8. Ensure that all data has been collected from the Series 4000 timeclock. See Step 2: Use the host application software to collect data on page 9. Unplug the timeclock from its power source and disassemble the timeclock, following the instructions in Step 4: Disassemble the timeclock on page 11. Note: Use the proper sequence for disconnecting cables. Ensure that you disconnect and return (as requested) cables and optional devices, such as a modem card, phone cord, remote or external readers, universal relay, or the Kronos Touch ID verification device. Call Kronos Global Support for instructions about packing the parts of the timeclock in its original box, for safe shipping.include a list of optional devices or boards that you include in the box. When you are ready to install the new or repaired timeclock, refer to the Installation Guide for the Series 4000 timeclock and related optional device documentation, as necessary. 30
